商務函電寫作的7C原則

函電的作用,一是索取信息或傳遞信息,二是處理商務交流中有關事宜,三是聯絡與溝通感情。

商務函電的寫作應掌握7C原則,即:

完整(complete)

正確(correctness)

清楚(clearness)

簡潔(concreteness)

具體(concreteness)

禮貌(courtesy)

體諒(consideration)

完整:商務函電應完整表達所要表達內容和意思,何人、何時、何地、何事、何種原因、何種方式等。

正確:表達的用詞用語及標點符號應正確無誤,因為商務函電的內容大多涉及商業交往中雙方的權利、義務以及利害關系,如果出錯勢必會造成不必要的麻煩。

清楚:所有的詞句都應能夠非常清晰明確地表現真實的意圖,避免雙重意義的表示或者模棱兩可。用最簡單普通的詞句來直截了當地告訴對方。

簡潔:在無損于禮貌的前提下,用盡可能少的文字清楚表達真實的意思。

清楚和簡潔經常相輔相成,摒棄函電中的陳詞濫調和俗套,可以使交流變得更加容易和方便。而一事一段則會使函電清楚易讀和富有吸引力。

具體:內容當然要具體而且明確,尤其是要求對方答復或者對之后的交往產生影響的函電。

禮貌:文字表達的語氣上應表現出一個人的職業修養,客氣而且得體。最重要的禮貌是及時回復對方,最感人的禮貌是從不懷疑甚至計較對方的坦誠。商務交往中肯定會發生意見分歧,但禮貌和溝通可能化解分歧而不影響雙方的良好關系。

體諒:為對方著想,這也是擬定商務函電時一直強調的原則:站在對方立場。在起草商務函電時,始終應該以對方的觀點來看問題,根據對方的思維方式來表達自己的意思,只有這樣,與對方的溝通才會有成效。

商務函電的種類包括:商洽函、詢問函、答復函、請求函、告知函、聯系函。從商務函 電的具體使用功能來講,又可分為:來函處理答復函、訂貨函、任命函、祝賀函、感謝函、介紹函、邀請函、聯絡函、致歉函、慰問函、唁函、推銷函。

“Cellulose Tape 1/2”x 3yds, with plastic dispenser 700 doz./-ditto-but 1/2“ x 5 yds, 1,000doz.”

這是出口商接到的一份定單中有關商品品名,規格和數量的內容。中文意思是:

“纖維素帶(幅)寬半英寸,長3碼,帶塑料包裝容器,700打;同上,但(幅)寬寬半英寸,長5碼,1000打。

主要問題是后半句不清楚。

”ditto“在這里表示前面提到的商品名稱纖維素帶,但不能包括”帶塑料包裝容器“,因此,幅寬半英寸長5碼的纖維素帶是否有塑料包裝容器沒有說清楚,不完整。所以最好改成:

”Cellulose Tape 1/2“x 3yds, with plastic dispenser 700 doz.Cellulose Tape 1/2” x 5yds,with plastic dispenser 1000 doz.“

這樣即完正,又清楚明確,不會引起誤解。

(一).避免使用可能產生不同理解或意義不明確的詞匯

〈例一〉

As to the steamers sailing from Hong Kong to San Francisco, we have bimonthly direct services.(從香港到舊金山有直達船,)

但是bimonthly 究竟是一個月兩次即半月一次呢,還是兩個月一次?不明確。因此,最好清楚明白地說明”一個月兩次“還是”兩個月一次“:

(a)We have two direct sailings every month from Hong Kong to San Francisco.(每月兩次直達船)

(b)We have semimonthly direct sailing from Hong Kong to San Francisco.(每半月一次直達船)

(c)We have a direct sailing from Hong Kong to San Francisco every two month.(每兩個月一次直達船)

(二)注意修飾詞的位置,有時修飾詞的位置不同,會導致不同的含意如:

a)Please let us know what you wish us to do about this matter as soon as possible;

b)Please let us know as soon as possible what you wish us to do about this matter.以上兩句中的” as soon as possible “修飾的內容不同:

a)你們要求我們盡快做些什么。b)請盡快告訴我們。

所以 a)可譯為”請告你們要我們為此盡快做些什么“;

b)可譯為”請盡快告知,你們要我們為此事做些什么“。

(三)注意代名詞,關系代詞和先行詞的關系

按照英語習慣,句子中的代名詞和關系代詞一般是指離得最近的名詞,因此要特別注意,以免引起誤解或不清楚。

例句:

不好: They informed Messrs.John & Smith that they would receive an answer in a few days.較好: They informed Messrs.John & Smith that latter would receive an answer in a few days.(四)注意前后一致和緊湊,連貫

不一致:Being a certified public accountant, I am sure you can help us.一致: Being a certified public accountant, you can surely help us.Or: As you are a certified public accountant, I am sure you can help us.(五)仔細和恰當地分段落(Paragraphing)

商業書信要寫得使人一讀就明白,因此必須按照內容仔細和恰當的分段落,一般的分段落原則是一個段落一個意思(A paragraph for each point is a good general rule.).現舉例

Dear Sirs,It is reported in a domestic newspaper that the Iranian Central Bank has instructed the commercial banks to suspend their business of opening a new letter of credit as from the 3rd May for financial reason of foreign currency.Although it is said that this arrangement would be a temporary one and with establishment of new import policy this emergency arrangement would be lifted, we are much concerned about the outcome of this movement toward restriction of import to Iran and shall be obliged if you will kindly keep us well advised of development of this new arrangement especially in connection with import from France.Yours faithfully,以上這封信只有一段,供兩句。第一句39字,第二句66字。讀后雖然能基本了解其內容,但讀起來很不舒服。信的內容大體有三點:

1. 伊朗中央銀行因外匯原因,通知個商業銀行從五月三日起停止開立信用證; 2. 這臨時措施,新的進口政策一訂,這個措施可能取消; 3. 希望對方隨時告之有關情況。

按照這三點,適當地分分段落,把信重新改寫一下,可能讀起來比原來的清楚易懂:

商業書信必須寫得正確,因為它涉及到買賣雙方的權利,義務,厲害關系,是各種商業單據(如合同)的根據。

廣義的說,商業書信的正確性表現在:

(一)運用正確的語言水平

(二)敘述得正確

(三)數字要正確

(四)正確理解和運用商業術語

(五)合適的寫作技巧或方法,以及正確運用其他的六個”C“。

一.正確的語言水平

(1)正式的和非正式的語言水平所用詞匯比較:

商業書信的內容要敘述得正確,既不要說得不夠(Understatement),更不要說得過頭(Overstatement)。

這句話是用來介紹商品的,但沒有具體介紹商品的性能,而是抽象地斷定這種爐子是”市場上最好的“。這樣介紹商品,不但不能達到推銷的目的,反而使人對寫信人有”賣狗皮膏藥“的感覺。

三. 字要正確

日常工作離不開數字。對商業書信中的數字的正確性要特別加以注意,有時”失之毫厘,謬以千里“。甚至引起不同的理解。

一般常用的商業用語用字簡潔,意義明確,使用得好,工作進行得順利,使用得不好,就會引起混亂,誤解,甚至產生不必要的糾紛,如:

You ask very short delivery for your order.寫信的人原意是說”你們要求趕快交你們的定貨。“可是short delivery不是快點交貨的意思,而是”短交“的意思,這就用錯了商業術語。因此,應該說:

Your require quick(prompt)delivery of your order.五. 合適的寫作技巧或方法,以及正確運用其他的六個”C“

(1)非英語國家的人學英語中普遍的弱點之一是不能正確地拼寫(spelling)每一個英文字。拼寫正確與否是一個很重要的問題。有時,一不小心,拼寫錯了,會誤大事或出笑話。你想買靴子,英文應該是BOOTS,要是拼寫成BOATS就變成你想買船了。

怎樣才能正確地拼寫?最好的辦法是讀得仔細,注意每個字的正確拼法及字母排列。要注意

音節(syllables)字根(roots)前綴(prefixes)后綴(suffixes)

