摘要:在經濟全球化的今天,英語是國際主要通用語言之一,英語商務信函在貿易往來與經濟活動中廣泛應用,正確使用英語商務信函具有重要的交流功能與突出的經濟價值。熟練使用英語商務信函要求以提高國際商務人員的英語書面溝通能力為目標,遵循互惠互利、多用敬語、內容清晰、語言簡潔、時間具體、指代準確六個寫作原則,在此基礎上掌握信函結構、用詞、句式三個方面寫作技巧。

在經濟全球化大背景下,英語商務信函是商務活動和貿易往來時洽談交易、聯系業務、發展貿易的一種重要的應用性交流工具。大量書面磋商工作都是通過商務信函實現的,是買賣雙方進行磋商的重要手段,其質量好壞會嚴重影響到企業的形象, 甚至影響到交易的成敗。因此,正確而熟練運用英語進行商務信函溝通成為國際商務人員的必備技能。研究英語商務信函寫作的特點與技巧對于提高國際商務人員的英語書面溝通能力、促進國際商務活動的順利開展具有重要現實意義。

一、英語商務信函的寫作原則

英語商務信函是國際商務活動的重要工具之一,其特點和原則必須與國際商務活動相適應。隨著經濟全球化范圍、規模的不斷擴大,世界多元文化特點也滲透進英語商務信函寫作之中,要實現英語商務信函的溝通交流功能,必須遵循以下六個原則:

1、互惠互利原則(Consideration)。商務活動中企業追求利益是第一位的。因此在進行商務信函溝通中互利互惠是第一原則。與其他寫作不同, 英語商務信函寫作強調的是信息溝通的有效性,不僅要關心內容的正確與完整,還必須重視對方的反應。在起草商務信函時,只有站在對方的立場上思考和處理問題,才能獲得滿意的溝通效果。如:

We allow you 2 percent discount for cash payment.You can enjoy 2 percent discount when you pay in cash.第二句讓對方對自己所得的利益一目了然,優于第一句。其次,應突出積極因素,用肯定句代替否定句。積極因素較消極因素更能激發對方興趣,獲得對方認同。如:“We do not believe that you will have cause for dissatisfaction.”改寫成“We feel surely that you will be entirely satisfied.”會更好。

2、多用敬語原則(Courtesy)。為了建立、保持友好的貿易伙伴關系,英語商務信函往來一般要注重禮貌原則,以禮待人。因此,在信函中宜多用“please”,“It w ill be highly appreciated that ?”,“It is our pleasure to?”,“We regret that ?”等禮貌用語。同時,敬語原則不僅僅體現在使用please, thank you等這些簡單的詞匯上面,而且要在字里行間體現我國的外貿政策和外交禮節,做到不卑不亢、得體大方。具體的敬語原則基本包含這樣幾個方面:遵守國際商務來往慣例;尊重對方風俗習慣;語言表達要客氣而有分寸,避免使用命令的口氣;多用友好、肯定的語氣,盡量用委婉的語氣指出對方不盡人意的地方;復信要及時。

3、內容清晰原則(Clarity)。包含兩個方面:一是寫信者在擬文前知道自己要寫什么;二是對方收到信函時可以完全了解寫信者要表達的意思,不會產生誤解。這就要求寫信者頭腦清楚、條理清晰、表達準確,避免使用一些含混不清、模棱兩可的詞匯。

(1)盡量選擇常用詞。作為一種世界貿易語言,英語為一百多個非英語國家的商務人員在商務書信中使用,而這些商務人員并非個個精通英語。因此,在選詞上應注意選擇那些簡單的、為人熟悉并且符合常規的表達方式,避免使用復雜、生僻和容易產生歧義的詞。

(2)起修飾限定作用的詞語應該緊跟被修飾的詞,這樣可以避免產生歧義。如“Those who work rapidly get ill in these conditions.”由于“rapidly”一詞的位置使這句話可能產生兩種不同的理解(可以指“work”,也可以指“conditions”),如將其改為“Those who work in these conditions get ill rapidly.”句子的意思就非常清楚了。

