一、概述

備忘錄是一種錄以備忘的公文。在公文函件中,它的等級是比較低的,主要用來提醒、督促對方,或就某個問題提出自己的意見或看法。在業(yè)務(wù)上,它一般用來補充正式文件的不足。它的內(nèi)容可以分為以下幾項:

書端(Heading)

收文人的姓名、頭銜、地址(Addressee's Name, Title, Address)

稱呼(Salutation)事因(Subject)正文(Body)

結(jié)束語(Complimentary Close)署名(Signature)

二、備忘錄寫作注意事項

正確是指信中所談的事情要準(zhǔn)確、具體,不用含糊抽象的詞如:本月、明天等。清晰要求的是主題要明確,層次要清楚,讓讀者看后了然于心。簡潔是現(xiàn)代英語發(fā)展的一大趨勢。書信寫作要做到行文簡潔流暢,避免迂回冗長的長句,使書信盡可能寫得明白清晰。書信交往,同樣需要以禮待人。因而在寫信過程中,要避免傷害對方感情,措辭上多多使用would, could, may, please等詞,要自然得體,彬彬有禮。體諒對方也是寫書信時要注意的一個原則。不能以自己為中心,要尊重對方的習(xí)俗愛好,即便是拒絕,也要委婉而不失去友誼。書信的寫作也要注意格式,避免語法、拼寫、標(biāo)點錯誤,信中所引用的史料、數(shù)據(jù)等也應(yīng)準(zhǔn)確無誤。

一、千萬別羅羅嗦嗦

語言簡練。對于求職者來講,目的明確、語言簡練是其簡歷行之有效的基礎(chǔ)。如在教育背景中寫相關(guān)課程,不要為了拼湊篇幅,把所有的課程一股腦兒地都寫上,如體育等。這樣不會有效,別人也沒耐心看。

二、千萬別搞錯順序

包括求職者的姓名、性別、出生年月等,與中文簡歷大體一致。第二部分為教育背景(EDUCATION),必須注意的是在英文簡歷中,求職者受教育的時間排列順序與中文簡歷中的時間排列順序正好相反,也就是說,是從求職者的最高教育層次(學(xué)歷)寫起,至于低至何時,則無一定之規(guī),可根據(jù)個人實際情況安排。

三、切記把“技能”寫清楚

在時間排列順序上亦遵循由后至前這一規(guī)則,即從當(dāng)前的工作崗位寫起,直至求職者的第一個工作崗位為止。求職者要將所服務(wù)單位的名稱、自身的職位、技能寫清楚。把社會工作細(xì)節(jié)放在工作經(jīng)歷中,這樣會填補工作經(jīng)驗少的缺陷。例如,您在做團支書、學(xué)生會主席等社會工作時組織過什么活動,聯(lián)系過什么事,參與過什么都可以一一羅列。而作為大學(xué)生,雇主通常并不指望您在暑期工作期間會有什么驚天動地的成就。當(dāng)然如果您有就更好了。

四、切記列舉所獲獎勵和發(fā)表的作品

將自己所獲獎項及所發(fā)表過的作品列舉一二,可以從另一方面證實自己的工作能力和取得的成績。書寫上,獎學(xué)金一項一行。另外,大多數(shù)外企對英語(或其它語種)及計算機水平都有一定的要求,個人的語言水平、程度可在此單列說明。寫作格式

1、開場白:

就業(yè)的老師們對已就業(yè)學(xué)員做過一項跟蹤調(diào)查,調(diào)查發(fā)現(xiàn):1+1學(xué)員進(jìn)入企業(yè)的最初的3個月最為關(guān)鍵,這3個月表現(xiàn)怎樣,公司同事、上級評價如何,將直接決定了是否在該企業(yè)成功就業(yè)(如期轉(zhuǎn)正,在企業(yè)中逐漸成熟成長,獲得認(rèn)同,被企業(yè)重用),甚至今后在該企業(yè)是否有較好的個人職業(yè)發(fā)展。當(dāng)然,是否成功在就業(yè)企業(yè)度過頭3個月的試用期,有很多主客觀的因素,但從反饋的1+1學(xué)員成功就業(yè)案例看,那些具備較強溝通能力、專業(yè)技術(shù)能力過硬(熟練)的成功就業(yè)學(xué)員(包括與就業(yè)老師、企業(yè)同事、上級),都能克服重重困難,度過3個月的試用期。

借條病文分析:

1、標(biāo)題:借據(jù)(條)的標(biāo)題可以由兩種方式構(gòu)成:

其一,直接由文種名構(gòu)成。即在正文上方中間寫上“借條”或“借據(jù)”字樣。

其二,在第一行空兩格后寫上“今借到”作為標(biāo)題,而正文的其它內(nèi)容放在下一行頂格

寫其實這是一種省去標(biāo)題的借據(jù)的寫法。

以上借條病文中,改加“借條”標(biāo)題,或空兩格后寫“今借到”作為標(biāo)題;

2、正文:正文要寫明下列一些內(nèi)容:

首先,從哪里得到了什么東西,數(shù)量多少。要寫出所借的錢物的數(shù)目及物品的品種、型號、式樣、規(guī)格等。借出方也需寫清楚。從單位借出的錢物要寫上所為何用。

其次,寫明歸還的具體日期或大致時間,有較為復(fù)雜的情況,則要寫明具體歸還的方法。

通知病文分析:

通知一般由標(biāo)題、正文和落款三部分組成。

(1)標(biāo)題。通常有三種形式,一種是由發(fā)文機關(guān)名稱、事由和文種構(gòu)成;一種是由事由

和文種構(gòu)成;一種是由文種“通知”作標(biāo)題。

上文中標(biāo)題“會議通知”也改為“關(guān)于召開年終總結(jié)大會的通知”。

(2)正文。由開頭、主體和結(jié)尾三部分組成。開頭主要交代通知緣由、根據(jù);

主體說明通知事項;結(jié)尾提出執(zhí)行要求。在寫正文之前,要在標(biāo)題之下、正文之上頂格寫出

被通知對象的名稱,在名稱后加冒號,或?qū)⒚Q以“抄送”形式寫于最后一頁的最下方。

以上病文中,沒有被通知對象,應(yīng)增加“公司各部門:”或“全體員工:”通知對象不同,通知的語氣不同。

(3)落款。寫出發(fā)文機關(guān)名稱和發(fā)文時間。如已在標(biāo)題中寫了機關(guān)名稱和時間,這里可 以省略不寫。

以上病文中,落款為“童曉琳”個人,發(fā)文應(yīng)為部門,應(yīng)去掉“童曉琳”。(見范文)

1、標(biāo)題

“關(guān)于財務(wù)部配臵資料保險柜的申請”改為“財務(wù)部關(guān)于購臵資料保險柜的申請”或 者“關(guān)于購臵資料保險柜的申請”(見范文)。

“關(guān)于財務(wù)部配臵資料保險柜的請示”,修改:“關(guān)于移到“配臵”前,“配臵”改為 “購臵”。如果申請“配臵”,就不需要“購買”的10000元了。注:關(guān)于,介詞。由其組成的介詞結(jié)構(gòu),一般用來表示動作所涉及的事物或事物所涉及的范圍。

2、主送單位

(1)按行政公文和黨的公文要求,申請一般不直接送領(lǐng)導(dǎo)者個人,鑒于有些公司的管 理體制,申請可以直接送領(lǐng)導(dǎo)者個人。如上例“總經(jīng)理”。

不能越級申請(如范文中武漢辦事處向市場部申請)

3、正文

一般為請示原由+請示事項+請示結(jié)語,一事一請,一般不要多事合并。

上兩例的“原由”:“ 為了加強對財務(wù)信息資料的管理”、“ 本公司成立至今已有一年 時間了,隨著各個部門的建立,工作量的增加,人員的不斷擴充,各類財務(wù)資料的收集、整 理及歸檔工作也逐漸走上正軌。為了進(jìn)一步完善財務(wù)資料管理工作,加強相關(guān)財務(wù)資料的安 全性、保密性”,第一個為原由不力,第二個為語言羅嗦。

可改為:“隨著資料的增加,我部門原有的幾個資料保險柜已不夠使用,為了規(guī)范資料 管理工作,便于資料的收集、歸檔、查閱,提高工作效率”。(見范文)

申請結(jié)語:申請書可以有結(jié)語也可沒有。結(jié)語一般是表示敬意的話,如“此致 敬禮”等。也可寫表示感謝和希望的話,如“請組織考驗”、“請審查”、“望領(lǐng)導(dǎo)批準(zhǔn)”等。

老師對學(xué)員們課前擬寫的提前進(jìn)入就業(yè)渠道的申請作業(yè)進(jìn)行點評,或請學(xué)員自己對照檢查(視課堂時間情況)