有人就此寫了首打油詩做了個”總結“ I before E Except after C Or when sounded as A As in neighbor or weigh.其基本意思是說除了在字母C之后或是發音是[ei ]之外,通常是I在E之前。現舉例說明:

(a)ie [發音i:] achieve,grieve,retrieve 重新得到 believe,niece,shield brief,piece,shriek 尖聲叫喊,聳人聽聞的報道

例外:

either, fiery, foreign, friend, heifer, height, inveigle, leisure, seize, sovereign, weird.又如以ceed, cede,和sede結尾的動詞中,只有三個普通的動詞以ceed結尾,即:Exceed, proceed 和succeed結尾的,如: acced, concede, intercede調解, precede, recede.名詞的復數形式也得注意,否則也要出錯。不過如何把名詞的單數變成復數還是有規律的。

(a)絕大部分的名詞從單數變為復數時,只要在詞尾加個”s“就行了。如: hat, hats;acrobat, acrobats;banana, bananas.(b)單數名詞的字尾是s, ch, x或z的復數,通常是加es, 如:mass, masses;patch, patches;tax, taxes;buzz, buzzes.(c)以y結尾的y前是輔音字母的單數名詞變復數時,把y去掉改為I再加es,如:city, cities; community, communities.(d)以y結尾的y前是元音字母的單數名詞變復數時,只要在字尾加s, 如:money, moneys.(e)以o結尾的而o前是元音字母的單數名詞,在字尾加s就變為復數,如:radio, radios.(f)以o結尾的而o前是輔音字母的單數名詞變成復數時,應加es, 如:

buffaloes, calicoes(印花布,白棉布), cargoes, dominoes(多米諾骨牌), echoes, embargoes, heroes, jingoes, mosquitoes, mottoes(mottos), mulattoes, potatoes, tomatoes, tornadoes, torpedoes, volcanoes.但有例外如:

banjos, bolos, cantos, contraltos, dynamos, gigolos, octaves, pianos, quartos, silos, solos, sopranos, zeros.(g)絕大多數以f結尾的名詞,從單數變為復數時,把f換成v再加上es,如:half, halves, scarf, scarves(or : scarfs);self, selves;sheaf, sheaves;thief, thieves;wolf, wolves.但有例外如:

復合名詞的復數通常是其中的主要字用復數形式,如:

Fathers-in-law;hangers-on;passers-by;by-standers;solicitors general;attorneys general(or: attorney generals);major generals;Knights Templar.但也有都用復數形式的,如:

Manservant, menservants;woman-servant, women-servants

以上例子說明,英語的拼寫是有一定規律的,只是多加注意,便可以逐漸掌握其規律。但是,任何規律都有其相對的例外,這就需要特別下工夫。

有人把這些不規則的內容編了一首打油詩,現轉錄下來,供參考。

一般在每一句,每一個直接引語,每一行詩的第一個字要大寫,人的稱呼或頭銜,書名等要大寫,專有名詞要大寫,月名,星期幾要大寫,代詞I要大寫。這是使用英語必須具備的起碼的知識。因此,大寫使用的正確與否,也是英語水平問題。

除了上述一般大寫規律以外,在商業書信英語中的大寫,還有其本身的特點,現說明于下:

(A)North, South, East, West

這四個字作為一般方向用時小寫,但是當它們作為一個地理概念表示北方地區,南方地區,東方地區,西方地區,或專有的地名聯用時,就必須大寫。

[例]Cotton is the principal crop in the South;it is also grown extensively in the Southwest and in the Southern California

(棉花是南部各州的重要作物,西南各州和加利福尼亞南部也廣泛種植。)

(B)商品名稱

從語法上講,一般的商品名稱(非專有名詞)沒有必要大寫。在商業書信中為了強調()或要促使對方注意,商品名稱常常大寫。

[例]We have seen your advertisement in the ”Textile World“ and should be glad if you would send us patterns of Ladies' Woolens with your best terms.(我們看到你們在”織物界“雜志上的廣告,請寄婦女用毛織物樣本并告最優惠的價格條件。)