(3)在一句話中,要避免重復使用一個有兩種不同含意的詞。例如:“We shall take a firm line with the firm.”此句中,第一個“firm”的意思是“strong”,第二個“firm”的意思是“corporation”.而如果將句子改為:“We shall take a strong line with the firm.”這樣整個句子的意思就更清楚了。

4、語言簡潔原則(Conciseness)。簡潔是指用最少的語言表達最豐富完整的內容,并且不影響信函的禮貌性。簡潔使信函更加簡明有力。英語商務信函的格式要簡明扼要,語言要通俗易懂,內容要精煉豐富。這就要求寫信者在行文過程中盡量選用簡單、易懂、樸素的詞匯,采用簡短、直接的句式。

(1)避免使用空洞、重復的短語, 如:

small in size, 應改為:small, blue in colour, 應改為:blue

thinking on a theoretical basis ,應改為:thinking theoretically, In about a week' s time , 應改為: In a week

(2)通常應避免使用There is 和There are 等短語, 用積極的動詞來表達這樣的句子意思, 如:

There is an old sentence says“ Practice makes perfect.”應改為:As the old saying goes,“ Practice makes perfect.”There are many people who think that應改為:Many people think that

(3)改寫以which, that ,who 等關系詞引導的定語從句, 使句子更加簡潔.比如:

Mr.Smith usually likes to drink all kinds wines that are produced in France.應改為:Mr.Smith prefers wines produced in France.Mr.Smith prefers French wines.此外, 句子結構也應簡潔, 盡量用單詞替換詞組和從句, 在保證意思完整的情況下, 使行文更加簡潔。如“As what you have requested ,we are sending you our newest catalog.”其從

句“W hat you have requested ”可以用一個詞“requested”來代

替, 這句話改成“As requested, we are sending you our newest catalog.”則更簡潔。

需要指出的是,在保證禮貌的前提下, 還要避免使用那些僅起填充作用、可有可無的詞組和表達法。

5、時間具體原則(Concreteness)。指信息具體詳實、豐富生動, 強調信息的完整性。在信函中所說的信息, 必須有頭有尾, 不能說半截, 留半截。英語商務信函寫作中注意避免類似soon, at an early date, good, nearly等籠統、含混不清的表達法。例如:I will send the samples to you soon.就不如I will send the samples to you in two weeks。如果能更具體就更好了,例如:I will send the samples to you next Monday。

6、指代準確原則(Correctness)。表達的用詞用語及標點符號必須正確無誤,因為商務函電的內容大多涉及商業交往中雙方的權利、義務以及利害關系,如果出錯勢必會造成不必要的麻煩。正確有兩個方面的含義: 一是傳遞的信息必須準確, 二是指所用的語言必須清楚。對商業信函來說, 信息準確是最基本的要求。在當今的信息時代, 信息鋪天蓋地, 真假難辯, 如信函所傳遞的信息不準確, 如:定單中的錯誤、供貨合同中不準確的信息、含糊不清的答復等等, 可能會帶來無法預料的損失。一些在日常行文中常用的如“the above mentioned”,“the former”,“the latter”,“respectively”之類的表達方式要盡量少用, 盡可能提供準確的信息, 讓對方一目了然。

二、英語商務信函寫作的技巧

鑒于英語商務信函以實現交流與貿易為功能目標、以交易磋商為內容、直接服務于交易活動的特點, 英語商務信函宜采取簡單的結構、簡練的語言、委婉的語氣來表達。下面從結構、詞匯使用、句式變化三方面論述英語商務信函常用的寫作技巧。

1、結構

通常,商務信函由四部分組成,即引言(introduction)、主述(details)、應答(response)和結束語(close)。

(1)引言。英語商務信函一般采取開門見山的方式,在語篇開始就態度明確地交代寫信來由。如果是復函的話,一般在開頭會先交代對方來信日期、核心內容等,以便對方一目了然,更快地了解來信內容,從而節約大量的商務來往時間,提高工作效率。常用的開篇語如下:Thank you for your letter of;With reference to your letter of。

