常用應用文寫作格式
一、“通知”的寫作格式
通知的功能:
通知適用于批轉下級機關的公文,轉發上級機關和不相隸屬機關的公文。傳達要求下級機關辦理和需要有關單位周知或者執行的事項,任免人員。這里主要介紹的是指示性通知和告知性通知兩種。通知的寫法:
1、標題:第一行居中寫明“通知”或“關于XX 的通知”。
發文機關+事由+文種,如:《××省關于進一步做好城市蔬菜產銷工作的通知》; 事由+文種,如:《關于召開省屬高校檔案工作會議的通知》。
2、換行頂格寫明被通知方的名稱,后用冒號。
3、正文:另起一行空兩格寫通知內容,如會議通知包括會議內容、時間、地點、出席對象和有關準備事項等。
正文一般由三部分組成。
第一部分是對通知事項的總體概括,按照具體通知的需要應交代清楚通知事項的背景、原因、以及它所依據的政策和文件等,即寫明為何要制發該通知。然后以“現將有關事項通知如下”的過渡語引出第二部分;
第二部分是寫明通知事項,包括具體的要求和安排。這部分的寫作可采用條款形式,做到條理清晰。如需提出要求,要求的內容應根據制發的單位達到相應的高度。
第三部分是對通知接受單位的要求和希望。這部分通常采用“特此通知,望??認真執行”的形式,也可直接以“特此通知”作結語。
4、如有文件、圖表類附件,應在正文后隔一行,按照所附文件的順序寫明文件的名稱。
5、落款:在正文之后的右下角寫明制發該通知的機關名稱,如果在標題中已經標明制發機關名稱的,此處可以省去。正文下一行的右下方寫發出通知的單位或組織
6、日期:即在落款的下面寫明制發此通知的年、月、日,寫在署名下一行的右邊。
“請示”的寫作格式
請示的功能:
是向上級機關請求指示、批準時使用的請求性上行文。行文目的主要是對有關事項、問題等,請求上級機關給予明確及時的指示和批準,以便于辦理、解決、開展工作。請示的寫法:(1)標題:
發文機關+事由+文種,如《**部關于申請資金的請示》; 事由+文種,如《關于清理整頓社會集團的請示》(2)正文: 第一部分,寫明請示的原因、背景、依據和理由。這是行文的重點,請示的問題和事項能否得到上級的批準,很大程度上取決于請示的理由是否充分、是否具有說服力。因此,該部分的寫作應盡量突出請示事項和問題的重要性和必要性。第二部分,寫明請示的內容,即請示的事項和問題。這部分的寫作必須具體、清楚、一目了然。
最后,以“以上請示當否,請批示”,“妥否,請批復”為結語。一般來說,求閱性的請示用“請批示”,求準性的請示則用“請批復”或“請批準”。
根據需要,以上第一和第二部分的順序也可調換,即先寫清請示的事項,再表明請示的原因和依據。(3)如有文件、圖表類附件,應在正文后隔一行,按照所附文件的順序寫明文件的名稱。
(4)落款:在正文之后的右下角寫明請示單位的機關名稱,如果在標題中已經標明機關名稱的,此處可以省去。(5)日期:即在落款的下面寫明制發此通知的年、月、日。
(6)請示不同于其他文種的格式在于,在落款和日期后,應用括號注明請示單位的聯系人和聯系方式。
請示(翻碩專業擴招)
一般由標題、主送機關、正文、落款四個部分組成。如:
申請書(重點)
申請書是個人或集體向組織表達愿望,向機關、團體、單位領導提出請求時寫的一種書信。申請書應把該寫的問題寫清楚,但要注意精練。申請書一般是一事一書,如:“入團申請書”、“開業申請書”等。申請書格式
(1)標題:第一行居中寫明“申請”或“XXX申請”,加上標明性質的字樣。(2)稱呼:換行頂格寫接收申請書的單位名稱或領導同志姓名,后用冒號。
(3)正文:另起一行空兩格寫申請內容。內容應包括三個方面:第一,申請什么,要求批準什么;第二,提出申請的目的和理由;第三,表明自己的態度(或決心、愿望等)。(4)結尾:寫表示敬意之類的專用語。(5)署名。(6)日期。
申請書與請柬、感謝信、倡議書等屬于專用信。申請書除第一行居中寫申請名稱外,其于部分與一般書信的格式一樣。請求的事情一定要寫明確,理由要充分,言辭也要懇切。
調查情況表制作
會議紀要
會議紀要:是用于記載、傳達會議情況和議定事項的公文。會議紀要不同于會議記錄。會議紀要對企事業單位、機關團體都適用。
【格式內容】
1、標題。由“會議名稱+會議紀要”構成。
2、導言。介紹會議召開的基本情況,如時間、地點,參加人,討論的問題。
3、會議的成果及議定的事項。應逐項列出。
4、希望。
“報告”的寫作格式
報告的功能:
適用于向上級匯報工作、反映情況,答復上級機關的詢問。報告的種類主要包括綜合性工作報告、情況報告、答復報告等。工作報告主要用于匯報工作的進展;情況報告用于介紹經驗、提出問題;答復報告用于答復上級詢問或呈送(報)一些物件。
報告的寫法:
(1)綜合性工作報告:其結構主要包括工作情況概述、主要成績、經驗或重大進展情況、體會、存在問題和今后努力的方向。
這類報告的寫法一是單項分類寫作。將所要匯報的各方面的情況逐項寫清,每項單獨成一段,可根據需要加上序號或小標題。二是綜合分類寫作。即將全部內容綜合后再寫出情況概述、成績經驗、體會教訓、意見措施。
綜合性報告的寫作,要做到詳略得當,成績經驗、體會教訓要寫透寫深,其余從略;要做到點面結合、主次分明,既要寫出總體情況,又要正對重點做詳細的說明,給人留下總體印象的同時又能抓住重點。
(2)情況報告:這類報告的正文結構為情況、問題、打算三方面。首先寫事情的經過、原因、結果、性質等;其次寫暴露出的問題、管理上的缺陷、工作中的疏漏等;最后寫具體的處理意見和簡要的建議。
(3)答復報告:這類報告的的內容要有針對性,如實呈報問題,不能答非所問。一般開頭要引敘來件,然后根據要求,報告有關內容,結束語一般用“專此報告”。
“講話”的寫作格式
一、講話稿的涵義與特點
講話稿有廣義和狹義之分。廣義的講話稿是人們在特定場合發表講話的文稿;狹義的講話稿即一般所說的領導講話稿,是各級領導在各種會議上發表帶有宣傳、指示、總結性質講話的文稿。是應用寫作研究的重要文體之一
講話稿有如下特點:
(一)內容的針對性
講話稿的內容是由會議主題和講話者身份來決定的。因此在寫講話稿之前,必須要了解會議的主題、性質、議題,講話的場合、背景,領導者的指示、要求,聽眾的身份、背景情況、心理需求和接受習慣等。
(二)篇幅的規定性
講話是有時間限制的,因此對講話稿篇幅要有特定要求,不能不顧具體情況長篇大論。一般來講,表彰、通報、慶典等會議上的講話稿篇幅不宜過長,以免喧賓奪主。
(三)語言的得體性
為了便于講話者表達,易于聽眾理解和接受,講話稿的語言既要準確、簡潔,又要通俗、生動。另外,由于講話具有現場性,因此撰寫領導講話時必須提前考慮和把握現場氣氛和場合。
(四)起草的集智性
為了提高行政效率,領導講話稿經常由秘書代筆,然后經領導審核是否采用。有的部門還專設起草小組,領導一般要將寫作的目的、背景、寫作要求等對起草小組交代清楚,然后由起草小組分工協作,集體撰稿,并在起草的過程中反復討論、修改、幾易其稿,才提交領導使用。
二、講話稿的種類
按照會議內容的不同可把講話稿分為工作會議類講話稿,慶祝、紀念會議類講話稿,表彰會議類講話稿,本節主要討論以下兩種比較常見的領導講話稿。
(一)工作會議類講話稿
此類講話稿是領導在各種會議上發表的對前一階段的工作情況包括成績、經驗、缺點等進行歸納總結。對下一階段的工作目標、任務、重點、措施等進行研究部署的講話稿。這類會議講話稿要求態度鮮明,目的明確,內容單一,層次分明,邏輯嚴密,語氣堅定,針對性強,號召力大,簡潔明快。
(二)慶祝、紀念會議類講話稿
此類講話稿是領導在紀念某一歷史事件、歷史人物或重大慶典等紀念性會議上所發表的講話稿。這類講話稿既肯定和頌揚歷史事件的重大意義和歷史人物的豐功偉績,還要立足當前、面向未來。揭示其現實意義,對繼承光榮傳統,弘揚革命精神提出具體要求。
三、講話稿的組成部分
講話稿一般由標題和正文兩部分組成
1.標題。講話稿的標題分為兩種:一種一般是由講話人的姓名、職務、事由和文種構成,如《