(C)文件名稱

[例]we have quoted our best terms on the enclosed Price List.(我們已隨函寄送價目表報最優惠價格條件。)

(D)公司,團體,城市名稱省略時大寫

[例]The Company will pay you $100 annuity.該公司將付給你年金100美圓。

(E)職務名稱

”簡潔“是有客觀標準的。雖然西方國家的作者之間在怎樣用詞才算”簡潔“方面還是有爭論的,不過他們的一些看法還是有一定參考價值的。

怎樣才能使商業書信”簡潔“? 西方國家作者有很多建議,先介紹如下:

(一)避免使用陳舊的商業術語

陳舊的與傳統的商業術語(Commercial jargon)對信的內容沒有什么作用,應該避免使用。

例一:

Wordy: We wish to acknowledge receipt of your letter of November 14 with the check for Stg.10 enclosed and wish to thank you for same.Concise: We appreciate your letter of November 14 and the check for Stg.10 you sent with it.例二:

Wordy: We take liberty to approach you with the request that you would be kind enough to introduce to us some exporters of cotton textiles in your cities.Would you please introduce to us some exporters of cotton textiles in your city?

Concise:(a)Please introduce to us some exporters of cotton textiles in your city.(b)Would you please introduce to us some exporters of cotton textiles in your city?

(注:此類簡潔的表達方式很多。)

(二)要長話短說,避免羅嗦

通常商業人士每天需要閱讀大量的書信,對開門見山,長話短說,直接切題的信特別歡迎。因此,寫信要力求長話短說,例如:

不要寫:Please see that an enquiry is conducted to determine the reason.應寫作:Please find out the reason.Page 13 of 19 不要寫:We express our regret at being unable to fulfill your order on this occasion.應寫作:We are sorry we cannot meet your present order.要使用簡潔的語言,有可能的話,盡量使用單詞來代替某些嬌柔做作的短語如:

刪去不必要的形容詞,如下列句子中的形容詞或副詞刪去后并不影響句子的原意:

The proposal is under(active)consideration.The answer is(definitely)correct.I would(rather)think the fare is too high.The(true)facts are as stated

(三)要注意每句句子的長短

例如:

”We would like to know whether you would allow us to extend the time of shipment for twenty days, and if you would be so kind as to allow us to do so, kindly give us your reply by cable without delay.“

這句話過分”客氣“,使句子過長而不清楚。內容要求對方同意延期交貨20天,一般情況下,應盡可能提出延期到那一天的具體日期。這句話可壓縮為:

”Please reply by telegram immediately if you will allow us to delay the shipment until April 21.“(如同意我們把交貨延期到四月二十一日,請電復。)

有的作者為了使人們記住避免使用陳舊的商業術語,專門選擇了一些他認為陳舊的商業術語搞成一首詩:

COURTESY譯成”禮貌“。但是根據西方國家函電書籍作者普遍的看法,所謂COURTESY是”客氣而又體諒人“的意思。有的作者還把 COURTESY和POLITENESS這兩個同義詞做了比較,認為:POLITENESS的客氣只是表現在文章的語句上,而COURTESY則表現在對對方的”體諒“,例如:

商務函電的作用,一是索取信息或傳遞信息,二是處理商務交流中有關事宜,三是聯絡與溝通感情。

商務函電的寫作應掌握7c原則,即:

完整(complete)

正確(correctness)

清楚(clearness)

簡潔(concreteness)

具體(concreteness)

禮貌(courtesy)

體諒(consideration)

完整:商務函電應完整表達所要表達內容和意思,何人、何時、何地、何事、何種原因、何種方式等。

正確:表達的用詞用語及標點符號應正確無誤,因為商務函電的內容大多涉及商業交往中雙方的權利、義務以及利害關系,如果出錯勢必會造成不必要的麻煩。

清楚:所有的詞句都應能夠非常清晰明確地表現真實的意圖,避免雙重意義的表示或者模棱兩可。用最簡單普通的詞句來直截了當地告訴對方。

簡潔:在無損于禮貌的前提下,用盡可能少的文字清楚表達真實的意思。清楚和簡潔經常相輔相成,摒棄函電中的陳詞濫調和俗套,可以使交流變得更加容易和方便。而一事一段則會使函電清楚易讀和富有吸引力。

具體:內容當然要具體而且明確,尤其是要求對方答復或者對之后的交往產生影響的函電。

禮貌:文字表達的語氣上應表現出一個人的職業修養,客氣而且得體。最重要的禮貌是及時回復對方,最感人的禮貌是從不懷疑甚至計較對方的坦誠。商務交往中肯定會發生意見分歧,但禮貌和溝通可能化解分歧而不影響雙方的良好關系。

體諒:為對方著想,這也是擬定商務函電時一直強調的原則:站在對方立場。在起草商務函電時,始終應該以對方的觀點來看問題,根據對方的思維方式來表達自己的意思,只有這樣,與對方的溝通才會有成效。

促銷的目的就是要賣出產品,那么怎樣才能把促銷信寫得吸引人、讓人一看就對產品感興趣呢?下面就教你促銷信的四步寫法、打造 very attractive 的促銷信。

第一步:To arouse attention

促銷信都是“不請自來”,所以開頭一定要有吸引力和誘惑力。It must make an appeal to some particular buying motive and may begin with a question, and instruction, a quotation or an attention-grabing short story.Sometimes if required, it may even begin by suggesting the very opposite to what you want.看看下面這些開頭是怎么寫的:

商務信函書信是日常生活中常用的文體,是用以交涉事宜、傳達信息、交流思想、聯絡感情、增進了解的重要工具。書信一般可分為商務信件或公函(Business Letter or Official Correspondence)和私人信件(Private Letter)兩大類。值得注意的是,英語 書信的寫法與漢語書信有一些明顯區別,應特別加以區分。英語 書信通常包括下面幾個組成部分:信端、信內地址、稱呼、正文、結束語、簽名、附件、再啟等。下面我們將逐個進行介紹。

1、商務信函信端(Heading)

信端即信頭,一般包括寫信人的地址和寫信日期。一些正式信函的信端還包括發信人或單位的電話號碼、電報掛號、電傳、傳真和郵政編碼等。西方國家中有些信端甚至還有單位負責人的姓名、職務和職稱等。信端的目的是使收信人一看便知道書信來自何處,何時發出,便于復信和查閱。用一般的信紙寫信時,信端應寫在信紙的右上角,若字數較多,可從信紙中間或偏右的地方寫起。若字數較少,可適當多向右移一些,使整個信端的重心落在右上角。

商務信函信端的寫法主要有并列式和斜列式兩種。從目前情況來看,前者更為常用。采用并列式時,每行開頭要左對齊;采用斜列式時,每行開頭逐次向右移二三個字母的距離。例如:

寫信端時,先寫發信人的地址,地點的名稱按由小到大的順序排列,然后是其它項目和發信日期。具體次序是:第一行寫門牌號和街名;第二行寫區名、市(縣)名、省(州、邦)名,往國外寄的信,還要寫上國家的名稱;國家名稱的前面加上郵政編碼,其后可寫上電話號碼,最后一行寫發信日期。如果寫信人的地址是機關單位的名稱,則將其作為第一行。如果寫信人的單位沒有門牌號碼和街名,則第一行可寫上所在班級或專業組的名稱;第二行寫系、科、室名稱;第三行寫學校名稱;第四行寫市(縣)、省(州)名稱;然后再寫郵政編碼、國名、電話號碼、發信日期等項。

如果使用標點符號,則在每行末尾加逗號,最后一行的末尾加句號。但當前的信件中行末大都不加標點符號,但在每行之內該用標點符號的地方,仍要用標點。特別要注意的是,門牌號碼和街名之間要加逗號。月份和日期之間不可用逗號。在西方國家,城市名稱之后往往寫有字母或數字(如 New York, 103),表示城市的郵政編碼。

關于發信日期的寫法,應注意以下幾點:

①年份應完全寫出,不能簡寫。

②月份要用英文名稱,不要用數字代替。

③月份名稱多用公認的縮寫式。但 May, June, July, 因為較短,不可縮寫。

④寫日期時,可用基數詞1,2,3,4,5,??28,29,30,31等,也可用序數詞 lst, 2nd, 3rd, 4th, 5th, ??28th, 29th, 30th, 31lst等。但最好用基數詞,簡單明了。

日期可有下列幾種寫法:

① Oct.20, 2004

② 10 May., 2004

③ 3rd June, 2004

④ Sept.16th, 2004

其中,①最為通用。

2、商務信函信內地址(Inside Address, Introductory Address)

信內地址收信人的姓名和地址,寫在信紙的左上角,從信紙的左邊頂格開始寫,低于寫信人地址和發信日期一二行,也分并列式和斜列式兩種,但應與信端的書寫格式保持一致。其次序是,先寫收信人姓名、頭銜和單位名稱,占一二行,然后寫地址,可占二至四行,例如:

3.商務信函稱呼(Salutation)

對收信人的稱呼應自成一行,寫在低于信內地址一二行的地方,從信紙的左邊頂格開始寫,每個詞的開頭字母要大寫,至于末尾處的符號,英國人用逗號,但美國和加拿大 英語 則多用冒號。稱呼用語可視寫信人與收信人的關系而定。給外國人寫英文信時,稱呼用語要注意以下幾點:

①對沒有頭銜的男性一般稱呼 Mr.。Mr.用在姓氏之前或姓氏和名字之前,不可只用在名字之前,例如對的稱呼,應該是:Mr.或 Mr.White, 不可是:Mr.Phil。若稱呼多個男性,則在姓名前用 Mr.的復數形式 Messrs.。對一般以人名為名稱的公司和企業常用這種稱呼,例如:Messrs.Black and Brothers 布萊克兄弟公司。

②對女性一般稱呼 Mrs.,Madam 或 Miss。Mrs.用在已婚女子的丈夫的姓氏之前,或姓氏和名字之前,一般不用在名字前 Madame 此詞可以單獨使用或加在丈夫的姓名之前 Mrs.沒有復數形式。若稱呼多個女性,則在姓名前用 Mme.的復數形式 Mmes.而對以女子名字為名稱的公司、企業可用 Mesdames 稱呼。Miss 多用于未婚女子,此詞可縮寫為 Ms,用于姓氏之前或姓氏和名字之前,一般不用于名字之前。

③對收信人的稱呼,也可用頭銜或職位的名稱,不分性別。例如 Professor(縮寫為 Prof.),Doctor(縮寫為 Dr.),General(縮寫為 Gen.)。這些稱呼都放在姓氏之前或姓氏和名字之前,如 Prof.(Phil)White等。

④對外公函中對收信人的稱呼,可用 Gentlemen(而不是 Gentleman),Dear Sir(s)和 My dear Sir(s)等。Gentlemen 之前不能加 Dear,后面也不能帶姓名。用 Sirs 時,前面常用 Dear 一詞,但也可單獨用 Sir。若收信人是婦女,則無論已婚或未婚,都可單獨使用 Madam 或其復數 Mesdames。

⑤對外國高級官員的稱呼,如國家元首、政府首腦、部長、大使、公使和特使等,可用(Dear)Sir,(Dear)Mr.Chairman,(Dear)Mr.Premier,(My dear)Mr.Ambassador,Your Excellency(復數為 Excellencies)。

⑥對君主制國家的國王和皇帝等男性君主,可以 Sir 稱呼,對女王、女皇和皇后等女性君主,可用 Madam 稱呼。有時也用 Your Majesty 稱呼以表示。客氣和尊敬Your Majesty 可兼指男性和女性,其復數為 Your Majesties。

⑦對王室成員,如太子、王子、親王和公主等,一般可用(Dear)Sir 或(Dear)Madam 但在正式尊稱時,一般用 Your Highness(復數為 Highnesses)。

收信人稱呼

4.商務信函信的正文(Body of the Letter)

信的正文每段第一行應往右縮進約四五個字母。在寫事務性信件時,正文一般開門見山,內容簡單明了,條理清楚。在寫私人信件時,信寫好之后若有什么遺漏,可用 P.S.表示補敘。

5.商務信函結束語(Complimentary Close)

結束語是寫信人表示自己對收信人的一種謙稱,只占一行,低于正文一二行,從信紙的中間或偏右的地方開始寫。第一個詞的開頭字母要大寫,末尾用逗號。結束語視寫信人與收信人的關系而定例如寫給機關、團體或不相識的人的信,一般用:

Yours(very)truly, Yours(very)faithfully,Yours(very)sincerely,等等。

寫給上級和長者的信一般可用:

Yours(very)respectfully, Yours(very)obediently, Yours gratefully, Yours appreciatively, Your obedient servant, 等等。

寫給同志或同事的信一般可用:

Fraternally yours, Comradely yours,等等。

寫給熟人或朋友的信可用:

Yours, Ever yours, Yours affectionately, As ever, Yours sincerely Yours devotedly,(Most)Fondly yours, Yours excitedly, Intimately yours,等等。

寫給親屬或摯友的信一般用:

Yours, Ever yours, Yours as ever, As ever, Yours affectionately, Lovingly yours,(Much)Love, With Love,Lovingly, Your loving son, Your most affectionate, Your devoted friend, Devotedly, 等等,意即:“您的”、“永遠是您的”、“您的親愛的”、“您的愛子(孩子、姐妹、侄、侄女、祖母)”、“您的摯友”等。

寫給摯友的信有時也可用:

Yours hurriedly, Yours hastily, Yours in haste, 等等。

寫信給摯友,表示歉意時,可用:

Contritely yours, Regretfully yours, Yours in(with)regret, Yours in(with)deep remorse 等。

在歐洲一些國家里,多把Yours 放在 sincerely等詞的前面。在美國和加拿大等國,則多用,把 yours 放在 Sincerely 等詞之后。Yours 一詞有時也可省略。

6.簽名(Signature)

信末的簽名一般低于結束語一二行,從信紙中間偏右的地方開始寫。若寫信人是女性,與收信人又不相識,則一般在署名前用括號注上 Miss, Mrs.或 Ms.,以便對方回信時知道如何稱呼。有的還有署名后寫上自己的職稱、職務或頭銜

7.附件(Enclosure)

信件若有附件,應在左下角注明 Encl.或 Enc.。若附件不止一個,則應寫出2(或3,4,5等)Encls.,例如:

Encls:Grade Certificate

8.再啟(Postscript, 縮寫為 P.S.)

再啟部分用于補敘正文中遺漏的話,一般應盡量少用,正式的函件中更應避免使用。

9.私人和公務信函--注意事項

首先,寫信者應設身處地想到對方,尊重對方的風俗習慣。

其次,英文信應該行文流暢、言簡意賅,避免冗長。這就是說,寫信者應用盡可能少的文字表達其必須傳遞的信息,而且寫信者應將其所需傳遞的信息表達清楚,以免對方產生誤解。書信交往,同樣需要以禮待人。因而在寫信過程中,要避免傷害對方感情,措辭上多選用些禮貌婉轉詞語。

最后,除了避免語法、拼寫、標點錯誤外,信中所引用的史料、數據等也應準確無誤.私人和公務信函--常用句式。常用的起首語有:

1)Thank you for your letter dated Dec.22,1969.2)Many thanks for your letter of Sept.5,1997.3)A thousand thanks for your kind letter of June 5,1997.4)Your kind letter of November 22th arrived this morning.5)Your letter which arrived this morning gave me great comfort.6)In reply to your letter dated 4th July,I want to say?

7)Thank you very much for your letter of August 2 and the gift you sent me on Christmas Eve.8)What a treat to receive your kind letter of May 5th!

9)It is always a thrill to see your nice handwriting.10)First of all I must thank you for your kind assistance and high attention to me.11)With great delight I learn from your letter of this Sunday that ?
