英文信函格式:
1、信頭(heading)——寫信人地址和寫信日期位于信紙右上角,從靠近信紙的中央寫起,先地址后日期(地址可以寫1—3行,日期寫在地址的下面)。地址順序由小到大:門牌號碼——街名或路號——城名或縣、市名——省名或州名——國名(郵編通常寫在城市名之后);日期順序是月——日——年或日——月——年,如:July1,1979=1 July,1979。
2、信內地址(inside address)——收信人姓名和地址寫在信頭下面,空一行,左起頂格,先姓名后地址。信內地址多用于正式商業信函,一般社交信函常省略。
3、稱呼(salutation)——寫信人對收信人的稱呼:
左起頂格寫,后用逗號,常以“Dear…”或“My dear…”開頭。寫給親屬通常用“Dear+稱呼”,如:“Dear Mum,”;寫給平輩或晚輩可直呼其名,如:“Dear Tim,”;寫給不熟悉者用“Dear Mr+姓,”或“Dear Mrs+其夫,”.4、正文(Body)——信函的主體部分:從稱呼的下一行寫起,每段開頭均留四、五個字母的空白。
5、結束語——(complimentary close)結束客套語在正文下只占一行,從靠近信紙的中央寫起。首字母大寫,其后用逗號。對上級或長輩可用“Yours trulysincerely,”“ Trulysincerely Yours,”等,對朋友或其它親密者可用“Yours(ever),”“Ever yours,”等。
6、簽名(signature)位于結束語下,稍偏右。
7、信封的寫法:
寄信人的地址、姓名寫在信封的左上角,也可寫在信封的背后。
收信人的地址、姓名寫在信封的中央或稍偏右,姓名占第一行,其下寫地址,地址順序由小到大。

商務信函的基本結構
傳統信件
這里我們介紹一種商務信函中最通用的格式-齊頭式。主要特征就是每行均從左邊頂格寫,常常采用開放式的標點方式,即除了信文部分,其它部分在必要時才使用標點。信中各段落之間均空一行。
1、信頭 The heading
信頭就是指書信中發信人的地址和發信的日期等。
通常情況下,公司都會專門印制帶有信頭的信箋紙,包括發信人的姓名,地址,電話,傳真等。當我們撰寫傳統信件時,直接使用這種信箋紙就可以。
2、編號(寫信人的名字縮寫)和日期 The sender name and the date
這部分內容是為了方便今后查詢信件用的。
3、封內地址 The inside address
這里就是指收信人的姓名和地址,一般寫在信箋的左上方。收信人名稱地址的格式和信頭的格式相同,但必須把收信人的姓名一并寫出。另外,如果不是完全公事化的書信往來,或者已經從公事的關系漸漸發展成為帶有私人性質的友好信件往來,由于稱呼這一欄的內容已經說明了收信人的身份,所以可以不必填寫封內地址。
4、事由 The subject heading
事由也就是我們通常說的主題,可以直接寫明信件的重點,讓人不必讀完全信才了解到信的內容。所以事由要寫得簡明扼要。
5、稱呼 The salutation
指對收信人的一種稱呼。
較常使用的有Dear Sirs, Dear Madam, Dear Mr.XX,。稱呼后面的標點,一般使用逗號。稱呼里的第一個字母要大寫。
6、開頭語 The open sentences
開頭語沒有統一的格式,但習慣上先用客套的語句把收到對方來信的日期,主題及簡單內容加以綜合敘述,使對方一目了然這是答復哪一封去信的。如果是第一次通信,也可以利用開頭語作必要的自我介紹,并表明目的要求。開頭語一般與正文分開,自成一節,要求簡單明了。
7、正文 The body of the letter
信的主體。一封信件的優劣,完全要看正文寫的好或壞。我們會在后面繼續討論寫作商務信函的一些技巧、規則。
8、結尾語 The complimentary close
結尾語一般用來總結文本所談的事項,提示對收信人的要求,如“希望來信來函定貨”,“答復詢問”等,另外也附加一些略帶客套的語氣。正文結束后,另起一段寫結尾語。
9、結束語 The complimentary close
結束語是結束信函時的一種客套,應該與前面的稱呼相呼應。例如:“Sincerely,” “Best Regards, ”or “Yours Truly,”.結束語寫在結尾語下隔一行,只有第一個字母大寫,后面加逗號。
10、簽名 The signatrue
寫在結束語的下面,簽上寫信人的名字。如果是傳統的信件,寫信人最好親筆簽上您的名字,因為用印章的話,說明該信件并非本人親自過目,只是通函而已,不為人重視。簽名的下面,最好寫上發信人的職位。
11、附件 Enclosure
如果信中有附件,應在左下角注明Encl.或Enc.。