×××省長在全省教育工作會議上的講話》;另一種是由一個主標題和副標題組成。主標題一般用來概括講話的主旨或主要內容,副標題則與第一種的構成形式相同。如,《進一步學習和發揚魯迅精神—在魯迅誕生110周年紀念大會上的講話》。
2.正文。講話稿的正文包括開頭、主體和結尾三部分。
(1)開頭部分。首先根據與會人員的情況和會議性質來確定適當的稱謂,如“同志們”、“各位專家學者”等,要求莊重、嚴肅、得體;然后用極簡潔的文字把要講的內容概述一下,說明講話的緣由或者所要講的內容重點;接著轉入正文講話。
(2)主體部分。根據會議的內容和發表講話的目的,可以重點闡述如何領會文件、指示、會議精神;可以通過分析形勢和明確任務,提出搞好工作的幾點意見;可以結合本單位情況,提出貫徹上級指示的意見;可以對前面其他領導人的講話做補充講話;也可以圍繞會議的中心議題,結合自己的分管的工作談幾點看法等等。
(3)結尾部分。結尾用以總結全篇,照應開頭,發出號召,或者征詢對講話內容的意見或建議等等。
四、講話稿與發言稿
講話稿和發言稿在不作為公務文書時,兩者可以通用,一旦作為公務文書,應嚴格區別使用。講話一般體現主辦方或上級領導的意見,從整體出發,具有一定的原則性、政策性、權威性;發言一般體現參與方平級或下級領導的意見,從自身的實際出發,暢所欲言,具有一定的務實性、靈活性。如“在某個會議上的講話”和“在某個會議上的發言”可能內容寫法相同,但在實際使用時要注意標題的命名是選擇“講話”還是“發言”。
常用應用文的寫作格式及行文習慣
應用文是人們在工作、公務活動及日常生活中,應實際需要而形成的有規格性的文體。隨著社會的開放,人們交往的日見增多,這類文體的應用也越來越廣泛。高考寫作歷來要求能寫記敘文、議論文、說明文及常用應用文,并曾考過書信、啟事、通知、新聞、電報稿、廣播稿、申請書、說明書等。1999年的《考試說明》明確規定了考查的范圍是:書信、啟事、通知、新聞、電報稿、廣播稿、申請書、說明書。2004年和2005年的《考試大綱》“寫作”部分仍要求能寫常用應用文。近年開放性的話題作文中,有些考生選擇新聞、書信、啟事等應用文體式構思行文,以其鮮活的創新形式贏得閱卷老師和廣大師生的青睞。
我們常見的篇幅短小的應用文,有以下幾種:
1.書信
(1)稱呼:第一行頂格寫,后用冒號。
(2)正文:另起一行空兩格。一般先寫問候語,再寫主要內容。(3)結尾:寫祝頌語。“祝”、“此致”等詞語可緊接正文之后寫,也可獨占一行,空兩格寫。“健康”、“敬禮”等用語要另起一行,頂格寫。
(4)署名:寫在另起一行的偏右處。(5)日期:寫在署名下一行的右邊。
(6)用語要簡潔得體、條理清晰,有真情實感。例2:

2、信函(道歉、祝賀、投訴、感謝、邀請、建議、慰問、鼓勵、索賠、參觀、銷售)
一般由稱呼、正文、結尾、落款四個部分組成。如:
商務信函
(1)稱呼 稱呼是寫信人對受信人的尊稱,主要依據相互間的隸屬關系、親疏關系、尊卑關系、長幼關系等而定,一般都用“敬語+稱謂”的形式組成。如:“尊敬的王總經理”、“親愛的劉主任”、“尊敬的董事長先生閣下”等。對某些特殊的內容或與境外華文地區的人員往來還可加上“提稱”如:“尊敬的王博士總經理海成先生臺鑒”、“親愛秘書明玉小姐雅鑒”等等。(頂格寫,后面加冒號。)(2)啟詞 啟詞是信文的起首語,可有多種表示法。如問候式的“您好”、“別來無恙”;思懷式的“久不通信,甚為懷想”、“去國半載,諒諸事順遂”等;贊頌式的“新春大吉”、“開張大吉”等;承前式的“上周曾發一傳真件,今仍具函,為××事”,“貴公司×月×日賜函已悉”等等。不分對象,不論內容,一律以“您好”為書信之啟詞,實在極不恰當。此外,公務書信的啟詞還可用“茲為、茲因、茲悉、茲經、茲介紹、茲定于”;“頃聞、頃悉、頃獲”;“欣聞、欣悉、欣逢、值此”,以及“據了解、據報、據查實”等一系列公文用語,以提領全文。(在稱呼下面另起一行,前空兩格!)
(3)正文 正文是書信的主體,是書信能否達到寫信人理想效果的關鍵。一封信可以專說一件事,也可以兼說數件事,但公務書信應該一文一事。正文要清楚、明了、簡潔,并注意情感分寸,不應有昵褻輕狂之嫌,也不可顯侮蔑輕慢之意。(在啟詞下面另起一行空兩格。)
(4)酬應過渡 正文結束時,可寫幾句酬應性的話作為全文的過渡。如“我方相信,經過此次合作,雙方的友誼將有進一步發展”。又如“再次表示衷心的感謝”或“代向公司其他同志問候”等等。也有用公務書信的常用結語過渡,如“特此函達、特此說明、特此重申、特此函詢、特此致歉”,或“肅此專呈、肅此奉達”,也有“特此鳴謝、敬請諒解、尚祈垂察、務請函復、至希鑒諒”,以及“承蒙惠允、承蒙協辦、承蒙惠示、不勝榮幸、不勝感激”等等。(過渡一下更符合禮儀規范)
(5)祝頌詞 書信的最后,寫祝頌詞是慣例。由于寫信人與受信人的關系各有不同,書信內容各有不同,祝頌詞的寫法便呈多種多樣。誠祝生意興隆”等等,有時,往往用簡單的一兩句話,寫明希望對方答復的要求。如“特此函達,即希函復。”同時寫表示祝愿或致敬的話,如“此致敬禮”、“敬祝健康”等。祝語一般分為兩行書寫,“此致”、“敬祝”可緊隨正文,也可和正文空開。“敬禮”、“健康”則轉行頂格書寫。
(6)簽署 書信的簽署以寫信人全名為要,不能只簽個姓氏或習慣稱呼,如“老王、小王、小李、張主任、趙經理”等,而要完整地寫成“××部主任張金水”、“××公司經理王富成”或者 “××公司辦公室秘書李倩”、“××部業務員劉震”等。今天,許多書信都以計算機制成,但即使已打印了姓名,仍應再以手書簽署一遍,這既表信用,亦示誠意。對某些特殊對象,署名后應有具名語,如“謹上、謹呈、敬述”等,以表示對受件者的尊重。(通常中文信函寫在結尾后另起一行(或空一、二行)的偏右下方位置,但一般E-mail商務信函也可靠左)以單位名義發出的商業信函,署名時可寫單位名稱或單位內具體部門名稱,也可同時署寫信人的姓名。(7)日期 日期明確本是應用文寫作的基本要素,書信自然不可缺了這一項。日期必須準確,表現出寫信人的負責態度,而萬一記錯日期,也許會因此而誤事。(寫信日期—般寫在署名的下一行或同一行偏右下方位置。)
啟事的寫作方法
啟事(重點)
啟事是機關團體、企事業單位,公民個人有事情需要向公眾說明,或者請求有關單位、廣大群眾幫助時所寫的一種說明事項的實用文件。啟事可張貼、登報、廣播、在電視上放映。啟事一般分:
(1)標題:第一行居中寫明“XX啟事”。(2)正文:另起一行空兩格寫啟事內容,交代有關事情的原委和目的,提出要求和希望,說明有關注意事項及辦理程序等。有些內容則不應寫具體明確,如“招領啟事”中有關失物的詳情,以防冒領。(3)署名。(4)日期。
啟事不具備法令性、政策性、因而也沒有強制性和約束性。啟事有招領啟事、尋物啟事、招聘啟事、征稿啟事等多種.慶典啟事
慶典啟事是黨政機關、社會團體、企事業單位舉辦有關慶祝或紀念活動時,由籌辦單位、部門向社會各界及有關人員告知慶典事宜的啟事。慶典啟事須注意交代以下內容: 1.慶典緣由;
2.慶典活動總體安排,包括時間、地點、組織接待、內容、參加人等; 3.其他有關事項及要求;
4.歡迎參加慶典活動的結束語;
5.單位地址、電話、傳真、聯系人等。
下面是一則征文啟事:
《國慶特刊》征稿啟事
為了歡慶中華人民共和國XX華誕,班委會討論決定,我班出一期“國慶特刊”。希望全班同學踴躍投稿。具體要求:
一、內容能表達我們年輕一代對祖國對黨的無限熱愛之情,體裁不拘。
二、500字左右,要用稿紙謄寫清楚。
三、稿件請于9月20日前交給宣傳委員黃玲玲同學。

說明書的寫作方法(1)實用性。(2)科學性。(3)突出特點,強調特征。(4)用語通俗簡明。
說明書是一種實用性說明文體,常用于對工農業產品銷售、書籍資料出版及電影戲劇演出等等的說明介紹。說明書有兩種形式:條款式和短文式。
新聞的寫作方法
(1)標題:是新聞內容的提要。除正題外,前面可家加引題,后面可加副題。
(2)導語:開門見山,簡明扼要地寫出新聞事實或中心。有敘述式導語、描寫式導語提問式導語等。
(3)主體部分:具體展開事實的敘述或進一步突出中心。新聞及時、準確地報道國內外新近發生的重要事件,一般篇幅較短。基本要素是時間、地點、事件等。內容必須真實,要“用事實說話”。二 求職信
求職信是求職者寫給招聘單位的信函。它與普通的信函沒有多少區別,但它與朋友的信函又有所不同,當然也不同于“公事公辦”的公文函。求職信所給的對象很難明確,也許是人事部一般職員,也許是經理,如果你對老板比較了解的話可以直接給老板。當然,如果你根本就不認識招聘公司的任何人,求職信最好寫上“人事部負責人收”較妥。如果直接寫人事部經理或“老總”收可能不妥,如果該信落到一般職員手中的話,可能使得這些人不高興。
求職信起到毛遂自薦的作用,好的求職信可以拉近求職者與人事主管(負責人)之間的距離,獲得面試機會多一些。
求職信是自我表白,其目的和作用要是讓人事主管看,因人事主管有太多的求職信函要看,因此要簡明扼要。【示例】 尊敬的領導:

請柬(重點)
請柬又稱請貼,是人們在節日和各種喜事中請客用的一種簡便邀請信.請柬是為邀請賓客參加某一活動時所使用的一種書面形式的通知。一般用于聯誼會、與友好交往的各種紀念活動、婚宴、誕辰或重要會議等,發送請柬是為了表示舉行的隆重。請柬通常也稱作請帖。在古代,柬與帖有一定的區別。請柬的“柬”字,本為“簡”。造紙術發明以前,簡一般是較普遍的寫作材料。簡是將木材或竹木經過加工后制成的狹長的片。簡一般指竹簡,木制的寫作材料古人稱“牘”。人們把文字刻在簡上用來記事,由于書寫面積有限,篆刻也有些難度,所以用簡書寫文字容量是較小的。人們把簡聯綴在一起而成“冊”。到了魏晉時代,“簡”就專門 用來指一種短小的信札,這一說法延用至今。
格式內容:
(1)在封面上寫“請柬”(請貼)二字。
(2)抬頭寫被邀請者(個人的姓名或單位)名稱。
(3)交待活動內容,如開座談會、聯歡晚會、過生日等;交待舉行活動的時間和地點,如果是請看戲或其它表演還應將入場券附上。
(4)結尾。如“致以——敬禮”、“順致——崇高的敬意”等。
(5)署明邀請者(個人、單位)的名稱和發出請柬的時間。請柬的寫作要求:
(1)請柬不同于一般書信。一般書信都是因雙方不便或不宜直接交談而采用的交際方式。請柬卻不同,即使被請者近在咫尺,也須送請柬,這主是表示對客人的尊敬,也表明邀請者對此事的鄭重態度。
(2)語言上除要求簡潔、明確外,還要措詞文雅得體。

現在每個家庭只有兩三個孩子,孩子的安全健康成長關系著每個家庭的幸福和平安,要為家長分憂解困,為做好安全教育工作是班主任工作的重中之重。班級安全是確保構建和諧校園這一目標任務實現的重要前提和保障。班級安全工作,直接關系到學生生命安全和學生健康成長,關系到千家萬戶幸福安寧和班級聲譽。為了深入貫徹上級有關文件精神,進一步提高全校學生的安全防范意識,切實加強學生人身安全教育,創設一個穩定、安全、有序、平安 的校園環境,確保班級正常的教育教學秩序,一學年來,我認真貫徹班級有關“創建平安校園” 暨 做好班級安全工作的精神,結合我班實際,提高認識,加強管理,注重落實,講求實效,取得了很好的成效,得到領導的肯定和社會家長的認可,切實達到了創建平安校園的目的。現將班級安全工作總結 如下:
一、班級是未成年人較為聚集的地方,班級安全工作的主要對象是在校學生,他們的自我保護意識和防范能力相對較弱,是安全工作領域的弱勢群體,確保他們安全的任務十分艱巨。班級安全工作有其特殊性:

按照學校工作部署,具體負責本抓班的安全工作,落實班級的安全管理。成立了班主任主管,班長分管,學習委員、團支部書記、體育委員、勞動委員層層分解負責,做到一人主抓一塊,層層抓落實。班主任在學年初給每位學生簽訂安全責任書 全面抓好下列安全工作:學生個人飲食衛生安全、參加勞動人身安全防范、安全法制教育;校內打架斗毆事件的預防與處理;禁煙和防賭安全工作。教室宿舍居住、床位安全;教學、生活設施安全;食堂飲食衛生安全;用電安全;預防基建工地人身安全。課堂教學人身安全;體育課、活動課、實驗課、電腦課教學安全;實驗室、電腦室等有關器材使用安全;外出教學活動人身安全。
三、建設“平安校園”,保障班級安全的關鍵在防范
班級 堅持 “預防為主”的方針,強化管理,落實各項安全措施。進一步明確目標責任,落實到人,學生對個人安全防范形成書面材料并上交班主任。各小組責任人認真進行自查,做到邊查邊改,對檢查中發現的隱患和問題做好記錄,并由專人負責,限期整改,切實做到層層有目標,人人有責任。
總之,班級安全管理是造福學生的一項重要舉措,也是事關廣大學生、班級的生命財產安全的一項重要工作,班級安全建設的成功與否與班級的改革、發展、穩定息息相關。我 們始終把安全工作擺在班級各項工作的重要位置加以落實,給學生提供一個安全健康的環境,讓每位學生都充分認識到安全工作的重要性,要人人關心、人人支持、人人參與,始終圍繞保障學生生命和財產安全作為重中之重,切實為班級創造安全穩定的工作發展環境貢獻自己的力量。班級多一分管理,學生就多一分平安,社會就多一分和諧。

如何規范應用文寫作
應用文不但是人類在長期的社會實踐活動中形成的一種文體,而且是人們傳遞信息、處理事務、交流感情的工具,有的應用文還用來作為憑證和依據。可是隨著社會的發展,人們在工作和生活中的交往越來越頻繁,事情也越來越復雜,因此應用文的功能也就越來越多了。所謂應用文是人們在生活、學習、工作中為處理實際事物而寫作,有著實用性特點,并形成慣用格式的文章。
1.當今社會包括政府單位在內,很多應用文寫作不規范的行為,如何更好規范應用文寫作呢?
一、明確概念、認清特點、把握語體特點
1、概念:
應用文是黨政機關、企事業單位、人民團體和個人在日常工作、學習和生活中處理公私事務時使用的具有實用價值和固定格式的文體。對應用文的認識,應從兩方面考察,一是從文章的功用來看,應用文從產生到發展都是以應用為目的的,或用于處理公務,或用于個人事務,這一點,使它鮮明的區別于以審美為主要功能的文學作品;二是從文章的表現形式上看,應用文較之于其他文體,有著更為嚴格的寫作格式,語言文字也較簡明通俗,這一點是與它功能上的實用性相適應的。
2、特點:
第一,功能上的實用性。
應用文的產生源于社會發展和社會生活方方面面的實際需要。國家出現,需要政事管理,出現公文,有了商品交換,契約文書應運而生;社會進入法制階段,便產生了訴訟文書,實用性是應用文最為根本的特征和生命之所在。應用文是據以辦事的工具,它既有明確具體的實用目的,又有明確、固定的使用對象。
第二,內容上的真實性。
應用文的實用性是以真實性為基礎和前提的,失去真實性,應用文就失去了價值和意義,甚至會造成重大的破壞性影響。第三,形式上的程式性。
由于社會交際的需要,應用文的文體形式不斷完善和充實,在結構形式、語言表達上形成了一些慣用的格式,在有些公用文書的辦理上也形成了一定的程式,這就是應用文的程式性。這些程式化的東西,有的是約定俗成的,如信函、請柬的寫法;有的是由國家權威行政機構做出統一規定的,如行政公文的格式及寫法,都是由《國家行政機關公文處理辦法》規定的,這個規定,1993年由國務院辦公廳發布,2000年由國務院發布,體現了高度的統一性。還有的是由行業約定,如經濟應用文的寫法、建筑行業的招投標書、司法應用文中的起訴狀、上訴狀、申訴狀等都有具體的要求和約定。第四,時限性。
應用文的寫作是服務于生活和工作的實際需要的,是為解決實際問題的,所以要在一定時限內完成,這就是它的時限性。這其中包括兩方面的內容: 一方面從應用文發揮作用的角度說,它有一定的時限性,應用文在一定時間內有效,過了時間就不再有效,時間短的如開會的通知,會議結束了通知就失效了,長的如行政法規、規章,最長的是國家的根本大法《憲法》,當下一部《憲法》出臺后,原來的就只有保存的價值了。另一方面,從應用文的撰寫的角度來說,它也要講究時限性,在規定的時間內完成應用文的撰寫,否則,就影響了工作。
二、應用文寫作要遵守約定俗成的格式要求
關于應用文的寫作,要十分注重人們所說的“約定俗成”的格式要求。這種寫作規范并非是一種嚴格規定的法定形式,而是無數前人在寫作實踐中所取得的某種共同的認識和約定,也可以說是一種審美趣味上的趨同和共識。可見,“約定俗成”雖然不屬法定規范,但它必然包含著寫作規范中許多合理因素,我們應該加以繼承和保留,不應隨意破壞和擅自修改,以免影響應用文的特定交際功能。能夠善于運用應用文的“約定俗成”格式,也是一個人語文修養和水平的具體體現。
比如就書信而言,不要以為它的寫作十分簡單。寫信寫了十幾年了,還有錯。實際上,真正能夠規范地全部書寫正確書信格式的人,可以說是鳳毛麟角。有的人對此不以為然,書信格式錯了,不也照樣收到,意思也能理解。但它不知道,它所體現的語文修養卻是有天壤之別。就像吃飯一樣,有的人用臟手抓飯往嘴里塞,有的人卻用高級餐具進餐,其風格的粗魯和優雅是不可相比的。
三、注重應用文的語言特征
應用文作為一種實用性文體,語言上與其他文體相比較,主要表現出“樸實、沿習、多元、明確、簡練、生動”等特征。
1、樸實——開門見山、自然質樸
文學作品屬形象思維范疇,主要用場景渲染、人物描寫、心理刻畫等手法塑造出活生生的藝術形象來感染讀者,即“以情動人”。語言上特別重視積極的修辭手法,特別講究動詞、形容詞的錘練。論文寫作屬邏輯思維范疇,以對事理的解剖分析、綜合歸納、邏輯推論“以理服人”,語言上特別重視語法、邏輯和專業術語的準確。
應用文是一種處理公私事務的工具,是用來說明事實、解決實際問題的,側重于“以事告人”。所以語言要求樸實無華、開門見山。
2、沿習——文有定型、約定俗成。
一般說“文無定法”,但寫作應用文應當遵循“慣例”。應當符合相對穩定的格式、表述規定的內容、使用習慣的語言。標題、開頭、結尾、轉折過渡采用習慣的用語。
3、多元——文字數據、表格圖形。
一般文章多用文字表述,應用文除了用文字表述外,還可以用數據、表格、圖形來說明事理,可謂“語出多門”。特別是財經類應用文則大量采用數據、表格、統計圖形。
商務類文體寫作
4、明確——確切無誤、明白通曉。
文學創作講“文貴曲”,而應用文有很強的政策性、實用性。要求語言明確,使人一看就懂,一懂就可執行、答復或辦理,不能模棱兩可,不能有再創造的余地。明確特征要求,不用或少用比喻,不用或少用具有描寫性和感性色彩的詞語。
5、簡練——言簡意賅、文約事豐。
“簡”本來是戰國至魏、晉時代的書寫材料,是削制成的狹長竹片或木片。由于這種書寫材料制作的困難,就要求作者必須言簡意賅,盡量爭取以少少的文字,容進多多的意思。“練”指把絲麻或布帛煮得柔軟潔白,這里是要求文字寫得明白。
應用文寫得簡實、煉是高速傳遞信息的需要,是節省時間、提高辦事效率的需要,也是樸明確特征在“文字量”上的體現
6、生動——有聲有色、活潑鮮明。
語氣莊重、言簡意明、直來直去、明白顯露是應用文用語的基本要求。但在調查報告、總結等應用文種里,也可以用生動活潑的語言表達事理、吸引讀者,感染讀者。誠然,上述應用文文種不會象文學作品那樣借用種種寫作手法來塑造形象,只可以有限使用比喻、借代、夸張等修辭技巧,穿插使用成語、俗語、歇后語等增強文章的吸引力、感染力、新鮮感。
應用文不但是人類在長期的社會實踐活動中形成的一種文體,而且是人們傳遞信息、處理事務、交流感情的工具,有的應用文還用來作為憑證和依據。可是隨著社會的發展,人們在工作和生活中的交往越來越頻繁,事情也越來越復雜,包括政府單位在內,很多應用文寫作不規范的行為,如何更好規范應用文寫作呢?
2.如何更好在社會各界推廣應用文寫作?
隨著經濟和社會的發展,人們在工作和生活中的交往越來越頻繁,事情也越來越復雜,因此應用文的功能也就越來越多了,主要體現在以下幾個方面:
一、新聞媒體所說的消息,也叫新聞。新聞這一概念有狹義和廣義之分。狹義的單指消息;廣義的指消息、通訊、報告文學、特寫、評論、新聞照片等等。新聞消息是我們幾乎天天在報上和電視上見面的一種應用文。在各種新聞宣傳形式中,消息是目前世界上發表量最大、受眾最多的一種文體。它在報紙、廣播電臺、電視臺每天安排的新聞節目中,大多放在前面,而且使用頻率最高的一種文體。在西方發達國家,每天播出消息的數量占整個新聞節目的70%、80%,有的甚至超過這個比例,因此在新聞方面加強應用文推廣有著至關重要。
二、營銷人才不僅要精通網絡信息,能熟練運用電子工具,而且還必須具有較強得應用文寫作能力,也就是說具有較強的應用文寫作能力是衡量現代營銷人才的重要標準。所以說對市場營銷專業學生的應用文寫作能力的培養在現代營銷活動中具有極其重要的作用。
三、應用文是國家黨政機關、企事業單位、民主黨派、社會團體以及廣大人民群眾,在日常工作、生產、科研、學習和生活中辦理公務和個人事務時所常用的具有直接使用價值和某種慣用體勢的一類文章總稱。它是人們交流思想、互通情況、解決問題、處理事務的工具。因此在國家黨政機關、企事業單位、民主黨派、社會團體加強應用文推廣有著至關重要。
四、應用文在日常工作、生產、科研、學習和生活中辦理公務和個人事務涉及的范圍比較寬廣,不僅體現在導游、海報、啟事、禮儀類文體寫作、主持詞的寫作、演講詞的寫作、名片和請柬的創意與寫作,而且體現在求職應聘類文體寫作、策劃類文體寫作、商務類文體寫作、報告類文體寫作、法律類文體寫作、實用類文體寫作、常見公文寫作等等之類的文體中。
總之,應用文寫作有很明確的對象和目的,內容強調真實不能有虛構、夸張、什么比喻、擬人等等,它的文風相對來說就要樸實一些,不要憑個人好惡主觀臆斷。應用文寫作在思維上側重邏輯思維,講究邏輯體現在文章結構上。就是有條理清楚、井井有條,斷了之間有明顯的邏輯關系。陳述事項界限清晰,不交叉、不困亂,內容前后講究因果,材料能夠證明觀點。應用文有規定的格式,寫作過程要按固定格式來寫,不能標新立異要遵守慣用或通用格式來寫。應用寫作的目的是實用,語言要求簡潔、明確、概括、精煉、恰當使用詞語、專業詞語。應用文寫作體現了實用性、功用性、固定性、真實性、明確性、針對性、客觀性、邏輯性、規范性、簡明性、是應用文所應具備的基本特征,也是對應用文寫作的基本要求。
所以在社會各界推廣應用文寫作對國家經濟和社會發展有著極其重要和積極促進的重要作用和意義。

Letters are important means of communication.Generally speaking, there are two types of letters, business letters and personal letters.By “business” we do not mean buying, selling, or exchanging goods with people or companies but important matters we have to discuss or deal with.Business letters may be a recommendation, a job/school application, an inquiry, an answer, an invitation, a complaint, etc.In other words, all letters which are not “personal“ are ”business“ letters.1.Form A letter has six parts: the heading, the inside address, the salutation, the body, the complimentary close, and the signature.(1)The heading The heading gives the full address of the writer and the date of the letter.It is usually written or typed in the upper right-hand corner of the first page.It may be either blocked or indented.It may or may not have end punctuation.If letterhead stationery is used, the date is often centered two or three spaces below the printed matter, though it may be written flush with either margin.The British may put a comma after each line in the heading and end the address with a period, but the Americans do not: British Ms.Jennifer Stone, 20 Fairview Drive, Eastbourne, 2BU.England.Take care that the date of your letter is made perfectly clear(See III.Notes)
