使用valediction的時(shí)候,不僅要考慮隨意/正式,也要考慮對(duì)方是哪國(guó)人。
美式英語(yǔ):隨意親近的表示通常用Best;正式的用Sincerely, 或Yours sincerely,或Thank you。英 式英語(yǔ):隨意親近的表示通常用Cheers;正式書(shū)信中,Best regards常見(jiàn)但偏商業(yè)化(香港人不管干什么都喜歡用BR),而在standard British English中,若信件開(kāi)頭為Dear Sir/Madam, Dear Manager此類(lèi)未特指對(duì)方姓名的稱(chēng)呼,則用Yours faithfully結(jié)尾,若開(kāi)頭稱(chēng)呼有具體指稱(chēng)對(duì)方姓名,則用Yours sincerely。
如果雙方實(shí)在夠熟悉,或短時(shí)間多次電郵往來(lái),為了省事也可直接署名。

至于best wishes,老實(shí)講現(xiàn)實(shí)生活中我還未遇到過(guò)。好像小學(xué)初中學(xué)寫(xiě)英文賀卡的時(shí)候蠻常用。
首先,熟人之間是不寫(xiě)信的。因此,只說(shuō)說(shuō)在商務(wù)信函中的使用。
1)Sincerely, Regards, 沒(méi)有區(qū)別,可以在任何情況下使用。你寫(xiě)了sincerely,也無(wú)法顯出你sincere。2)Best wishes, 我個(gè)人認(rèn)為這種說(shuō)法比較娘炮。適用于不談工作的商業(yè)信函,比如溝通感情、表達(dá)感謝的那種。3)Cheers,適用于團(tuán)隊(duì)內(nèi)部。我也不知道寫(xiě)了這個(gè)cheers想表達(dá)什么,但是看起來(lái)特熟絡(luò)、地道、高端。對(duì)于團(tuán)隊(duì)里的那些菜鳥(niǎo)來(lái)說(shuō),顯得逼格高人一等。

二、關(guān)于稱(chēng)呼與問(wèn)候
1.恰當(dāng)?shù)胤Q(chēng)呼收件者,拿捏尺度 1.1 郵件的開(kāi)頭要稱(chēng)呼收件人。這既顯得禮貌,也明確提醒某收件人,此郵件是面向他的,要求其給出必要的回應(yīng);在多個(gè)收件人的情況下可以稱(chēng)呼大家、ALL。
1.2 如果對(duì)方有職務(wù),應(yīng)按職務(wù)尊稱(chēng)對(duì)方,如“x經(jīng)理”;如果不清楚職務(wù),則應(yīng)按通常的“x先生”、“x小姐”稱(chēng)呼,但要把性別先搞清楚。
1.3 不熟悉的人不宜直接稱(chēng)呼英文名,對(duì)級(jí)別高于自己的人也不宜稱(chēng)呼英文名。稱(chēng)呼全名也是不禮貌 的,不要逮誰(shuí)都用個(gè)“Dear xxx”,顯得很熟絡(luò)。

三、職場(chǎng)的電子郵件禮儀
1.Email正文要簡(jiǎn)明扼要,行文通順
Email正文應(yīng)簡(jiǎn)明扼要的說(shuō)清楚事情;如果具體內(nèi)容確實(shí)很多,正文應(yīng)只作摘要介紹,然后單獨(dú)寫(xiě)個(gè)文件作為附件進(jìn)行詳細(xì)描述。
正文行文應(yīng)通順,多用簡(jiǎn)單詞匯和短句,準(zhǔn)確清晰的表達(dá),不要出現(xiàn)讓人晦澀難懂的語(yǔ)句。
2.注意Email的論述語(yǔ)氣
根據(jù)收件人與自己的熟絡(luò)程度、等級(jí)關(guān)系;郵件是對(duì)內(nèi)還是對(duì)外性質(zhì)的不同,選擇恰當(dāng)?shù)恼Z(yǔ)氣進(jìn)行論述,以免引起對(duì)方不適。
尊重對(duì)方,請(qǐng)、謝謝之類(lèi)的語(yǔ)句要經(jīng)常出現(xiàn)。