電子郵件
眾所周知,電子郵件即E-mail是如今我們做電子商務使用最普遍的一種聯系手段。電子郵件使用方便,信息傳遞迅速高效,且非常節省成本。但是E-mail的撰寫也并不是一件很容易的事情。您知道,當一封E-mail發送出去后,只要收信人在線,他可以幾分鐘內就收到。所以,在您發送前,必須要檢查一下您所寫的內容是否正確合適,因為一旦您點擊了發送鍵后,您就再也無法將其收回了。

1、口語化 每一封信函的往來,都是您跟收信人彼此之間的一次交流。人都是感性的,所以您需要在您的信函里體現感性的一面。然而很多人都有一種誤解,以為寫作商務信函就應該用一種特殊的“生意腔”,于是把一封本來應該是熱情而友好的信函寫得呆板而死氣沉沉。他們寧愿寫“Your letter has been received”,“Your complaint is being looked into”而不是“I have received your letter”或者“We are looking into your complaint”。其實我們簡單的來理解一下,每次信函的往來不就是跟對方進行了一次交談嗎?只不過是把交談的內容寫到了紙上而已。多用一些簡單明了的語句,用我/我們做主語,這樣才能讓我們的信函讀起來熱情,友好,就象兩個朋友之間的談話那樣簡單,自然,人性化。
想象一下,如果您由于無法準時交貨而在電話上跟您的合作伙伴表示歉意時,您會怎么說?我想您會說“I am sorry we cannot deliver the goods today”。既然在電話中您會這樣說,為什么在信件中要改成“It is regretted that goods cannot be delivered today”?放棄這種所謂的“生意腔”吧,讓您的信也象談話那樣簡單,自然,人性化。
2、語氣語調
由于您寫的信函都是有其目的性的,所以您信函里所采用的語氣語調也應該符合您的目的。在寫之前先不妨仔細考慮一下,您寫這封信函是想達到一個什么樣的目的,您希望對收信人產生一種怎樣的影響呢?是歉意的,勸說性的,還是堅決的,要求性的。這完全可以通過信函中的語氣語調來表現。
3、真誠 不管是生活中的交往還是生意上的合作,真誠是最重要也是最基礎的,所以您的信函也必須能夠充分體現您的真誠。不管說什么,都要帶著您的誠意去說。把寫好的信函拿起來讀一遍,確保如果此時對方正在電話中與您通話,他一定能夠感受到您的自然和真誠。

跟您一樣,您的合作伙伴們每天都要閱讀大量信函文件。所以,信函一定要寫得簡明扼要,短小精悍,切中要點。如果是不符合主題或者對信函的目的不能產生利益的內容,請毫不留情的舍棄它們。因為這些內容不僅不能使交流通暢,反而會混淆視聽,非但不能讓讀者感興趣,反而會讓他們惱火,產生反感。

