前臺崗位描述
一、崗位描述
前臺屬于公司內勤崗位,負責協助部門主管協調、處理、完成部門內部各項事務與日常的管理工作,同時完成部門承擔的各項公司任務。
二、崗位職責
1、前臺接待
⑴ 前臺的日常接待工作
⑵ 熟悉部門所涉及的業務與產品知識、業務流程,當客戶咨詢相關問題時可以給客戶初步的介紹
⑶ 通過溝通了解客戶消費習慣等內容,加以整理以供營銷部門分析,挖掘消費潛力
2、收銀結算
⑴ 客戶取車前,引導客戶進行財務結算,盡量引導客戶使用現金結算。⑵ 記賬類客戶取車時,必須取車人簽署姓名、電話,并落實公司對應負責人員,以便財務追討應收賬款。
⑶ 保險賠款類,則落實最終賠付金額,方便財務進行相關結算,落實該賠案在公司相對應的負責人。
3、庫存管理
⑴ 負責各類產品、商品采購回公司后的清點、核對、入庫工作。⑵ 負責備貨類產品、商品的日常出庫工作。⑶ 負責流轉類產品、商品的日常出庫工作。⑷ 負責定期進行各類產品、商品的清點盤庫工作。
4、行政常規事務
⑴ 負責前臺電話接轉、收發傳真、文檔復印等工作。⑵ 負責前臺所涉及的相關設備、設施的保養維護工作。
⑶ 負責部門日常報表登記填寫整理,資料整理歸檔及其他的部門行政事務。⑷ 負責公司車輛使用登記管理
5、衛生清掃、保持
⑴ 負責崗位衛生區域的日常清掃工作 ⑵ 負責崗位衛生區域的日常保持工作
6、安全相關
⑴ 嚴格執行公司制定的安全監督管理制度
⑵ 發現安全隱患及時報知行政人事部,以便及時處理。
⑶ 遇突發安全狀況時,第一時間設法消除并及時報知行政人事部;若無法消除突發狀況,則應想法將狀況盡可能控制在最小范圍內。
6、其他
完成公司領導交待的其他工作。

如果客戶說了一遍名字,你卻沒有聽清,怎么辦?
與其說“I beg your pardon”,更不如說以下這句來的委婉禮貌: I'm sorry.I didn't catch your name.如果對接人沒空/暫無法接待:
I'm sorry.Mr.X/Ms.X has a full schedule this week/today.報歉,X先生/女士 本周/今天 的日程已排滿。May I tell him what you wish to see him/her about? 您找 他/她 什么事我能轉告嗎? Could you please write a note to him on the matter you wish to see him about? 您能否留下便條說明您有什么事要見 他/她 ?
接電話用語:
接電話時不可以簡單地回答“Hello”,而應報上自己的公司或所屬單位的名稱。例如: “Hello, this is Information/reception Desk.” 您好,這里是前臺。
“Information Desk speaking.May I help you?” 這里是前臺,請問有什么需要幫助嗎?
打錯電話時,如果是外線打錯時,可以回答: I am afraid you have the wrong number.不好意思,您打錯電話了。
當負責的工作人員不在時

時間表達:
直接表達法
A.用基數詞 + o'clock表示整點,注意o'clock須用單數,可以省略。如:eight o'clock 八點鐘 ten(o'clock)十點鐘 B.時 + 分,直接寫出時間。
如:eleven-o-five 十一點過五分,six forty六點四十 2.間接表達法
A.分 + past + 時:表示“幾點幾分”,分鐘數少于30(包括半小時half),其中past是介詞,意思是“過”。
如:twenty past four 四點二十
eight past one 一點八分
B.(60分鐘-原分鐘數)+ to +(原鐘點數+ 1),表示超過半小時的 “幾點差幾分”,其中to是介詞,意思是“差”。
如:8:35 twenty-five to nine 差二十五分鐘九點,即八點三十五(其中的分鐘數=60分鐘-35分鐘;鐘點數=8+1)
注:A:15分鐘,可用名詞quarter(一刻鐘)表示。如:7:15 a quarter past seven 12:15 a quarter past twelve B:30分鐘,可用名詞half(一半)表示。如:9:30

一、日常接待
1.接待來訪者:接待不明目的的來訪者,先問清對方來訪原因,根據原因來看來者是否是無關人員,還是需要找公司相關人員再進行接待。2.接待咨詢者,若有咨詢者來訪,應及時請實驗室或辦公室相關工作人員來協助接待。
3.接聽轉接電話:前臺是總機電話,一般電話撥入后都需轉接其他分機,根據通訊錄的分機號碼,準確的進行電話轉接;接聽咨詢電話,若在前臺接到咨詢電話,如對方不明確自己的咨詢顧問是誰,直接將電話轉接至相關部門助理處。
4.接待推銷人員:上班時間若有其他公司的推銷人員上門推銷,應婉轉拒絕,告知上班時間在公司推銷,會影響他人工作,若有員工需要他們的服務,告知相關部門員工直接與其對接。
5.面試人員:請面試人員在前臺處填寫面試人員資料表,并帶領其前往會議室等待,通知辦公室主任或相關部門領導進行面試。6.接待頻繁往來的相關人員:
a)快遞,公司內部不論發件或者寄件,均以電話通知相關員工至前臺處進行處理,不能讓快遞員直接進入公司內部。b)物業公司,公司內部的水電維修、物業規定的各項活動的聯系工作; c)送水公司,關注公司各處飲水機水量情況,及時聯系送水,每次接待時只需要在送水公司的卡片上寫清送水“XX”桶,拿走空桶“XX”個即可。每月月底結賬,填寫請款單提交辦公室主任,向財務申請費用支付。同時關注公司飲水機是否正常,如有異常及時通知飲水公司進行維修。(二)、辦公用品管理
1.盤庫:每月23-25日對庫存的辦公用品進行全面盤點,制作“辦公用品庫存統計表”提交辦公室主任審查。若有用品數量不足或已領用完,即時上報,進行補充;
2.購買:每月25-28日通知公司各部門提交下月所需的辦公用品清單,統計出“購買清單”后報辦公室主任審批。批準后,聯系辦公用品供應商送貨;
3.領用:員工領用所需辦公用品時,讓其填寫“辦公用品領用表”并簽字,然后給予發放;
4.結算:每月底聯系辦公用品供應商提供本月未結貨款清單及發票,確認無誤后,填寫支出單,報財務人員審批后通知供應商前往領款。(三)、日常事務
1.保證行政電子設備的正常使用,包括:掃描儀、傳真機、復印機等,若機器出現故障,及時聯系供應商解決問題; 2.每周一定時查看公司信箱,將信件發放至員工手中;
3.公司備用門卡的管理,前臺應妥善保管備用鑰匙以備公司人員有緊急情況時使用;
4.公司有人員招聘時,協助綜合部門電話通知應聘人員各項事宜; 5.收發傳真,協助各部門員工收發業務傳真;
6.協助辦公室主任組織協調公司內部活動,如員工生日會、公司集體活動、拓展等業務的聯系、通知、協調事宜。
7.新員工入職時,提供入職表格、辦公用品、公司通訊錄等,并收取新員工的個人身份證明(身份證、學歷學位證、戶口本、照片)的復印件,提交辦公室主任整理歸檔。
8.積極配合公司的市場宣傳活動,做好后勤保障工作。(四)、接待工作 1.接待前準備工作
a)來客人數確認:會議前向相關負責人確認來客人數,為布置會議室及訂餐做準備;
b)會議室桌椅布置:在開會前將會議室的桌面收拾整潔,會議椅歸位; c)茶水及點心:會議前準備好茶、熱水及杯子,等來客就位后逐個送茶;接待貴客時,應提前準備必要的水果及點心供開會人員食用; d)相機:準備公司相機,為來客拍照留念所用。
e)訂餐:向會議負責人確認是否需要訂餐,如需訂餐應確認就餐人數后,電話聯系餐廳預訂包房;
f)預訂酒店:如需為來客預訂酒店,確認主客姓名后,電話聯系酒店預訂房間,預訂成功后向辦公室主任匯報確認。2.會議中服務工作 a)為開會人員添加茶水; b)按照領導要求提供會議支持; c)安排專人負責會議中的攝像工作; 3.會議后完善工作
a)組織來客及公司領導合影留念,并將照片發至來訪者郵箱內或作為賀卡發送。
b)如遇重要客戶來訪,應及時將會議相片資料上傳至公司網站內。c)會議后的清理工作:將剩余茶水及茶杯清理干凈,未食用的點心整理歸入茶點處,以備公司員工食用;
d)會議后器材的歸庫:會議后器材應及時歸庫,將相機及其他器材放回原處;
