英文郵件(商務(wù))格式及常用語(yǔ) Ⅰ郵件主題:
①.主題(Subject)框的內(nèi)容應(yīng)簡(jiǎn)明地概括信的內(nèi)容,短的可以是一個(gè)單詞,如greetings; 長(zhǎng)的可以是一個(gè)名詞性短語(yǔ),也可以是完整句,但長(zhǎng)度一般不超過(guò)35個(gè)字母。

⑶.句子不要凌碎
例子:He decided not to audit the last ten contracts.Because of our previous objections about compliance.應(yīng)該連在一起。
⑷.結(jié)構(gòu)對(duì)稱(chēng),令人容易理解。
例子: The owner questioned the occupant's lease intentions and the fact that the contract had been altered with ink markings.應(yīng)改為:The owner questioned the occupant's lease intentions and ink alterations of the contract.⑸.單復(fù)數(shù)不要搞亂,不然會(huì)好刺眼,看不舒服。
例如:An authorized person must show that they have security clearance.⑹.動(dòng)詞主詞要呼應(yīng)。想想這兩個(gè)分別:

⑻.選詞正確
像affect和effect,operative和operational等等就要弄清楚才好用啦。

⑶.I am lookingforward to hearing from you soon./ Looking forward to hearing from you soon.期待收信人的盡快回復(fù),這樣的寫(xiě)法很常用,”soon”就足可以表示“盡快”的意思,不要用”as quickly as you can”這樣生硬的短語(yǔ),像是在下命令,很不禮貌。
⑷.Thank you for your kind cooperation.如果你需要讀者幫助你做某事,那就先得表示感謝。
⑸.Thank you for your attention to this matter.與以上的類(lèi)似,本句包含了你對(duì)對(duì)方將來(lái)可能的幫助表示感謝。

關(guān)于英文商務(wù)email的問(wèn)題
“在商務(wù)交往中要尊重一個(gè)人,首先就要懂得替他節(jié)省時(shí)間”,電子郵件禮 儀的一個(gè)重要方面就是節(jié)省他人時(shí)間,只把有價(jià)值的信息提供給需要的人。寫(xiě) Email 就能看出其人為人處世的態(tài)度。你作為發(fā)信人寫(xiě)每封 Email 的時(shí)候,要想到收信人會(huì)怎樣看這封 Email,時(shí)刻站在對(duì)方立場(chǎng)考慮,將心比心。同時(shí)勿對(duì)別人之回答過(guò)度期望,當(dāng)然更不應(yīng)對(duì)別人之回答不屑一顧。
以下職業(yè)電子郵件中禮儀問(wèn)題,希望能給您的工作帶來(lái)幫助!
一、關(guān)于郵件主題 主題是接收者了解郵件的第一信息,因此要提綱挈領(lǐng),使用有意義的主題行,這樣可以讓收件人迅速了解郵件內(nèi)容并判斷其重要性。
1.一定不要空白標(biāo)題,這是最失禮的;
2.標(biāo)題要簡(jiǎn)短,不宜冗長(zhǎng),不要讓 outlook 用,才能顯示完你的標(biāo)題;
3.標(biāo)題要能反映文章的內(nèi)容和重要性,切忌使用含義不清的標(biāo)題,如“王先 生收”;
4.一封信盡可能只針對(duì)一個(gè)主題,不在一封信內(nèi)談及多件事情,以便于日后 整理;
5.可適當(dāng)用使用大寫(xiě)字母或特殊字符(如“*!”等)來(lái)突出標(biāo)題,引起收件人注意,但應(yīng)適度,特別是不要隨便就用“緊急”之類(lèi)的字眼;
6. 回復(fù)對(duì)方郵件時(shí),可以根據(jù)回復(fù)內(nèi)容需要更改標(biāo)題,不要 RE、一大串。RE
二、關(guān)于稱(chēng)呼與問(wèn)候
1.恰當(dāng)?shù)胤Q(chēng)呼收件者,拿捏尺度
1.1 郵件的開(kāi)頭要稱(chēng)呼收件人。這既顯得禮貌,也明確提醒某收件人,此郵 件是面向他的,要求其給出必要的回應(yīng);在多個(gè)收件人的情況下可以稱(chēng)呼大家、ALL。
1.2 如果對(duì)方有職務(wù),應(yīng)按職務(wù)尊稱(chēng)對(duì)方,如“x 經(jīng)理”;如果不清楚職務(wù),則應(yīng)按通常的“x 先生”、“x 小姐”稱(chēng)呼,但要把性別先搞清楚。
1.3 不熟悉的人不宜直接稱(chēng)呼英文名,對(duì)級(jí)別高于自己的人也不宜稱(chēng)呼英文 名。稱(chēng)呼全名也是不禮貌 的,不要逮誰(shuí)都用個(gè)“Dear xxx”,顯得很熟絡(luò)。
2.Email 開(kāi)頭結(jié)尾最好要有問(wèn)候語(yǔ) 最簡(jiǎn)單的開(kāi)頭寫(xiě)一個(gè)“HI”,中文的寫(xiě)個(gè)“你好”;結(jié)尾常見(jiàn)的寫(xiě)個(gè) Bes t Regards,中文的寫(xiě)個(gè)“祝您順利”之類(lèi)的也就可以了。俗話說(shuō)得好,“禮多人不怪”,禮貌一些,總是好的,即便郵件中有些地 方不妥,對(duì)方也能平靜的看待。
三、職場(chǎng)的電子郵件禮儀
1.Email 正文要簡(jiǎn)明扼要,行文通順 Email 正文應(yīng)簡(jiǎn)明扼要的說(shuō)清楚事情;如果具體內(nèi)容確實(shí)很多,正文應(yīng)只 作摘要介紹,然后單獨(dú)寫(xiě)個(gè)文件作為附件進(jìn)行詳細(xì)描述。正文行文應(yīng)通順,多用簡(jiǎn)單詞匯和短句,準(zhǔn)確清晰的表達(dá),不要出現(xiàn)讓人 晦澀難懂的語(yǔ)句。
2.注意 Email 的論述語(yǔ)氣 根據(jù)收件人與自己的熟絡(luò)程度、等級(jí)關(guān)系;郵件是對(duì)內(nèi)還是對(duì)外性質(zhì)的不 同,選擇恰當(dāng)?shù)恼Z(yǔ)氣進(jìn)行論述,以免引起對(duì)方不適。尊重對(duì)方,請(qǐng)、謝謝之類(lèi)的語(yǔ)句要經(jīng)常出現(xiàn)。電子郵件可輕易地轉(zhuǎn)給他人,因此對(duì)別人意見(jiàn)的評(píng)論必須謹(jǐn)慎而客觀。郵 “ 件門(mén)”就是深刻的教訓(xùn)!
3.Email 正文多用 1234 之類(lèi)的列表,以清晰明確。如果事情復(fù)雜,最好 1、2、3、4 的列幾個(gè)段落進(jìn)行清晰明確的說(shuō)明。保持你的每個(gè)段落簡(jiǎn)短不冗長(zhǎng),沒(méi)人有時(shí)間仔細(xì)看你沒(méi)分段的長(zhǎng)篇大論。
4.一次郵件交待完整信息 最好在一次郵件中把相關(guān)信息全部說(shuō)清楚、說(shuō)準(zhǔn)確。不要過(guò)兩分鐘之后再 發(fā)一封什么“補(bǔ)充”或者“更正”之類(lèi)的郵件,這會(huì)讓人很反感。
5.盡可能避免拼寫(xiě)錯(cuò)誤和錯(cuò)別字,注意使用拼寫(xiě)檢查 這是對(duì)別人的尊重,也是自己態(tài)度的體現(xiàn)。如果是英文 Email,最好把拼寫(xiě)檢查功能打開(kāi)。在郵件發(fā)送之前,務(wù)必自己仔細(xì)閱讀一遍,檢查行文是否通順,拼寫(xiě)是否 有錯(cuò)誤。
6.合理提示重要信息 不要?jiǎng)硬粍?dòng)就用大寫(xiě)字母、粗體斜體、顏色字體、加大字號(hào)等手段對(duì)一些 信息進(jìn)行提示。合理的提 示是必要的,但過(guò)多的提示則會(huì)讓人抓不住重點(diǎn),影 響閱讀。
7.合理利用圖片,表格等形式來(lái)輔助闡述 對(duì)于很多帶有技術(shù)介紹或討論性質(zhì)的郵件,單純以文字形式很難描述清 楚。如果配合圖表加以闡述,收件人一定會(huì)表?yè)P(yáng)你的體貼。
8.不要?jiǎng)硬粍?dòng)使用¤之類(lèi)的笑臉字符,在商務(wù)信函里面這樣顯得比較輕佻 Business Email 不是你的情書(shū),所以¤之類(lèi)的最好慎用。只用在某些你確實(shí)需要強(qiáng)調(diào)出一定的輕松氣氛的場(chǎng)合。
四、夾帶附件
1.如果郵件帶有附件,應(yīng)在正文里面提示收件人查看附件;
2.附件文件應(yīng)按有意義的名字命名,不可用外星人才看懂的文件名;
3.正文中應(yīng)對(duì)附件內(nèi)容做簡(jiǎn)要說(shuō)明,特別是帶有多個(gè)附件時(shí);
4.附件數(shù)目不宜超過(guò) 4個(gè),數(shù)目較多時(shí)應(yīng)打包壓縮成一個(gè)文件;
5.如果附件是特殊格式文件,因在正文中說(shuō)明打開(kāi)方式,以免影響使用;
6.如果附件過(guò)大(不宜超過(guò) 2MB),應(yīng)分割成幾個(gè)小文件分別發(fā)送;
7.尊重對(duì)方的習(xí)慣,不主動(dòng)發(fā)起英文郵件; 如果對(duì)方與你的郵件往來(lái)是采用中文,請(qǐng)不要自作聰明的發(fā)送英文郵件給 他;如果對(duì)方發(fā)英文郵件給你,也不要老土的用中文回復(fù)。
8.選擇便于閱讀的字號(hào)和字體。選擇便于閱讀的字號(hào)和字體。中文老實(shí)點(diǎn)用宋體或新宋體,英文就用 Verdana 或 Arial 字型,字號(hào)用 五號(hào)或 10 號(hào)字即可。這是經(jīng)研究證明最適合在線閱讀的字號(hào)和字體。不要用稀奇古怪的字體或斜體,最好不用背景信紙,特別對(duì)公務(wù)郵件。
五、結(jié)尾簽名 每封郵件在結(jié)尾都應(yīng)簽名,這樣對(duì)方可以清楚的知道發(fā)件人信息。雖然你的 朋友可能從發(fā)件人中認(rèn)出你,但不要為你的朋友設(shè)計(jì)這樣的工作。
1.簽名信息不宜過(guò)多 電子郵件消息末尾加上簽名檔是必要的。簽名檔可包括姓名、職務(wù)、公司、電話、傳真、地址等信息,但信息不宜行數(shù)過(guò)多,一般不超過(guò) 4 行。你只需將一些必要信息放在上面,對(duì)方如果需要更詳細(xì)的信息,自然會(huì)與你 聯(lián)系。引用一個(gè)短語(yǔ)作為你的簽名的一部分是可行的,比如你的座右銘,或公司 的宣傳口號(hào)。但是要分清收件人對(duì)象與場(chǎng)合,切記一定要得體。
2.不要只用一個(gè)簽名檔 對(duì)內(nèi)、對(duì)私、對(duì)熟悉的客戶(hù)等群體的郵件往來(lái),簽名檔應(yīng)該進(jìn)行簡(jiǎn)化。過(guò) 于正式的簽名檔會(huì)讓對(duì)方顯得疏遠(yuǎn)。你可以在 OUTLOOK 中設(shè)置多個(gè)簽名檔,靈活調(diào)用。
3.簽名檔文字應(yīng)選擇與正文文字匹配,簡(jiǎn)體、繁體或英文,以免出現(xiàn)亂碼。字號(hào)一般應(yīng)選擇比正文字體小一些。
六、郵件回復(fù)
1.及時(shí)回復(fù) Email 收到他人的重要電子郵件后,即刻回復(fù)對(duì)方一下,往往還是不可少的,這是 對(duì)他人的尊重,理想的回復(fù)時(shí)間是 2 小時(shí)內(nèi),特別是對(duì)一些緊急重要的郵件。對(duì)每一份郵件都立即處理是很占用時(shí)間的,對(duì)于一些優(yōu)先級(jí)低的郵件可集中 在特定時(shí)間處理,但一般不要超過(guò) 24 小時(shí)。如果事情復(fù)雜,你無(wú)法及時(shí)確切回復(fù),那至少應(yīng)該及時(shí)的回復(fù)說(shuō)“收到了”,我們正在處理,一旦有結(jié)果就會(huì)及時(shí)回復(fù)。不要讓對(duì)方苦苦等待,記?。杭皶r(shí)做 出響應(yīng),哪怕只是確認(rèn)一下收到了。如果你正在出差或休假,應(yīng)該設(shè)定自動(dòng)回復(fù)功能,提示發(fā)件人,以免影響工 作。2.進(jìn)行針對(duì)性回復(fù) 當(dāng)回件答復(fù)問(wèn)題的時(shí)候,最好把相關(guān)的問(wèn)題抄到回件中,然后附上答案。不要用簡(jiǎn)單的,那樣太生硬了,應(yīng)該進(jìn)行必要的闡述,讓對(duì)方一次性理解,避免 再反復(fù)交流,浪費(fèi)資源。
3.回復(fù)不得少于 10個(gè)字 對(duì)方給你發(fā)來(lái)一大段郵件,你卻只回復(fù)“是的”、“對(duì)”、“謝謝”、“已 知道” 等字眼,這是非 常不禮貌的。怎么著也要湊夠 10個(gè)字,顯示出你的尊重。
4.不要就同一問(wèn)題多次回復(fù)討論,不要蓋高樓 如果收發(fā)雙方就同一問(wèn)題的交流回復(fù)超過(guò) 3 次,這只能說(shuō)明交流不暢,說(shuō) 不清楚。此時(shí)應(yīng)采用電話 溝通等其它方式進(jìn)行交流后再做判斷。電子郵件有時(shí)并不是最好的交流方式。對(duì)于較為復(fù)雜的問(wèn)題,多個(gè)收件人頻繁回復(fù),發(fā)表看法,把郵件越 RE 越高,這將導(dǎo)致郵件過(guò)于冗長(zhǎng)笨拙而不可閱讀。此時(shí)應(yīng)即是對(duì)之前討論的結(jié)果進(jìn)行小結(jié),刪減瘦身,突出有用信息。
5.要區(qū)分 Reply 和 Reply All(區(qū)分單獨(dú)回復(fù)和回復(fù)全體)如果只需要單獨(dú)一個(gè)人知道的事,單獨(dú)回復(fù)給他一個(gè)人就行了。如果你對(duì)發(fā)件人提出的要求做出結(jié)論響應(yīng),應(yīng)該 replay all,讓大家都知 道;不要讓對(duì)方幫你完成 這件事情。如果你對(duì)發(fā)件人的提出的問(wèn)題不清楚,或有不同的意見(jiàn),應(yīng)該與發(fā)件人單獨(dú) 溝通,不要當(dāng)著所有人的面,不停的 RE 來(lái) RE 去,與發(fā)件人討論。你們討論好了再告訴大家。不要向上司頻繁發(fā)送沒(méi)有確定結(jié)果的郵件。點(diǎn)擊“回復(fù)全部”前,要三思而行!
6.主動(dòng)控制郵件的來(lái)往 為避免無(wú)謂的回復(fù),浪費(fèi)資源,可在文中指定部分收件人給出回復(fù),或在 文末添上以下語(yǔ)句:“全 部辦妥”、“無(wú)需行動(dòng)”、“僅供參考,無(wú)需回復(fù)”。

1.To 的人是要受理這封郵件所涉及的主要問(wèn)題的,理應(yīng)對(duì)郵件予以回復(fù)響 應(yīng)。
2.而 CC 的人則只是需要知道這回事,CC 的人沒(méi)有義務(wù)對(duì)郵件予以響應(yīng),當(dāng)然如果 CC 的人有建議,當(dāng)然可以回 Email。
3.而 BCC 是秘送,即收信人是不知道你發(fā)給了 BCC 的人了的。這個(gè)可能用 在非常的場(chǎng)合。
4.TO,CC 中的各收件人的排列應(yīng)遵循一定的規(guī)則。比如按部門(mén)排列;按職 位等級(jí)從高到低或從低到高都可以。適當(dāng)?shù)囊?guī)則有助于提升你的形象!
5.只給需要信息的人發(fā)送郵件,不要占用他人的資源。
6.轉(zhuǎn)發(fā)郵件要突出信息。
八、注意事項(xiàng)
1.在你轉(zhuǎn)發(fā)消息之前,首先確保所有收件人需要此消息;
2.轉(zhuǎn)發(fā)敏感或者機(jī)密信息要小心謹(jǐn)慎,不要把內(nèi)部消息轉(zhuǎn)發(fā)給外部人員,或 者未經(jīng)授權(quán)的接收人;
3.如果有需要 還應(yīng)對(duì)轉(zhuǎn)發(fā)郵件的內(nèi)容進(jìn)行修改和整理,以突出信息;
4.不要將 RE 了幾十層的郵件發(fā)給他人,讓人摸不著頭腦;
5.對(duì)外重要文件必須經(jīng)高階主管認(rèn)可簽字轉(zhuǎn)為 PDF 文件,或由高階主管親 自發(fā)送;
6.所有的電子郵件應(yīng)自我 Double check 后才發(fā)出。
【點(diǎn)評(píng)】
1、溝通的效果,面對(duì)面最好,電話次之,郵件最差;
2、以后發(fā)送的郵件切記不要出現(xiàn)無(wú)標(biāo)題之類(lèi),這樣給收件人后期查詢(xún)帶來(lái)很多 不便,同時(shí)也給收件人留下一個(gè)不好的印象;
3、如果前后發(fā)送同一個(gè)主題的郵件,但是郵件的內(nèi)容有所變化,應(yīng)在郵件標(biāo)題 中有所提示,如(更新)字樣,當(dāng)然,最好的方式是一步到位;
4、準(zhǔn)確把握收件人、抄送人、密送人的不同使用方法及不同;
5、一個(gè)郵件通常只包含一件事情;
6、郵件的征文應(yīng)突出主題,便于收件人閱讀所要表達(dá)的重點(diǎn),如果內(nèi)容太多,可在郵件正文簡(jiǎn)明扼要的概括下內(nèi)容要點(diǎn),并注明詳細(xì)內(nèi)容請(qǐng)參看附件;
7、特殊格式的文件,需注明打開(kāi)的方式,這樣給使用者會(huì)帶來(lái)更多的方便;
8、對(duì)財(cái)務(wù)人員來(lái)說(shuō),在報(bào)送報(bào)表、應(yīng)收賬款等情況時(shí),可注明“**年**月** 公司**報(bào)表”,在報(bào)送應(yīng)收賬款時(shí),可注明“**公司應(yīng)收賬款表(截止**月* *日)”,這樣可以使人更加方便的閱讀,也便于后期查看;
9、日常在發(fā)送郵件時(shí),可以在 word 里面先進(jìn)行輸入,然后再?gòu)?fù)制到郵箱里,一方面在 word 里面便于編輯,另一方面 word 提供了自動(dòng)保存功能,可以使 我們更高效的工作,最后還可以利用 word 提供的【工具】-【拼寫(xiě)和語(yǔ)法】 來(lái)檢查是否存在語(yǔ)法錯(cuò)誤;郵件溝通較之面對(duì)面交流的一大優(yōu)勢(shì)在于,你可以借助一切力量使得你撰寫(xiě)的郵件準(zhǔn) 確無(wú)誤得表達(dá)你的意圖,而不必?fù)?dān)心發(fā)音不標(biāo)準(zhǔn)或語(yǔ)法錯(cuò)誤等讓人尷尬的掉鏈子情況 發(fā)生?!?/p>
