第一篇:BEC商務寫作資料:商業信函的寫法
1.格式問題:
請同學們在BEC的寫作中采用平頭式的寫法。
收信人的姓名和地址置于信紙的左上方
地址、稱呼和結束禮詞后沒有標點符號
日期在右上方
段落從定格開始,段落之間的行距為兩行(但在考試中由于受答題卡限制,請酌情考慮)寫信人的名字和頭銜在簽名下方
2.稱呼和結束禮詞的注意事項:
稱呼的寫法遵循下列原則:
Dear Sir or Madam 寫信給某一公司,不確定具體的收信人
Dear Sir 對男士,但是你不知道他的具體姓名
Dear Madam 對女士,但是你不知道他的具體姓名
Dear Mr Smith 對男士
Dear Ms Smith 對已婚或未婚的女士
Dear Mrs Smith 對已婚女士
Dear Miss Smith 對未婚女士
Dear John(此處John 為英語中常用男名)對朋友或你比較熟悉的人(通常為多年生意伙伴)
稱呼與結束禮詞存在對應的關系,請特別注意:

Dear Mr/Ms/Mrs/Miss Smith Yours sincerely

以下均為錯誤用法:

3.日期:
在英國英語中,天在前,但是在美國英語中,月份在前。所以某些特別的時期容易引起誤解。例如:12 06 2003
在英國指的是:6月21日
在美國指的是:12月6日
因此日期要寫成:12 June 2003
注釋:在BEC考試中12 06 2003 的用法仍然是可以使用的,因為BEC為英版考試。要記住月份使用大些字母開頭。天后不必寫th、rd、nd或者st。

題目講解及范文
首先我們來看商務信函的寫作要求:
PART TWO ? 題目的提示信息通常可歸納為“1 event 2 people 1 letter 5 points”。所謂“1 event”,就是商務信函所圍繞的核心事件,如本題中的安裝新的電話接線板(installing a new tele phone switchboard);“2 people”指的是寫作者和閱讀者在商務環境中的角色,本題中的信件是“你”作為公司的技術人員(in charge of technical resources)寫信與電話服務公司的客戶服務經理(customer service manager)進行溝通;“1 letter”指的是題目中的背景材料,如本題中對方客戶服務經理的來信(有些題目中還會以memo或其他文體的形式出現);“5 points”通常表現為針對背景材料的5個“手寫”要點(handwritten notes)。內容、形式與語言
商務信函的要求分成內容、形式和語言三個方面。內容方面,信件應當圍繞5個手寫要點進行寫作,不能遺漏要點,而且通常有2~3個要點需要利用商務知識進行合理展開。在考試總出現遺漏要點往往會導致作文不及格。因此建議花半分鐘時間列出一個outline(一個簡單的由keywords構成的提綱),這樣能有效避免漏寫,也有助于使寫作更有條理。
內容方面,要點分析:
①為how many days’ work? 詢問電話接線板安裝時間長短,這涉及日程安排的精確性,對“你”所在的公司很重要。
②要求日程調整,需這里要給出一個合理的商務理由,比如公司有例行會議或者產品發布會之類的安排。
③指出分機號碼系統應更為簡單,可以適當展開,提出簡化方案或要求對方給出一個新方案。
④這是商務常識,商務聯系時要精確到人和具體聯系方式,可以直接要求對方給出名字和聯系方式。
⑤涉及商務交往中付款的常識,可以解釋為根據公司的財務規定或者領導要求等。形式方面,本題明確要求為信件。只要按照一般商務信件的格式即可。需要注意的一點是最后落款部分的敬語,應是yours sincerely,因為你作為寫信人明確的知道收信人的具體稱呼。如果在信頭的稱謂是Dear Sir or Madam 時,也就是在不知道如何具體稱呼對方時則要用 yours faithfully.語言方面,bec中級寫作part two對此有四個要求:
一是語言中性偏正式,比如某些商務寫作中可以用approximately代替不那么正式的about。
二是簡潔,用簡單的詞和短句清楚地傳遞信息。
三是精確,需交代清楚時間、地點、人物等要點,不能產生歧義。
四是注意禮貌,考生應熟悉最常用的商務禮貌表達,如略表歉意,I am afraid that the suggested date 10th July is not convenient for us,或者委婉提出要求,I would grateful if you could send me the information on.....范文示例

中文商業商務信函的寫作格式
如同一般信函,商業信文一般由開頭、正文、結尾、署名、日期等5個部分組成。
(1)開頭
開頭寫收信人或收信單位的稱呼。稱呼單獨占行、頂格書寫,稱呼后用冒號。
(2)正文
信文的正文是書信的主要部分,敘述商業業務往來聯系的實質問題,通常包括:①向收信人問候;
②寫信的事由,例如何時收到對方的來信,表示謝意,對于來信中提到的問題答復等等;
③該信要進行的業務聯系,如詢問有關事宜,回答對方提出的問題,闡明自己的想法或看法,向對方提出要求等。如果既要向對方詢問,又要回答對方的詢問,則先答后問,以示尊重;
④提出進一步聯系的希望、方式和要求。
(3)結尾
結尾往往用簡單的一兩句話,寫明希望對方答復的要求。如“特此函達,即希函復。”同時寫表示祝愿或致敬的話,如“此致敬禮”、“敬祝健康”等。祝語一般分為兩行書寫,“此致”、“敬祝”可緊隨正文,也可和正文空開。“敬禮”、“健康”則轉行頂格書寫。
(4)署名
署名即寫信人簽名,通常寫在結尾后另起一行(或空一、二行)的偏右下方位置。以單位名義發出的商業信函,署名時可寫單位名稱或單位內具體部門名稱,也可同時署寫信人的姓名。重要的商業信函,為鄭重起見,也可加蓋公章。
(5)日期
寫信日期—般寫在署名的下一行或同一行偏右下方位置。商業信函的日期很重要,不要遺漏。