(2)主述。詳情是正文的核心部分,一般會對對方的問題一一做答,或者對自己要說明的事宜進行闡述。這一部分是關系到一篇信函質量好壞的關鍵所在。為了使得整篇文章更加清晰、簡潔,也為了使得收信人閱讀更加方便,詳情部分一般采取一事一分段的原則,也就是將不同的問題分段、分項、分條敘述。

(3)應答。這一部分一般是就所敘述的事情征求對方的意見,邀請對方做出答復。如有隨函寄出的附件也可以在這一部分告知對方。舉例如下:

Please let us know if the above terms are satisfactory.Enclosed please find the picture for this item.(4)結束語。結束語一般采用一些客套話,遵循商務信函的完整性及禮貌性原則。例如:

I look forward to hearing from you soon.If you require any further information, please let me know.2、用詞

(1)選擇易懂的詞語。寫信前, 要完全從對方的立場出發, 選擇讀者易懂的詞語, 能讓他一看就能明白你想說的。例如:在翻譯“火”這個詞語時,要選擇通俗易懂的詞語“fire”,而不是生僻難懂的詞語“conflagration”。

(2)多用單詞,少用短語;多用簡單易懂的常用詞匯,少用冗長生僻的修飾詞語。如:用consider代替take into consideration,authorize代替give authorization to,solve代替arrive at a solution。

(3)使用具體的詞語。具體的詞語即簡短明了的詞語, 它可以讓收信人清楚寫信人的意思, 而不產生疑問和誤解。例如:在表示數量時,不應使用抽象詞語“most”,而應該使用具體詞語“69%”。

(4)多用規范正式的詞匯,少用非正式口語性詞匯,體現英語商務信函的公函性質。如:用inform或advise代替tell;用dispatch代替send。

(5)注意專業術語的使用。專業術語、縮略詞的頻繁使用是英語商務信函寫作的一大特點。要熟練使用這些術語,以免出錯造成嚴重的損失。英語商務中常用的術語很多。

例如:insurance policy,coverage,premium,letter of credit

或L/C,CIF,FOB,container,insurance policy,Average。

3、句式

(1)多用如Will you? Would you p lease? P lease 這樣的請求句式, 少用命令句。

(2)用虛擬語氣更加委婉, 以商量的口吻更容易被對方接受。例如We cannot accept your payment.和I wish we were able to accept your payment.兩句隱含的意思都是不能接受對方的付款方式, 而后一句使用了be able to 的過去時構成虛擬語氣,以一種委婉的方式拒絕對方。

(3)多用肯定句, 少用否定句。多從正面談問題, 強調那些積極的、自己能做到的事實, 避免或減少從否定方面入手, 弱化那些自己無法做到的事情, 這樣更容易被收信人接受。例如We have to deny your payment by cash.和We can only accept L/C payment.后一句強調了接受的現實, 弱化了不接受的現實, 語氣更加委婉。

(4)巧用被動結構。被動結構在英語商務信函中的頻繁使用原因有三: 一是被動結構突出了動作本身而弱化了動作的實施者, 是一種有效的委婉表達方式;二是避免了過多的人稱代詞做主語, 拋開更多的主觀因素從而使得表述更為客觀;三是被動語態較主動語態更加經濟、緊湊。例如If we receive your sight draft drawn under a confirmed, irrevocable L/C ,we will effect the payment.和Payment is to be made against sigh t draft drawn under a confirmed, irrevocable L/C.后一句由于使用了被動結構, 省略了從句, 用更少的語言表達一樣的意思, 更為經濟緊湊。

由于英語在國際商務活動中的絕對統治地位,英語商務信函的熟練寫作成為國際商務人員的必備能力,決定著商務活動的成敗,影響貿易活動的進行,只有熟練地掌握以上原則并且靈活地運用以上技巧,不斷加強有效訓練,才能有效地提高國際商務人員的英語書面溝通能力,提高國際商務活動的效率與成功率。