Business Email 不是你的情書(shū),所以¤之類(lèi)的最好慎用。只用在某些你確實(shí)需要強(qiáng)調(diào)出一定的輕松氣氛的場(chǎng)合。
四、夾帶附件
1.如果郵件帶有附件,應(yīng)在正文里面提示收件人查看附件;
2.附件文件應(yīng)按有意義的名字命名,不可用外星人才看懂的文件名;
3.正文中應(yīng)對(duì)附件內(nèi)容做簡(jiǎn)要說(shuō)明,特別是帶有多個(gè)附件時(shí);
4.附件數(shù)目不宜超過(guò)4個(gè),數(shù)目較多時(shí)應(yīng)打包壓縮成一個(gè)文件;
5.如果附件是特殊格式文件,因在正文中說(shuō)明打開(kāi)方式,以免影響使用;

如果對(duì)方與你的郵件往來(lái)是采用中文,請(qǐng)不要自作聰明的發(fā)送英文郵件給他;如果對(duì)方發(fā)英文郵件給你,也不要老土的用中文回復(fù)。8.選擇便于閱讀的字號(hào)和字體。
中文老實(shí)點(diǎn)用宋體或新宋體,英文就用Verdana 或 Arial 字型,字號(hào)用五號(hào)或10號(hào)字即可。這是經(jīng)研究證明最適合在線(xiàn)閱讀的字號(hào)和字體。
不要用稀奇古怪的字體或斜體,最好不用背景信紙,特別對(duì)公務(wù)郵件。

2.不要只用一個(gè)簽名檔
對(duì)內(nèi)、對(duì)私、對(duì)熟悉的客戶(hù)等群體的郵件往來(lái),簽名檔應(yīng)該進(jìn)行簡(jiǎn)化。過(guò)于正式的簽名檔會(huì)讓對(duì)方顯得疏遠(yuǎn)。你可以在OUTLOOK中設(shè)置多個(gè)簽名檔,靈活調(diào)用。

對(duì)每一份郵件都立即處理是很占用時(shí)間的,對(duì)于一些優(yōu)先級(jí)低的郵件可集中在特定時(shí)間處理,但一般不要超過(guò)24小時(shí)。
如果事情復(fù)雜,你無(wú)法及時(shí)確切回復(fù),那至少應(yīng)該及時(shí)的回復(fù)說(shuō)“收到了”,我們正在處理,一旦有結(jié)果就會(huì)及時(shí)回復(fù)。不要讓對(duì)方苦苦等待,記住:及時(shí)做出響應(yīng),哪怕只是確認(rèn)一下收到了。如果你正在出差或休假,應(yīng)該設(shè)定自動(dòng)回復(fù)功能,提示發(fā)件人,以免影響工作。
2.進(jìn)行針對(duì)性回復(fù)
當(dāng)回件答復(fù)問(wèn)題的時(shí)候,最好把相關(guān)的問(wèn)題抄到回件中,然后附上答案。不要用簡(jiǎn)單的,那樣太生硬了,應(yīng)該進(jìn)行必要的闡述,讓對(duì)方一次性理解,避免再反復(fù)交流,浪費(fèi)資源。
3.回復(fù)不得少于10個(gè)字
對(duì)方給你發(fā)來(lái)一大段郵件,你卻只回復(fù)“是的”、“對(duì)”、“謝謝”、“已知道”等字眼,這是非 常不禮貌的。怎么著也要湊夠10個(gè)字,顯示出你的尊重。
4.不要就同一問(wèn)題多次回復(fù)討論,不要蓋高樓
如果收發(fā)雙方就同一問(wèn)題的交流回復(fù)超過(guò)3次,這只能說(shuō)明交流不暢,說(shuō)不清楚。此時(shí)應(yīng)采用電話(huà) 溝通等其它方式進(jìn)行交流后再做判斷。
電子郵件有時(shí)并不是最好的交流方式。
對(duì)于較為復(fù)雜的問(wèn)題,多個(gè)收件人頻繁回復(fù),發(fā)表看法,把郵件越RE越高,這將導(dǎo)致郵件過(guò)于冗長(zhǎng)笨拙而不可閱讀。
此時(shí)應(yīng)即是對(duì)之前討論的結(jié)果進(jìn)行小結(jié),刪減瘦身,突出有用信息。5.要區(qū)分Reply和Reply All(區(qū)分單獨(dú)回復(fù)和回復(fù)全體)
如果只需要單獨(dú)一個(gè)人知道的事,單獨(dú)回復(fù)給他一個(gè)人就行了。
如果你對(duì)發(fā)件人提出的要求做出結(jié)論響應(yīng),應(yīng)該replay all,讓大家都知道;不要讓對(duì)方幫你完成 這件事情。
如果你對(duì)發(fā)件人的提出的問(wèn)題不清楚,或有不同的意見(jiàn),應(yīng)該與發(fā)件人單獨(dú)溝通,不要當(dāng)著所有人的面,不停的RE來(lái)RE去,與發(fā)件人討論。
你們討論好了再告訴大家。不要向上司頻繁發(fā)送沒(méi)有確定結(jié)果的郵件。
點(diǎn)擊“回復(fù)全部”前,要三思而行!6.主動(dòng)控制郵件的來(lái)往
為避免無(wú)謂的回復(fù),浪費(fèi)資源,可在文中指定部分收件人給出回復(fù),或在文末添上以下語(yǔ)句:“全 部辦妥”、“無(wú)需行動(dòng)”、“僅供參考,無(wú)需回復(fù)”。
七、正確使用發(fā)送,抄送,密送 要區(qū)分To和CC還有BCC(區(qū)分收件人、抄送人、秘送人)
1.To的人是要受理這封郵件所涉及的主要問(wèn)題的,理應(yīng)對(duì)郵件予以回復(fù)響應(yīng)。
2.而CC的人則只是需要知道這回事,CC的人沒(méi)有義務(wù)對(duì)郵件予以響應(yīng),當(dāng)然如果CC的人有建議,當(dāng)然可以回Email。
3.而B(niǎo)CC是秘送,即收信人是不知道你發(fā)給了BCC的人了的。這個(gè)可能用在非常的場(chǎng)合。
4.TO,CC中的各收件人的排列應(yīng)遵循一定的規(guī)則。比如按部門(mén)排列;按職位等級(jí)從高到低或從低到高都可以。適當(dāng)?shù)囊?guī)則有助于提升你的形象!
5.只給需要信息的人發(fā)送郵件,不要占用他人的資源。
6.轉(zhuǎn)發(fā)郵件要突出信息。
八、注意事項(xiàng)
1.在你轉(zhuǎn)發(fā)消息之前,首先確保所有收件人需要此消息;
2.轉(zhuǎn)發(fā)敏感或者機(jī)密信息要小心謹(jǐn)慎,不要把內(nèi)部消息轉(zhuǎn)發(fā)給外部人員,或者未經(jīng)授權(quán)的接收人;
3.如果有需要 還應(yīng)對(duì)轉(zhuǎn)發(fā)郵件的內(nèi)容進(jìn)行修改和整理,以突出信息; 4.不要將RE了幾十層的郵件發(fā)給他人,讓人摸不著頭腦;
5.對(duì)外重要文件必須經(jīng)高階主管認(rèn)可簽字轉(zhuǎn)為PDF文件,或由高階主管親自發(fā)送;
6.所有的電子郵件應(yīng)自我Double check后才發(fā)出。
【點(diǎn)評(píng)】
1、溝通的效果,面對(duì)面最好,電話(huà)次之,郵件最差;
2、以后發(fā)送的郵件切記不要出現(xiàn)無(wú)標(biāo)題之類(lèi),這樣給收件人后期查詢(xún)帶來(lái)很多不便,同時(shí)也給收件人留下一個(gè)不好的印象;
3、如果前后發(fā)送同一個(gè)主題的郵件,但是郵件的內(nèi)容有所變化,應(yīng)在郵件標(biāo)題中有所提示,如(更新)字樣,當(dāng)然,最好的方式是一步到位;
4、準(zhǔn)確把握收件人、抄送人、密送人的不同使用方法及不同;
5、一個(gè)郵件通常只包含一件事情;
6、郵件的征文應(yīng)突出主題,便于收件人閱讀所要表達(dá)的重點(diǎn),如果內(nèi)容太多,可在郵件正文簡(jiǎn)明扼要的概括下內(nèi)容要點(diǎn),并注明詳細(xì)內(nèi)容請(qǐng)參看附件;
7、特殊格式的文件,需注明打開(kāi)的方式,這樣給使用者會(huì)帶來(lái)更多的方便;
8、對(duì)財(cái)務(wù)人員來(lái)說(shuō),在報(bào)送報(bào)表、應(yīng)收賬款等情況時(shí),可注明“**年**月**公司**報(bào)表”,在報(bào)送應(yīng)收賬款時(shí),可注明“**公司應(yīng)收賬款表(截止**月**日)”,這樣可以使人更加方便的閱讀,也便于后期查看;
9、日常在發(fā)送郵件時(shí),可以在word里面先進(jìn)行輸入,然后再?gòu)?fù)制到郵箱里,一方面在word里面便于編輯,另一方面word提供了自動(dòng)保存功能,可以使我們更高效的工作,最后還可以利用word提供的【工具】-【拼寫(xiě)和語(yǔ)法】來(lái)檢查是否存在語(yǔ)法錯(cuò)誤;
郵件溝通較之面對(duì)面交流的一大優(yōu)勢(shì)在于,你可以借助一切力量使得你撰寫(xiě)的郵件準(zhǔn)確無(wú)誤得表達(dá)你的意圖,而不必?fù)?dān)心發(fā)音不標(biāo)準(zhǔn)或語(yǔ)法錯(cuò)誤等讓人尷尬的掉鏈子情況發(fā)生。
但往往人們忽視的便是一些細(xì)枝末節(jié)的注意事項(xiàng),這兒有一些建議可以保證你的郵件給人留下好印象。
1.Know your email terms: 英語(yǔ)電子郵件發(fā)送程序有很多縮寫(xiě),如果你不知道意思的話(huà),你向老板提出的加薪請(qǐng)求就可能發(fā)給了整個(gè)辦公室!
“Reply to all”表示你的回復(fù)將發(fā)送給每一個(gè)收到原始郵件的人。在郵件的地址欄內(nèi),“cc”(carbon copy)部分指的是該郵件發(fā)給你指定的人,即“抄送),而“bcc”指你可以悄悄的發(fā)送郵件而不讓其他的人知道,即”密送“,b代表的是“blind”(掩藏的)。如果有人要你“forward”一封郵件,意思是要你通過(guò)轉(zhuǎn)發(fā)的功能發(fā)送郵件,有時(shí)侯簡(jiǎn)寫(xiě)成“fw.” 2.Use the Right Greeting:盡管用“Hey”作為寫(xiě)給朋友的電子郵件開(kāi)場(chǎng)白沒(méi)有任何問(wèn)題,但是最好不要用這種方式給一個(gè)潛在的商務(wù)伙伴這樣寫(xiě)信。另一方面,使用非常正式的傳統(tǒng)開(kāi)場(chǎng)白“Dear Sir” 也已經(jīng)越來(lái)越過(guò)時(shí)了。最好寫(xiě)成“Dear Mr./ Ms.” 后跟那個(gè)人的姓氏。同事之間,通常可直呼其名,如“Dear John”)。
3.Keep it Short and Clear: 有些情況下,可能需要用華麗的詞藻和復(fù)雜的句式來(lái)彰顯你的聰明才智和教育背景。而在用英語(yǔ)寫(xiě)郵件的時(shí)候,清晰、有條理的方式才是最佳選擇。在郵件的第一段清楚的表明你寫(xiě)信的目的,保證每一段中都有代表核心觀(guān)點(diǎn)的中心句。使用類(lèi)似“first, second, next, and finally”的詞引導(dǎo)讀者你所要表述的每一個(gè)觀(guān)點(diǎn)。你不需在郵件中包括所有的詳細(xì)內(nèi)容,取而代之的可以是類(lèi)似“If you have any other questions please feel free to contact me,”這樣的短語(yǔ)來(lái)結(jié)束郵件,這樣一來(lái)可以為對(duì)方創(chuàng)造進(jìn)一步交流的前提。
4.Be polite and tactful: 懂得謙遜和準(zhǔn)確傳達(dá)信息的重要性。“I want.”之類(lèi)的詞能避免則避免出現(xiàn),相比之下,“I would like”顯得更尊重對(duì)方。又如“I am interested in”是提出請(qǐng)求建議或?qū)で笠庖?jiàn)的好方法。5.電子郵件正確結(jié)尾: “I am looking forward to your reply,” “Thank you,”或者“Sincerely”都是給收信人留下好印象的結(jié)尾方式。
電子郵件常看起來(lái)沒(méi)有打印出來(lái)的商務(wù)信那樣正式,在商場(chǎng)上你可決不能讓你的語(yǔ)言顯得很不正式。電子郵件可能更快捷更有效,但是你的客戶(hù)和生意伙伴可不會(huì)輕易允許隨隨便便的通訊聯(lián)系。不要害怕!本文能使你了解更多能使你英語(yǔ)郵件更規(guī)范化的簡(jiǎn)單秘訣。
從問(wèn)候開(kāi)始
用問(wèn)候語(yǔ)開(kāi)始郵件內(nèi)容非常重要,例如“Dear Lillian,”。根據(jù)你與收件人的關(guān)系親近與否,你可能選擇使用他們的姓氏來(lái)稱(chēng)呼他們而不是直呼其名,例如“Dear Mrs.Price,”。如果關(guān)系比較親密的話(huà),你就可以說(shuō),“Hi Kelly,”如果你和公司聯(lián)系,而不是個(gè)人,你就可以寫(xiě)“To Whom It May Concern:”
感謝收件人
如果你在回復(fù)客戶(hù)的詢(xún)問(wèn),你應(yīng)該以感謝開(kāi)頭。例如,如果有客戶(hù)想了解你的公司,你就可以說(shuō),“Thank you for contacting ABC Company.”如果此人已經(jīng)回復(fù)過(guò)你的一封郵件了,那就一定要說(shuō),“Thank you for your prompt reply.”或是“Thanks for getting back to me.”如果你可以找到任何機(jī)會(huì)那一定要謝謝收信人。這樣對(duì)方就會(huì)感到比較舒服,而且顯得更禮貌。
表明你的意圖
然后,如果是你主動(dòng)寫(xiě)電子郵件給別人的話(huà),那就不可能再寫(xiě)什么感謝的字句了。那就以你寫(xiě)此郵件的目的開(kāi)頭。例如,“I am writing to enquire about …”或是“I am writing in reference to …”在電子郵件開(kāi)頭澄清你的來(lái)意非常重要,這樣才能更好的引出郵件的主要內(nèi)容。記得要注意語(yǔ)法,拼寫(xiě)和標(biāo)點(diǎn)符號(hào),保持句子簡(jiǎn)短明了并句意前后一致。
結(jié)束語(yǔ) 在你結(jié)束郵件之前,再次感謝收信人并加上些禮貌語(yǔ)結(jié)尾。你可以“Thank you for your patience and cooperation.”或“Thank you for your consideration.”開(kāi)始接著寫(xiě),“If you have any questions or concerns, don't hesitate to let me know.” 及“I look forward to hearing from you.”
結(jié)束
最后是寫(xiě)上合適的結(jié)尾并附上你的名字。“Best regards,” “Sincerely,”及“Thank you,”都很規(guī)范化。最好不要用“Best wishes,”或“Cheers,”類(lèi)的詞因?yàn)檫@些詞都常用在非正式的私人郵件中。最后,在你發(fā)送郵件之前,最好再讀一遍你的內(nèi)容并檢查其中有沒(méi)有任何的拼寫(xiě)錯(cuò)誤,這樣就能保證你發(fā)出的是一封真正完美的郵件!