我們這里所說的禮貌,并不是簡單用一些禮貌用語比如your kind inquiry, your esteemed order等就可以的。而是要體現一種為他人考慮,多體諒對方心情和處境的態度。如果本著這樣的態度去跟別人交流,那么就算您這次拒絕了對方的要求,也不會因此失去這個朋友,不會影響今后合作的機會。
特別要注意,當雙方觀點不能統一時,我們首先要理解并尊重對方的觀點。如果對方的建議不合理或者對您的指責不公平時,請表現一下您的高姿態,您可以據理力爭,說明您的觀點,但注意要講究禮節禮貌,避免用冒犯性的語言。
還要提醒一點,中國人有句話叫做“過猶不及”。任何事情,一旦過了頭,效果反而不好。禮貌過了頭,可能會變成阿諛奉承,真誠過了頭,也會變成天真幼稚。所以最關鍵的還是要把握好“度”,才能達到預期的效果。
6、簡潔
就象前面提到的,要用簡潔樸實的語言來寫信函,讓您的信函讀起來簡單,清楚,容易理解。用常見的單詞,避免生僻或者拼寫復雜的單詞。一個單詞可以表達,就不要用詞組。多用短句,因為短句更容易理解。少用“and”,“but”,“however”,“consequently”這些讓句子變得冗長的連詞。在同一封信函里,不要使用多個相同含義的單詞。比如,您前面寫了“goods have been sent”,那后面再提到這件事時就不要再用其他單詞如“forward”“dispatch”等。因為這樣寫會誤導您的讀者無謂地去考慮這些詞之間是否另有含義。
8、精確
當涉及到數據或者具體的信息時,比如時間,地點,價格,貨號等等,盡可能做到精確。這樣會使交流的內容更加清楚,更有助于加快事務的進程。
9、針對性
請在郵件中寫上對方公司的名稱,或者在信頭直接稱呼收件人的名字。這樣會讓對方知道這封郵件是專門給他的,而不是那種群發的通函,從而表示對此的重視。當然,如果您無法確定收信人的名字,那就在稱呼一欄里寫“Dear Sirs” or “Dear Sir or Madam”。
10、語言樸實
前面我們說過,商務信函不需要用華麗的詞句。根據西方的語言習慣,他們更愿意使用簡練而樸實的語言。所以當我們跟西方人進行商務溝通時,也要盡量避免華麗復雜的詞句。比如“We look forward to a bright and glorious future of cooperation”,就不如直接寫成“We hope to have the opportunity to work together with you in the future.”,這樣才更加符合西方人的語言習慣。
11、回復迅速及時
給買家的回復,千萬要迅速及時。因為買家通常只看最先收到的幾封回復,從中去選擇合適的供應商。如果您的回復不夠及時,就可能因為搶不到先機而失去商機。
12、標題
這一點是特別針對寫電子郵件的。也許很多人都沒有意識到,事實上,E-mail的標題是很重要的一個部分,您的郵件給對方的第一個印象就是通過標題來完成的。如果標題沒有內容,看起來象群發的垃圾郵件的話,很多買家就會直接刪除。比如這樣的標題“How are you?”,“Can we work together?”,建議您改成“Proposal: Bright Ideas Imports--Zhejiang Textile's Partnership Opportunity”或者“Introduction: Our Product Offerings for Bright Ideas Imports.”這樣您的郵件會顯得更加專業。
13、校對
寫完之后,一定要檢查。最基本是要確保拼寫和語法正確,然后檢查一下您所提供的事實,數據等是否有錯。我們都會犯錯,但即使在您的信函里有一個極小的失誤,也可能會破壞您在溝通方面的可信度,并使人對您表達的其他信息投下懷疑的陰影。
最后,通篇讀一下您的信函,對照前面提到的所有規則,您的信函都符合要求了嗎?

商務信函書信是日常生活中常用的文體,是用以交涉事宜、傳達信息、交流思想、聯絡感情、增進了解的重要工具。書信一般可分為商務信件或公函(Business Letter or Official Correspondence)和私人信件(Private Letter)兩大類。值得注意的是,英語 書信的寫法與漢語書信有一些明顯區別,應特別加以區分。英語 書信通常包括下面幾個組成部分:信端、信內地址、稱呼、正文、結束語、簽名、附件、再啟等。下面我們將逐個進行介紹。
1、商務信函信端(Heading)
信端即信頭,一般包括寫信人的地址和寫信日期。一些正式信函的信端還包括發信人或單位的電話號碼、電報掛號、電傳、傳真和郵政編碼等。西方國家中有些信端甚至還有單位負責人的姓名、職務和職稱等。信端的目的是使收信人一看便知道書信來自何處,何時發出,便于復信和查閱。用一般的信紙寫信時,信端應寫在信紙的右上角,若字數較多,可從信紙中間或偏右的地方寫起。若字數較少,可適當多向右移一些,使整個信端的重心落在右上角。
商務信函信端的寫法主要有并列式和斜列式兩種。從目前情況來看,前者更為常用。采用并列式時,每行開頭要左對齊;采用斜列式時,每行開頭逐次向右移二三個字母的距離。例如:

寫信端時,先寫發信人的地址,地點的名稱按由小到大的順序排列,然后是其它項目和發信日期。具體次序是:第一行寫門牌號和街名;第二行寫區名、市(縣)名、省(州、邦)名,往國外寄的信,還要寫上國家的名稱;國家名稱的前面加上郵政編碼,其后可寫上電話號碼,最后一行寫發信日期。如果寫信人的地址是機關單位的名稱,則將其作為第一行。如果寫信人的單位沒有門牌號碼和街名,則第一行可寫上所在班級或專業組的名稱;第二行寫系、科、室名稱;第三行寫學校名稱;第四行寫市(縣)、省(州)名稱;然后再寫郵政編碼、國名、電話號碼、發信日期等項。
如果使用標點符號,則在每行末尾加逗號,最后一行的末尾加句號。但當前的信件中行末大都不加標點符號,但在每行之內該用標點符號的地方,仍要用標點。特別要注意的是,門牌號碼和街名之間要加逗號。月份和日期之間不可用逗號。在西方國家,城市名稱之后往往寫有字母或數字(如 New York, 103),表示城市的郵政編碼。
關于發信日期的寫法,應注意以下幾點:
①年份應完全寫出,不能簡寫。
②月份要用英文名稱,不要用數字代替。
③月份名稱多用公認的縮寫式。但 May, June, July, 因為較短,不可縮寫。
④寫日期時,可用基數詞1,2,3,4,5,??28,29,30,31等,也可用序數詞 lst, 2nd, 3rd, 4th, 5th, ??28th, 29th, 30th, 31lst等。但最好用基數詞,簡單明了。
日期可有下列幾種寫法:
① Oct.20, 2004
② 10 May., 2004
③ 3rd June, 2004
④ Sept.16th, 2004
其中,①最為通用。
2、商務信函信內地址(Inside Address, Introductory Address)
信內地址收信人的姓名和地址,寫在信紙的左上角,從信紙的左邊頂格開始寫,低于寫信人地址和發信日期一二行,也分并列式和斜列式兩種,但應與信端的書寫格式保持一致。其次序是,先寫收信人姓名、頭銜和單位名稱,占一二行,然后寫地址,可占二至四行,例如:

3.商務信函稱呼(Salutation)
對收信人的稱呼應自成一行,寫在低于信內地址一二行的地方,從信紙的左邊頂格開始寫,每個詞的開頭字母要大寫,至于末尾處的符號,英國人用逗號,但美國和加拿大 英語 則多用冒號。稱呼用語可視寫信人與收信人的關系而定。給外國人寫英文信時,稱呼用語要注意以下幾點:
①對沒有頭銜的男性一般稱呼 Mr.。Mr.用在姓氏之前或姓氏和名字之前,不可只用在名字之前,例如對的稱呼,應該是:Mr.或 Mr.White, 不可是:Mr.Phil。若稱呼多個男性,則在姓名前用 Mr.的復數形式 Messrs.。對一般以人名為名稱的公司和企業常用這種稱呼,例如:Messrs.Black and Brothers 布萊克兄弟公司。
②對女性一般稱呼 Mrs.,Madam 或 Miss。Mrs.用在已婚女子的丈夫的姓氏之前,或姓氏和名字之前,一般不用在名字前 Madame 此詞可以單獨使用或加在丈夫的姓名之前 Mrs.沒有復數形式。若稱呼多個女性,則在姓名前用 Mme.的復數形式 Mmes.而對以女子名字為名稱的公司、企業可用 Mesdames 稱呼。Miss 多用于未婚女子,此詞可縮寫為 Ms,用于姓氏之前或姓氏和名字之前,一般不用于名字之前。
③對收信人的稱呼,也可用頭銜或職位的名稱,不分性別。例如 Professor(縮寫為 Prof.),Doctor(縮寫為 Dr.),General(縮寫為 Gen.)。這些稱呼都放在姓氏之前或姓氏和名字之前,如 Prof.(Phil)White等。
④對外公函中對收信人的稱呼,可用 Gentlemen(而不是 Gentleman),Dear Sir(s)和 My dear Sir(s)等。Gentlemen 之前不能加 Dear,后面也不能帶姓名。用 Sirs 時,前面常用 Dear 一詞,但也可單獨用 Sir。若收信人是婦女,則無論已婚或未婚,都可單獨使用 Madam 或其復數 Mesdames。
⑤對外國高級官員的稱呼,如國家元首、政府首腦、部長、大使、公使和特使等,可用(Dear)Sir,(Dear)Mr.Chairman,(Dear)Mr.Premier,(My dear)Mr.Ambassador,Your Excellency(復數為 Excellencies)。
⑥對君主制國家的國王和皇帝等男性君主,可以 Sir 稱呼,對女王、女皇和皇后等女性君主,可用 Madam 稱呼。有時也用 Your Majesty 稱呼以表示。客氣和尊敬Your Majesty 可兼指男性和女性,其復數為 Your Majesties。
⑦對王室成員,如太子、王子、親王和公主等,一般可用(Dear)Sir 或(Dear)Madam 但在正式尊稱時,一般用 Your Highness(復數為 Highnesses)。

4.商務信函信的正文(Body of the Letter)
信的正文每段第一行應往右縮進約四五個字母。在寫事務性信件時,正文一般開門見山,內容簡單明了,條理清楚。在寫私人信件時,信寫好之后若有什么遺漏,可用 P.S.表示補敘。
5.商務信函結束語(Complimentary Close)
結束語是寫信人表示自己對收信人的一種謙稱,只占一行,低于正文一二行,從信紙的中間或偏右的地方開始寫。第一個詞的開頭字母要大寫,末尾用逗號。結束語視寫信人與收信人的關系而定例如寫給機關、團體或不相識的人的信,一般用:
Yours(very)truly, Yours(very)faithfully,Yours(very)sincerely,等等。
寫給上級和長者的信一般可用:
Yours(very)respectfully, Yours(very)obediently, Yours gratefully, Yours appreciatively, Your obedient servant, 等等。
寫給同志或同事的信一般可用:
Fraternally yours, Comradely yours,等等。
寫給熟人或朋友的信可用:
Yours, Ever yours, Yours affectionately, As ever, Yours sincerely Yours devotedly,(Most)Fondly yours, Yours excitedly, Intimately yours,等等。
寫給親屬或摯友的信一般用:
Yours, Ever yours, Yours as ever, As ever, Yours affectionately, Lovingly yours,(Much)Love, With Love,Lovingly, Your loving son, Your most affectionate, Your devoted friend, Devotedly, 等等,意即:“您的”、“永遠是您的”、“您的親愛的”、“您的愛子(孩子、姐妹、侄、侄女、祖母)”、“您的摯友”等。
寫給摯友的信有時也可用:
Yours hurriedly, Yours hastily, Yours in haste, 等等。
寫信給摯友,表示歉意時,可用:
Contritely yours, Regretfully yours, Yours in(with)regret, Yours in(with)deep remorse 等。
在歐洲一些國家里,多把Yours 放在 sincerely等詞的前面。在美國和加拿大等國,則多用,把 yours 放在 Sincerely 等詞之后。Yours 一詞有時也可省略。
6.簽名(Signature)
信末的簽名一般低于結束語一二行,從信紙中間偏右的地方開始寫。若寫信人是女性,與收信人又不相識,則一般在署名前用括號注上 Miss, Mrs.或 Ms.,以便對方回信時知道如何稱呼。有的還有署名后寫上自己的職稱、職務或頭銜
7.附件(Enclosure)
信件若有附件,應在左下角注明 Encl.或 Enc.。若附件不止一個,則應寫出2(或3,4,5等)Encls.,例如:

8.再啟(Postscript, 縮寫為 P.S.)
再啟部分用于補敘正文中遺漏的話,一般應盡量少用,正式的函件中更應避免使用。
9.私人和公務信函--注意事項
首先,寫信者應設身處地想到對方,尊重對方的風俗習慣。
其次,英文信應該行文流暢、言簡意賅,避免冗長。這就是說,寫信者應用盡可能少的文字表達其必須傳遞的信息,而且寫信者應將其所需傳遞的信息表達清楚,以免對方產生誤解。書信交往,同樣需要以禮待人。因而在寫信過程中,要避免傷害對方感情,措辭上多選用些禮貌婉轉詞語。
最后,除了避免語法、拼寫、標點錯誤外,信中所引用的史料、數據等也應準確無誤.私人和公務信函--常用句式。常用的起首語有:
