一、何為商務(wù)信函
商務(wù)信函是商務(wù)活動(dòng)中書面交流信息的主要手段之一,是企業(yè)對(duì)外公共宣傳關(guān)系中重要的手段,對(duì)于樹立良好的公司形象有著極為重要的意義。
商務(wù)信函涉及商務(wù)活動(dòng)的各個(gè)環(huán)節(jié),貫穿商務(wù)活動(dòng)的始終,內(nèi)容廣泛,通常包括建立業(yè)務(wù)關(guān)系、詢盤、發(fā)盤、還盤、受盤、訂立合同、保險(xiǎn)、裝運(yùn)、索賠等方面。
二、商務(wù)信函的要求
1.語(yǔ)言嚴(yán)謹(jǐn)準(zhǔn)確
商務(wù)信函要求語(yǔ)言表達(dá)嚴(yán)謹(jǐn)準(zhǔn)確,但在商務(wù)信函中恰當(dāng)使用模糊語(yǔ)言,可以使語(yǔ)言表達(dá)更加客觀準(zhǔn)確、靈活生動(dòng)、禮貌得體。
(1)商務(wù)英語(yǔ)信函經(jīng)常以意義相同或相近的書面詞語(yǔ)代替基本詞匯和口語(yǔ)詞匯,如以inform或advise代替tell,以duplicate代替copy,以dispatch代替send,以otherwise代替or;以介詞短語(yǔ)代替簡(jiǎn)單的介詞,如以as for,in respect to,in connection with和with regarding to等代替about等。例如:
We are pleased to advise you that your order NO.105 has been dispatched in accordance with your instruction.我們很高興地通知你們:第105號(hào)訂單貨物已遵照你方指示運(yùn)出。
We will meet you half way by offering a discount of 5% in view of our long pleasant relations.鑒于我們之間長(zhǎng)期愉快的業(yè)務(wù)關(guān)系,本公司將酌情考慮給予5%的折扣。
(2)商務(wù)信函中經(jīng)常使用here/there +介詞構(gòu)成的復(fù)合詞,如hereafter,hereby,hereunder,hereto,hereinafter,herewith,thereafter,therein,therefrom等。例如:
All offers and sales are subject to the terms and conditions printed on the reverse side hereof.所有報(bào)盤和銷售均應(yīng)遵守本報(bào)價(jià)單背面所印的條款。
In such a case, Seller is bound to reimburse Buyer for any loss or damage sustained therefrom.在此次情況下,賣方負(fù)責(zé)償還買方由此所遭受的損失。
2.內(nèi)容清楚簡(jiǎn)潔
商務(wù)信函在內(nèi)容表達(dá)上要言簡(jiǎn)意賅,能夠傳達(dá)足夠信息且能夠做到機(jī)智的表達(dá)。通常是直接簡(jiǎn)練,開門見(jiàn)山,忌過(guò)分修飾。一般根據(jù)寫信者所要表達(dá)的中心
思想分段。正文每段的文字不會(huì)過(guò)長(zhǎng),尤其是開頭和結(jié)尾,更常以簡(jiǎn)短為宜。
例如:“By this letter we would ask you to consider our proposal.”就不如”Please consider our proposal.” 簡(jiǎn)潔;而“Please let us know whenever we can be helpful.” 則比“Whenever there is any way in which we can be of assistance, please feel free to contact us.”表達(dá)好一些。
3.富于外貿(mào)術(shù)語(yǔ)和專業(yè)詞匯
商務(wù)信函用詞表意準(zhǔn)確、專業(yè)性強(qiáng),主要表現(xiàn)在使用大量的專業(yè)術(shù)語(yǔ)、行話、外來(lái)詞、縮略語(yǔ)以及一般詞語(yǔ)在商務(wù)英語(yǔ)語(yǔ)境中的特殊用法。
(1)專業(yè)術(shù)語(yǔ)類:
We shall cover TPND on your order.我們將為你方的貨物投保盜竊和提貨不著險(xiǎn)。
