第五篇:商務英語信函的特點
摘 要: 英國論文隨著時代的發展, 使用簡潔通俗的語言已成為現代商務英語, 尤其是商務英語信函的突出特點。本文從這一特點形成的根源簡易英語運動出發, 分析了簡易英語的定義, 遵循的原則, 最后在此基礎上通過大量例證的對照比較, 總結了簡易英語趨勢在現代商務交際中的體現。
商務英語和法律英語一樣, 通常被認為是充斥著技術性術語和詰屈聱牙語句的典型書面語。不可否認, 很長時間以來, 商務文書給人的印象確實如此。然而隨著時代的發展, 這種情況已得到極大的改觀, 商務交際用語漸趨簡明易懂。使用簡潔通俗的語言已成為現代商務英語的突出特點。我們可以比較一下下面的兩句商務信函中的用語:
1.We beg respectfully to state that we are in receipt ofyour L/C in the amount of USD××× for which we thankyou.2.We inform you that we have received your L/C forUSD×××.可以看出, 這兩句表達的意思完全相同, 但是第一句使用了 beg respectfully to state, in receipt of, inthe amount of, 以及包括定語從句 for which we thank you等表達極為繁雜的用語, 而第二句用語簡潔明快, 但是它所包含的信息量較第一句而言沒有絲毫的減少。現代商務英語正是提倡使用簡單詞語(plain words), 而不用復雜的語句(complicated words), 尤其是那些繁復老套的用語, 即我們所說的陳詞濫調(cliché)。現代商務英語的這一顯著特點, 其實與這些年來在英美等國出現的英語簡化趨勢, 尤其是在美國大張旗鼓推行的簡易英語運動(Plain English Movement)有直接的聯系。這一運動要求革除商業契約上的繁文縟節, 簡化法律用語, 從而起到方便民眾, 減 少因繁復用語而引起不必要爭端的作用。1978 年 3 月 24 日, 當時的美國總統卡特更是簽署了第 12044 號行政命令, 要求聯邦政府各部切實保證頒布的每項法令必須以簡單易懂的英語撰寫, 以便須依照有關法令辦事的人都能看懂。這一法令理所當然受到普通老百姓的歡迎, 而簡易英語運動在這一法令的推動之下也得到了更為蓬勃的開展[1]。
一、什么是“ 簡易英語”
所謂簡易英語(Plain English), 美國學者考特蘭?博維(Courtland Bovèe)和約翰?席爾(John Thill)認為簡易英語是用簡易的文字和結構寫成的語句, 讀者都能看懂, 很接近于我們的口語
[2]。可見, “ 簡易英語” 是指書面表達中使用清晰正確的英語簡明扼要而有效地傳遞信息。“ 簡易英語” 并不幼稚, 也并非過分簡單化的英語。“ 簡易英語” 重視信息的傳遞。它并不堆積詞藻, 而且不會不必要地使用行話、術語等難懂的表達。換句話說,“ 簡易英語”徹底拋棄了繁文贅語和讓人無所適從的表達。用“ 簡易英語” 書寫的文件是為了讓人們讀懂, 因此所用的詞語都是讀者能夠理解的。只要讀者能夠理解, “ 簡易英語” 用到技術性較強的專業術語也并非不可。比如,一篇醫學學報上的論文面向的是醫學專家, 使用專業術語是可以的, 因為這些讀者能夠理解。只要表達恰當, 這篇論文的語言仍然可被稱為“ 簡易英語”。當然, 如果這篇文章是出現在面向公眾的通俗雜志上, 那么再包含很多專業術語就很可能出現普通讀者無法理解的狀況。這個時候, 只有使用普通大眾能夠理解的字眼那它才是“ 簡易英語”。我們應該看到非常復雜的概念也是可以用“ 簡易英語” 加以解釋的。許多法律文書, 比如合同和法令, 用“ 簡易英語” 改寫后仍然能做到表達精確無誤。
二、“ 簡易英語” 所遵循的原則
“ 簡易英語” 最重要的原則就是讀者為先。即為讀者著想, 考慮讀者的需求。要“ 簡易” , 就得好好考慮如下的問題:讀者需要知道些什么? 他們對這個問題的理解程度如何? 怎樣才能更好地把意思組織起來以便讀者更好地理解? 要想有效傳遞你的信息, 首要的是要清楚什么樣的人會閱讀你寫的東西。具體來講, “ 簡易英語” 遵循如下的原則:
(一)寫作前做好規劃起草文書之前, 首先得明確自己的寫作目的。讀者是誰? 他們對于所涉及的話題是非常了解, 了解一點還是一無所知? 他們想知道些什么? 找到這些問題的答案, 做到心中有數。一旦知道了讀者是誰, 就應該盡可能從他們的角度來看問題, 來表達
問題, 而不要從自己或是公司的角度出發。表達時要直截了當, 就像是在和讀者當面交談一樣。多用“ we” 和“ you” , 這要比用“ the department/ bank/council” 和“ the client/ customer/ ratepayer”平易近人得多。
(二)使用讀者能懂的詞如果面向普通讀者群, 簡易英語中不會使用艱深難懂的字眼, 不會使用技術性強的專業術語, 因為這樣讀者很有可能理解不了。如果確實有必要讓讀者了解某個術語, 那是一定會加以解釋的。簡易英語中不會出現“ heretofore” , “ herein” 和“ aforementioned” 等文縐縐的字眼。簡易英語多使用明白曉暢的日常表達, 它更易理解,也更平易近人。當然, 簡易英語并非簡單地將難懂的單詞替換為好懂的字眼, 但是如果你用與人直接交談的方式來寫作就已經是一個很好的開端了。例如, 將 I refer toyour letter of 7 May.改寫為 Thank you for your letter of 7May.這便是 Plain English。再如, prior to and following 換用 before and after, 這也是簡易英語的體現。
(三)多用短句和簡短的段落簡易英語多用短句, 一句話中通常只包含一至兩個意思, 如果需要解釋一個術語或是闡述某個觀點, 通常會另起一句單獨解釋。
但是, 簡易英語不會單純為了達到簡潔的目的而犧牲文字的清楚性。短句并不一定就能將意思表達清楚。有時為了講清楚某個意思你必須得用更多的詞語。某些規則講一句話只能包含多少字, 我們不能機械地盲從如此的規則。我們首要的指導原則還是要將意思表達清楚。其次, 在簡易英語中, 通常是把思想用簡短的段落組織起來, 而且每一段都有一個中心思想。這樣的文章比長篇大論易懂得多。(四)多用主動語態, 少用被動語態在以前, 人們草擬各種文書時總是被動語態用得多。例如: Applications will be processed within two weeks.在這句話中, 我們并不清楚動作由誰發出。此外, 讀者對于“ processed” 一詞的含義也有可能不太明白。現在隨著簡易英語運動的進行, 同樣的一句就會換用主動語態, 從而意思表達就直接得多:We will reply to your application withintwo weeks.這樣讀者就清楚了動作由誰發出, 會得到什么:兩星期后得到答復。(五)少用大寫字母大寫字母不能濫用而且使用大寫字母會使你的文字少很多親切感。過去在有些商務文書中總是存在過度使用大寫字母的趨勢。例如, 在一些政府文件或公告中會有這樣的文字:When the Department issued its Annual Report,the Minister tabled it in the Federal Parliament.考慮到公眾的接受程度, 現在符合潮流的寫法是去除那些不必要的大寫字母, 像這樣:When the department issued its annualreport, the minister tabled it in the federal parliament[3].這樣公眾更能接受, 因為它不再那么高高在上、面目可憎。
(六)語義不能模棱兩可寫作時要注意不能寫出有歧義的句子, 這樣會妨礙讀者的理解, 這也是簡易英語重要的一條原則。倫敦地鐵里曾經有這樣一個告示: Dogs must be carried at all times.給人的感覺是每個乘地鐵的人都必須牽條狗。但它的本意是說如果乘客帶狗的話必須隨時牽著不能放手[4]。雖然用詞簡單, 但整句話令人費解, 已經不是 Plain English 了。當然, 簡易英語并不僅僅是遣詞造句的問題。文本的設計同樣重要。如果文本的布局很凌亂, 字體很小, 或者文字的顏色不醒目, 那么即使內容很清楚讀者還是有可能在理解時碰到困難。所以這些問題在所謂的實用英語寫作(practical writing)中都應該仔細考慮。
三、“ 簡易英語” 在現代商務英語中的體現簡易英語在現代生活中是無處不在的。很多人都聽說過有用簡易英語擬就的保單和政府報告, 但簡易英語并不僅僅出現在官方文書中, 任何組織或機構為了和公眾以及它們的內部員工溝通, 都需要用到簡易英語。簡易英語的使用隨著簡易英語運動的蓬勃開展以及政府的提倡, 已經滲透進商務交際(Business Communication)的方方面面, 大到法律文契、保單、標書、年報、政府部門和銀行等其它組織的往來信函, 小到各類帳單、通知、航班及公共交通時刻表等, 都出現了簡易英語的身影。簡易英語在現代商務英語中有如下體現, 我們用實例詳細加以說明:
(一)現代商務英語, 尤其是商務信函中, 通常會略去不必要的冗言贅語。商務業務中講求的是時間和效率, 正所謂 Time is money, 因此簡單地表達內容和適度地把握分寸就非常重要。請看以下例句:We are compelled to ex-press our surprise and disappointment at finding the goodscontained in your last shipment not up to the agreed stan-dards.在此句中, 劃線的部分其實都大可不必, 若改寫為:We are surprised that your last delivery does not match upwith the standards.則要簡潔許多。此外, 為了達到簡潔的目的, 除了表示強調的重復, 商務信函中還會避免使用反復累贅的用語, 試比較(括號外為簡明用語, 括號內為累贅用語): annually(for the period of a year), during 2002(during the year of 2002), separately(under separate cover),for $ 200(for the price of $ 200)。很顯然, 括號內的用語與當今英語簡易化的趨勢和商務英語精干簡練的表達風格不相適應。當然, 以下的表達尤其應當避免使用: adequateenough, grateful thanks, and moreover, combined together,past history, filled to the top, true facts, final completion, usu-al customs 等等。(二)現代商務英語和傳統的商務英語不同, 為了滿足時代的需要, 滿足現代商務活動高 效率和低消耗的需要,它已開始采用近似于口語化的語言。這是現代商務英語中極其值得重視的一點, 它與上文提到的“ 簡易英語” 的第二條原則是相吻合的。具體來講, 就是現代商務英語,尤其是商務書信往來中, 人們趨向于使用短小精悍、更為人熟悉和口語化的用語及表達方式。經過筆者的總結, 有以下幾點(例子中括號外為現在常用的簡明用語, 括號內為以往的用語):
1.使用短小精悍的單詞, 避免使用較長而又過于書面化的單詞。有人認為不寫一些罕見的詞便不足以表達寫作者的水平, 因此明明可以用 prefer, consider 或 decide來表達, 卻用 to express a preference for, to give considera-tion to 或 to arrive at a decision 來代替。這是一種錯誤的想法,不應提倡,我們寫的每一封信都有它的一定目的,如果我們的書信和文件要使閱讀者看了兩三遍以后才能明白, 那么應該說這份文書的質量就有問題。我們應該考慮讀者的文化水平和閱歷知識,所用詞語應控制在讀者的詞匯量范圍內, 例如: fire(conflagration), penalty(disincen-tive), alike(homologous), change(metamorphosis), through-out(pervasively), widespread(ubiquitous), quick(expedi-tious), first(foremost), sweat(perspiration), after(subse-quent), large(substantial), issue(promulgate), house(domi-cile), use(utilize), show(disclose)。
2.商務英語中術語的使用是必不可少的, 但是在現代商務英語中, 我們應不再使用技術性過強的詞匯和一些過去常用的外來語, 以達到簡明易懂的目的, 例如: dan-ger(peril), arrangement(format), develop(generate), daily(per diem), passage in and out(ingress and egress), well ac-quainted(au fait), among other things(inter alia), the presentposition(status quo)[5], in good faith(bona fide)。
3.使用簡單的趨于口語化的表達方式, 避免使用復雜的商務固定用語:We can deliver(We are in a position todeliver), If you decide to?(If you come to a decision), dur-ing(in the course of), concerning(on the question of), before(prior to), if(in the event of), according to(as per), We en-close(Enclosed please find), of today(of even date), by(per), Please tell us(Please be good enough to advise us),you(your good selves), your letter(your favor), separately(under separate cover), We received your letter(We ac-knowledge receipt of your letter)[6], Thank you for your letter(We acknowledge with thanks for your letter)[6], We write toinform you(We beg to inform you), a long time(a long peri-od of time), now(at the present time), because(due to thefact that), about(with regard to), even though(in spite of thefact that), as you requested(in accordance with your re-quest), soon(in the near future), allow/enable(afford an op-portunity), please note(attention is required), normally/e-qually(other things being equal)。
四、結語我們研究簡易英語及其在現代商務英語中的體現,對研究商務英語本身有直接的現實意義, 而且了解簡易英語這種趨勢對于轉變商務英語寫作觀念 也有很大的促進作
用。同時, 簡易英語運動以及商務英語的簡潔性特色符合時代發展的潮流, 體現出了英語與時俱進不斷發展的特點, 英國論文研究這個語言現象對于研究英語的發展也具有重要的意義。