It would be appreciated if you would let us know by returning your lowest possible price for the following goods on FOB London.請(qǐng)報(bào)下列商品倫敦船上交貨之最低價(jià)。
(2)外來(lái)詞類:
拉丁語(yǔ)的status quo(現(xiàn)狀),意大利語(yǔ)的del credere(保付貨價(jià)的),漢語(yǔ)中的litchi(荔枝),tungoil(桐油),mango(芒果)等。
(3)行話:
長(zhǎng)期的函電交往使人們?cè)谑褂眯g(shù)語(yǔ)上形成共識(shí),本來(lái)意義差異很大的詞匯在特定的語(yǔ)境中所表達(dá)的內(nèi)涵和外延卻非常相似。
Offer, quotation表示“報(bào)價(jià),發(fā)盤”
Pamphlet, brochure, booklet, sales literature
表示商家用于宣傳介紹自己公司或產(chǎn)品的“說(shuō)明材料”
Shipment和consignmen表示“所發(fā)出的貨物”
Financial standing/reputation/condition/position
表示公司的“資信財(cái)務(wù)情況”
Fulfill/complete/execute an order用于表示“執(zhí)行訂單”
A draft contract或a specimen contract 表示“合同樣本”
(4)數(shù)量詞的大量運(yùn)用:
商務(wù)信函中的時(shí)間、價(jià)格、數(shù)量、金額、規(guī)格等問(wèn)題貫穿商貿(mào)活動(dòng)始終,數(shù)字的表達(dá)應(yīng)言之確鑿,避免摸棱兩可,體現(xiàn)商務(wù)信函準(zhǔn)確性。
四、商務(wù)信函的翻譯原則
商務(wù)信函屬于比較拘謹(jǐn)正式的公文體,行文端正,用字洗練,一般遵守商務(wù)英語(yǔ)的寫作原則,即5“C”原則:正確(correctness)、簡(jiǎn)潔(conciseness)、清楚(clearness)、完整(completeness)、禮貌(courtesy)。具體來(lái)講,有以下幾方面內(nèi)容。
1.遵循“忠實(shí),通順”的翻譯標(biāo)準(zhǔn)
例如:“We have obtained your name and address from the Singapore Chamber of Commerce, who have told us that you wish to import electric goods manufactured in China.”原譯為:“我方從新加坡商會(huì)處獲悉貴方的名稱和地址,得知貴方有意進(jìn)口中國(guó)制造的產(chǎn)品。”此句的翻譯應(yīng)該說(shuō)非常通順,注重了信函的語(yǔ)言特點(diǎn),但是它并沒(méi)有做到忠實(shí)的原則,譯文中漏譯了“electric”。再如:“I have the honor to notify you that we have commenced a business as commission agents for British goods.” 原譯為:“我很榮幸地告知你我們已經(jīng)開始了一項(xiàng)業(yè)務(wù),來(lái)作為英國(guó)貨物的代理”。這句的翻譯中絕對(duì)忠實(shí)于原文,但卻不能夠達(dá)到通順的要求,讓人讀起來(lái)感到特別生硬,須調(diào)整語(yǔ)序譯為:“我們已經(jīng)開始了經(jīng)營(yíng)代銷英國(guó)貨物的業(yè)務(wù),特此通告。”
2.注意信函結(jié)構(gòu)程式化的翻譯
英漢兩種語(yǔ)言在信函結(jié)構(gòu)程式上有一定的差別。如收(寄)信人的地址、寫信時(shí)間及他們的位置都是不一樣的,需要我們?cè)诜g時(shí)做出適當(dāng)?shù)恼{(diào)整,以適應(yīng)目的語(yǔ)的格式規(guī)范。例如:把英語(yǔ)地址由小到大的順序譯為漢語(yǔ)的由大到小的順序,或者有時(shí)根據(jù)漢語(yǔ)的習(xí)慣把地址欄省去;把時(shí)間也由英語(yǔ)當(dāng)中的日/月/年或月/日/年的順序改譯為漢語(yǔ)中的年/月/日的順序。例如:

3.運(yùn)用套譯的翻譯方法
(1)稱呼語(yǔ)的套譯
英文信函中常用的是“Dear Sir(s)/Madam/Gentlemen/Ladies”等,此處的“Dear”只是一種表示對(duì)收信人的尊稱,是一種禮貌的習(xí)慣性表達(dá)方法,并不等同于漢語(yǔ)中的“親愛(ài)的”,因此,根據(jù)漢語(yǔ)習(xí)慣我們可以套譯為:“尊敬的閣下/先生/女士/夫人”,有時(shí)也可以套譯為:敬啟者、謹(jǐn)啟者、執(zhí)事先生、尊鑒、臺(tái)鑒等。
(2)結(jié)尾敬語(yǔ)的套譯
結(jié)尾敬語(yǔ)的表達(dá)方式有很多,例如:Yours faithfully,F(xiàn)aithfully yours,Yours truly,Best regard,Sincerely,Best wishes,Yours sincerely,Kind regards等等。它們可以直接套譯為:“謹(jǐn)上、敬上、謹(jǐn)啟、順致敬意”等,而不能直接按照字面意思進(jìn)行翻譯。
(3)信函正文中一些敬辭和謙辭的套譯
商務(wù)信函的一大特色就是措辭婉約、注重禮節(jié)、多用套語(yǔ)。英語(yǔ)商務(wù)信函中
頻繁使用 appreciate,esteem,favor,grateful,kindly,oblige,please,pleasure,Allow us...,Permit us to...,May we...等等。而漢語(yǔ)中常用的一些敬辭包括:“您鑒、貴方、貴國(guó)、貴公司、閣下、敬復(fù)、敬悉、惠請(qǐng)、惠函、惠顧、賜復(fù)、奉告、承蒙、恭候”等等;常見(jiàn)的一些謙辭包括:“敝人、敝公司、敝處、卑職、愚見(jiàn)、拙見(jiàn)、拙作、拜讀、過(guò)獎(jiǎng)”等等。例如:
We have pleasure in acknowledging receipt of your esteemed favor of the 8th May.敬悉貴公司5月8日來(lái)函。
Kindly provide us with all possible information on your market.惠請(qǐng)告知你方市場(chǎng)詳情。
4.要注意禮貌原則
禮貌原則,分為六大準(zhǔn)則:策略準(zhǔn)則、慷慨準(zhǔn)則、贊譽(yù)準(zhǔn)則、謙遜準(zhǔn)則、一致準(zhǔn)則、同情準(zhǔn)則。這些準(zhǔn)則解釋了有的交際語(yǔ)言比較禮貌的原因,當(dāng)然這并不意味著最禮貌的形式總是最合適的,因此在商務(wù)信函的翻譯中我們也要這樣對(duì)待。
(1)策略準(zhǔn)則和慷慨準(zhǔn)則
這兩項(xiàng)準(zhǔn)則常用于指令和承諾,對(duì)于咨詢信息、發(fā)盤還盤、商議付款條件、索取免費(fèi)產(chǎn)品以及就賠付方式進(jìn)行交涉等方面比較適用。如:
Should you desire, we would be pleased to send you catalogs together with export prices and estimated shipping costs for these items.若貴方需要,本公司將樂(lè)意寄上目錄以及這些項(xiàng)目的出口價(jià)格以及預(yù)估的運(yùn)輸費(fèi)。
(2)贊譽(yù)準(zhǔn)則和謙遜準(zhǔn)則
這兩項(xiàng)準(zhǔn)則要求盡量減小對(duì)別人的貶損,夸大對(duì)別人的贊揚(yáng)以及縮小對(duì)自己的贊揚(yáng),夸大對(duì)自己的貶損。在商務(wù)信函中這兩項(xiàng)準(zhǔn)則常見(jiàn)于試探合作意向、商談合作細(xì)節(jié)或是感謝信當(dāng)中。如:
We were pleased to know from your letter of 24th October of your interest in our products and enclose the catalogue and pricelist asked for.Also enclosed you will find details of our conditions of sale and terms of payment.奉讀10月24日來(lái)函,欣悉你們對(duì)我們的產(chǎn)品有興趣。茲附上你們所要求的商品目錄和價(jià)目表,并附上我們的售貨條件和付款方式。
(3)一致準(zhǔn)則和同情準(zhǔn)則
根據(jù)這一原則,貿(mào)易雙方應(yīng)盡量擴(kuò)大一致,減少分歧。如:
We have gone into the matter and we are prepared to make you a reasonable compensation, but not the amount you claimed, because we cannot see why the loss should be 50% more than the actual value of the goods.我們已對(duì)此事進(jìn)行調(diào)查,愿意對(duì)貴方給予合理賠償,不過(guò)不是貴方索賠的金額,因?yàn)槲覀兛床怀鰮p失何以超過(guò)貨物實(shí)際價(jià)值的一半以上。
寫信人在指出對(duì)方索賠金額數(shù)目不合理之前首先表明愿意承擔(dān)相應(yīng)責(zé)任,目的在于盡量消除談判的障礙,從而擴(kuò)展了雙方的一致,確保了合作的順利進(jìn)行。
At any rate, we deeply regret to learn from you about this unfortunate incident and should it be necessary we shall be pleased to take the matter up on your behalf with the shipping company concerned.不管怎樣,從貴方聞悉發(fā)生這一不幸事件,我們深表遺憾。如有必要,我們將很樂(lè)意代為貴公司向船方提出交涉。
以上這一事例真切地表達(dá)了貿(mào)易一方對(duì)遭受損失一方的慰問(wèn)及希望給予對(duì)方幫助之意,充分體現(xiàn)了同情準(zhǔn)則的要求。
五、實(shí)例分析

對(duì)收信人的稱呼應(yīng)自成一行,寫在低于信內(nèi)地址一二行的地方,從信紙的左邊頂格開始寫,每個(gè)詞的開頭字母要大寫,至于末尾處的符號(hào),英國(guó)人用逗號(hào),但美國(guó)和加拿大英語(yǔ)則多用冒號(hào)。稱呼用語(yǔ)可視寫信人與收信人的關(guān)系而定。給外國(guó)人寫英文信時(shí),稱呼用語(yǔ)要注意以下幾點(diǎn):
①對(duì)沒(méi)有頭銜的男性一般稱呼 Mr.。Mr.用在姓氏之前或姓氏和名字之前,不可只用在名字之前,例如對(duì)的稱呼,應(yīng)該是:Mr.或 Mr.White, 不可是:Mr.Phil。若稱呼多個(gè)男性,則在姓名前用 Mr.的復(fù)數(shù)形式 Messrs.。對(duì)一般以人名為名稱的公司和企業(yè)常用這種稱呼,例如:Messrs.Black and Brothers 布萊克兄弟公司。
②對(duì)女性一般稱呼 Mrs.,Madam 或 Miss。Mrs.用在已婚女子的丈夫的姓氏之前,或姓氏和名字之前,一般不用在名字前 Madame 此詞可以單獨(dú)使用或加在丈夫的姓名之前 Mrs.沒(méi)有復(fù)數(shù)形式。若稱呼多個(gè)女性,則在姓名前用 Mme.的復(fù)數(shù)形式 Mmes.而對(duì)以女子名字為名稱的公司、企業(yè)可用 Mesdames 稱呼。Miss 多用于未婚女子,此詞可縮寫為 Ms,用于姓氏之前或姓氏和名字之前,一般不用于名字之前。
③對(duì)收信人的稱呼,也可用頭銜或職位的名稱,不分性別。例如 Professor(縮寫為 Prof.),Doctor(縮寫為 Dr.),General(縮寫為 Gen.)。這些稱呼都放在姓氏之前或姓氏和名字之前,如 Prof.(Phil)White等。
④對(duì)外公函中對(duì)收信人的稱呼,可用 Gentlemen(而不是 Gentleman),Dear Sir(s)和 My dear Sir(s)等。Gentlemen 之前不能加 Dear,后面也不能帶姓名。用 Sirs 時(shí),前面常用 Dear 一詞,但也可單獨(dú)用 Sir。若收信人是婦女,則無(wú)論已婚或未婚,都可單獨(dú)使用 Madam 或其復(fù)數(shù) Mesdames。
⑤對(duì)外國(guó)高級(jí)官員的稱呼,如國(guó)家元首、政府首腦、部長(zhǎng)、大使、公使和特使等,可用(Dear)Sir,(Dear)Mr.Chairman,(Dear)Mr.Premier,(My dear)Mr.Ambassador,Your Excellency(復(fù)數(shù)為 Excellencies)。
⑥對(duì)君主制國(guó)家的國(guó)王和皇帝等男性君主,可以 Sir 稱呼,對(duì)女王、女皇和皇后等女性君主,可用 Madam 稱呼。有時(shí)也用 Your Majesty 稱呼以表示。客氣和尊敬Your Majesty 可兼指男性和女性,其復(fù)數(shù)為 Your Majesties。
⑦對(duì)王室成員,如太子、王子、親王和公主等,一般可用(Dear)Sir 或(Dear)Madam 但在正式尊稱時(shí),一般用 Your Highness(復(fù)數(shù)為 Highnesses)。

4.商務(wù)信函信的正文(Body of the Letter)
信的正文每段第一行應(yīng)往右縮進(jìn)約四五個(gè)字母。在寫事務(wù)性信件時(shí),正文一般開門見(jiàn)山,內(nèi)容簡(jiǎn)單明了,條理清楚。在寫私人信件時(shí),信寫好之后若有什么遺漏,可用 P.S.表示補(bǔ)敘。
5.商務(wù)信函結(jié)束語(yǔ)(Complimentary Close)
結(jié)束語(yǔ)是寫信人表示自己對(duì)收信人的一種謙稱,只占一行,低于正文一二行,從信紙的中間或偏右的地方開始寫。第一個(gè)詞的開頭字母要大寫,末尾用逗號(hào)。結(jié)束語(yǔ)視寫信人與收信人的關(guān)系而定例如寫給機(jī)關(guān)、團(tuán)體或不相識(shí)的人的信,一般用:
Yours(very)truly, Yours(very)faithfully,Yours(very)sincerely,等等。
寫給上級(jí)和長(zhǎng)者的信一般可用:
Yours(very)respectfully, Yours(very)obediently, Yours gratefully, Yours appreciatively, Your obedient servant, 等等。
寫給同志或同事的信一般可用:
Fraternally yours, Comradely yours,等等。
寫給熟人或朋友的信可用:
Yours, Ever yours, Yours affectionately, As ever, Yours sincerely Yours devotedly,(Most)Fondly yours, Yours excitedly, Intimately yours,等等。
寫給親屬或摯友的信一般用:
Yours, Ever yours, Yours as ever, As ever, Yours affectionately, Lovingly yours,(Much)Love, With Love,Lovingly, Your loving son, Your most affectionate, Your devoted friend, Devotedly, 等等,意即:“您的”、“永遠(yuǎn)是您的”、“您的親愛(ài)的”、“您的愛(ài)子(孩子、姐妹、侄、侄女、祖母)”、“您的摯友”等。
寫給摯友的信有時(shí)也可用:
Yours hurriedly, Yours hastily, Yours in haste, 等等。
寫信給摯友,表示歉意時(shí),可用:
Contritely yours, Regretfully yours, Yours in(with)regret, Yours in(with)deep remorse 等。
在歐洲一些國(guó)家里,多把Yours 放在 sincerely等詞的前面。在美國(guó)和加拿大等國(guó),則多用,把 yours 放在 Sincerely 等詞之后。Yours 一詞有時(shí)也可省略。
6.簽名(Signature)
信末的簽名一般低于結(jié)束語(yǔ)一二行,從信紙中間偏右的地方開始寫。若寫信人是女性,與收信人又不相識(shí),則一般在署名前用括號(hào)注上 Miss, Mrs.或 Ms.,以便對(duì)方回信時(shí)知道如何稱呼。有的還有署名后寫上自己的職稱、職務(wù)或頭銜
7.附件(Enclosure)
信件若有附件,應(yīng)在左下角注明 Encl.或 Enc.。若附件不止一個(gè),則應(yīng)寫出2(或3,4,5等)Encls.,例如:

8.再啟(Postscrip, 縮寫為 P.S.)
再啟部分用于補(bǔ)敘正文中遺漏的話,一般應(yīng)盡量少用,正式的函件中更應(yīng)避免使用。
9.私人和公務(wù)信函--注意事項(xiàng)
首先,寫信者應(yīng)設(shè)身處地想到對(duì)方,尊重對(duì)方的風(fēng)俗習(xí)慣。
其次,英文信應(yīng)該行文流暢、言簡(jiǎn)意賅,避免冗長(zhǎng)。這就是說(shuō),寫信者應(yīng)用盡可能少的文字表達(dá)其必須傳遞的信息,而且寫信者應(yīng)將其所需傳遞的信息表達(dá)清楚,以免對(duì)方產(chǎn)生誤解。書信交往,同樣需要以禮待人。因而在寫信過(guò)程中,要避免傷害對(duì)方感情,措辭上多選用些禮貌婉轉(zhuǎn)詞語(yǔ)。
最后,除了避免語(yǔ)法、拼寫、標(biāo)點(diǎn)錯(cuò)誤外,信中所引用的史料、數(shù)據(jù)等也應(yīng)準(zhǔn)確無(wú)誤.私人和公務(wù)信函--常用句式。常用的起首語(yǔ)有:
