We offer you firm subject to your reply here by 5p.m,March 21 our time. 3. 茲就你方要求用付款交單方式一事,現奉告,信用證支付為我方慣用方式,故不能對你方例外。
With regard to your request for D/P terms, we wish to inform you that payment by L/C is your usual practice, and we are not in a position to make you an exception.上述例句打底線部分為典型的外貿信函程式化套語,用在信函中能使語言表達地道規范,語氣平和得當,、專業色彩濃,表現出鮮明的外貿信函用語行業特征。
試分析下述各例:
4.煩請貴方注意這一事實:標題貨裝運短重問題仍未解決。
We would like to draw your attention to the fact that the question of short weight on the captioned shipment remains unsettled.
漢、英語在各自的語言表達中都有固定的套式,但 “draw”這一動詞還可用“call”和“invite”來替換,只是“invite”中詞更顯禮貌一些。5.提請賣方注意:我方定單拖欠至今尚未履行。
We brought to the knowledge of the Seller that our order had been outstanding for considerable time.
此例與上例基本屬同一類型,語氣委婉,但言辭莊重,為常見的商函客套用語。6.如蒙貴公司向我方提供該公司情況,將不勝感激。
We should be grateful if you should get for US some information about this company.
英語中除了“obliged”, “grateful”這兩個詞外,還可用“thankful”一詞來替換,或用其它的詞稍作句型變化: It would be appreciated if... We should appreciate it if... 7.你方9月8日來函收悉。
We are in receipt of your letter of Sept.8. 這一套語漢語還可簡化為“函悉’’,幾乎為信文開頭的常式。8.希望保險索賠一事不會給你方造成麻煩。諸多麻煩,容此申謝。
We hope no difficulty will arise in connection with the insurance claim and thank you in advance for your trouble on our behalf.
這一套語不看譯文的確想不到它竟會是漢語“提前致謝”之意。按漢語思維,會譯成“Please allow me here to express to you our thanks for bothering you so much”,但這倒像老式的演講詞。再看一例: 9.承蒙合作,容此申謝。
Thank you in advance for your cooperation. 用套語一套即可成文,非常實用。10.隨函附寄我方價目單一式兩份,請查收。
Enclosed please find two copies of our price list. 這一套語原是英語信函套型其實很簡單:“Please find two copies?enclosed”,把句中賓補提到句首。類似的還有:
Please find enclosed two copies of... Enclosed are two copies of?
We are sending you under cover two copies of... 當然,最后這一例形式略有不同,“under cover”表達了隨函的意思,若改用“under separate cover”、“by separate mail”或“by separate post”等套語,則是“另函”之意了。這一意義英語中還有更接近日常表達的方式: 11.現隨函附寄我方最新目錄和價格表,上有貴方所需行情。
We enc1ose our latest catalogue and a price list giving details you ask for.12.我方經營多種輕工產品,詳見附表。
We deal in a wide range of light industrial products as per list enclosed.
漢語“詳見附表”似乎還有另一習慣表達:“For particulars please refer to the list attached”,盡管這也是固定的套語,但較之“as per”,在商函卻不及后者地道。“詳見附表“這一套語還可更簡潔: Details as per the attached list.
13.謹告之裝船單證正本通過中國銀行寄送你方。
Please be advised that the originals of shipping documents are being sent to you through the Bank of China.
“謹告之”不是“sincerely inform you that?”因為它不大合商函套式。除句中“advise”詞外,英語還可用“inform”代替它,或用“Please note that?” 和“Please see to it that?”句型來表達。14.請隨時告之你方市場形勢動態。
P1ease keep us informed of market situation at your end.這與上例形式相近.但意義大不相同(上例是“告之于人”,此處則是“被告之”),不可混用,名中“inform”一詞還可用“advise”和“post”代替。同時,英語“at your end”也是商函中的固定習語。
15.請告之你方具體要求,以便我方另寄目錄和報價表。
Please let us know your specific requirements in order for us to send you by separate mail our catalogue and quotation.
“請告之”英語不用“Please tell us”(當然也可這樣表達)而是用了更為常用的套語(打底線處),就使得表達更顯商函特色了。16.承蒙中國銀行拉哥斯分行告之貴公司名稱和地址,我方得知貴公司為紡織品和棉布出口商。
We owe your name and address to the Bank of China,Lagos Branch,through whom we have learnt you are exporters of Chinese textiles and cotton piece goods.
“承蒙告之”、“得知”也是信函用語,英語“through the courtesy of?”(經由??的好意)“on the recommendation of”“introduced by?”(由??介紹)等都可在這一情景下使用。
17.現冒昧來函,以謀求與貴公司進行貿易。
We take the 1iberty of writing to you with a view to doing business with you. “冒昧”一詞系初次交往時使用的禮貌用語,可使語氣委婉而不顯唐突,純粹出于客套,實際意義不大,但用與不用效果不同。當然,這里也可以用“take the liberty to write to?”來代替上面的“of”短語。類似的場合下還可使用“to take this opportunity to introduce ourselves as?”(借此機會自我介紹)、“to write to introduce ourselves as?”(現函告)和“This is to introduce ourselves as?”(茲介紹)等來代替它。18.盼早復。
We are looking forward to your early reply.
漢語言簡意賅,英語則句式相對長一些。類似的英語表達還有: ·We are expecting your early reply. ·We anticipate your early reply.
·We are awaiting your immediate reply. ·We look forward to hearing from you soon.·Let us have your reply soon.
·We are looking forward to your favorable reply. ·We look forward to hearing from you favorably. 到底用哪一種則須遵從個人習慣了。上述各例從一定程度上反映了部分信函用語的模式化特征,但在一些商貿術語和行話中,同樣也有一些模式化的固定搭配,它們不屬標準用語,但卻一樣在表達上形成了套式,對于套語,必須首先排除漢語思維的干擾,遵從英語的習慣進行表達,例如下例:
19.請注意,我方現貨不多。
Your attention is drawn to the fact that we have not much ready stock on hand.“現貨”是固定的專業術語,漢語只有一個,英語卻可根據不同上下文用多種形式表達(此句中的“請注意”也是可供現貨:
·We can supply the goods from stock. ·We can supply the goods ex stock. ·The goods are in stock for supply. ·The goods are available for supply. 無現貨可供:
·The goods are not available for supply. ·The stocks are exhausted. ·The goods are out of stock.存貨不多或逐減:
·Our stocks are running low.
·We have low(1imited)stock in(of)the goods. 20.此貨需求甚殷,故建議你方盡快惠賜試定單。
We would suggest that you sent us your trial order as soon as possible,as there is a brisk demand for this article.
漢、英對照,英語既看不出“惠”(favour),也看不出“賜”(grant)的意思,然而英語商函一直就這樣說。當然,也有客氣一些的說法: ·Would you please send us... ·Be kind enough to send us... ·Favor us with... 另外,“需求甚殷”與譯文相比,一個文氣,一個俗白,類似的英語固定搭配還有: 需求極大:There is a heavy demand for? 接貨過多:There is a heavy commitment? 貨已接滿:—be fully committed with?
定單甚多:have received a large number of.. 定單接踵而至:the rush of order...
當然,上述譯法也并非一成不變,具體使用須視不同上下文而定。21.特此奉告,我方經營的電扇品種齊全。
We are pleased to inform you that we handle a wide range of electric fans.
“經營”一詞卻有多種說法: “deal in”、“trade in”、“be in the line of?”等習慣表達。與之相應的還有配,例如: 22.現奉告,我方專營工藝品出口。
We wish to inform you that we are specialized in the export of arts and crafts.
當然,“專營”還有另外的說法,“專營”一詞,同樣也有許多搭配: ·We deal exclusively in the export of? ·We specialize in the export of...
·We—are specific in the line of the export of? ·We trade specially in the export of? 上述“專營”、“經營”在英語中的搭配方式都已相對固定。23.我公司為經營紡織品的大公司,產品暢銷海內外。
We are large dealers in textiles,with our products well-sold at home and abroad. “暢銷”一詞為最常用商業術語,在英語中的說法不下十種,除個別與漢語“暢”字(fast)字面意義相符外,大多采用意譯法,且形成固定搭配:

第四篇:商務信函
商務信函Business letter
英文信頭寫法 Heading 信頭也稱信端,其內容包括發件公司的名稱、標志、通信地址、電話號碼、傳真號、電子郵箱等。書寫信頭的目的是為了方便收件人了解信函來自何處,并為回復提供聯系方式。
很多公司都會印制帶信頭的信紙。一般來說,人們喜歡將簡單的信頭放在信紙上端居中,將復雜的信頭放在信紙的右側或上下兩端。在使用這種信紙打印信函時,一定要注意為信頭留出足夠的空間。
對于私人商務信函,如求職信等,信頭通常寫在信紙的右上方。如果信函的長度超過兩頁,那么從第2頁開始就不再需要信頭了,只需寫上頁碼、收件人姓名及日期。
英 文地址的書寫和中文地址的書寫有很大區別,應遵循從小到大的原則。特別值得注意的是,地址中的標點符號需正確使用。當前的習慣做法是,行末一般不加標點符 號,但行中間該加標點的地方,還是不應省略。門牌號碼與街道名稱之間不加標點,但是在城市與國家名稱之間必須用逗號分開。
英文信函編號寫法 Reference number 如果信函上有編號,收件人和發件人都能快速了解所指的是哪一封信。這樣既便于文件存檔,又便于日后查閱。
信函編號常見的書寫形式有兩種:
一種比較簡單的形式“Re: XXX”,例如, Re: Invoice 12345或Re: Your letter dated January 20, 2006。
一種比較常用的形式“Your ref: XXX, Our ref: XXX”,提供一組縮寫信息,包括:文件編號、起草人、錄入人的姓名縮寫和部門代號等。例如一封由我方Jutta Brawn 起草,由Hugh John Davies 錄入的信函編號為“Our ref: JB/HJD”
英文日期寫法 Date 商務信函必須寫日期,它對于文件存檔及信息查考都有重要意義。
書寫日期應注意以下幾點:
1.“年”應完全寫出,如2006,不能簡寫成 06; 2.在正式信函中“月”最好不用縮寫,而是完整地寫出來; 3.書寫“日”可以用序數詞,但最好用基數詞;
英式信函日期按日、月、年的順序,且中間沒有逗號,如:12 July 2006;美式信函日期按月、日、年的順序,中間加逗號,如:July 12,2006。
第五講:英文信內地址寫法 Inside address
由于不同國家書寫地址的習慣不同,收件人地址應按照對方公司信紙中的信頭書寫,切勿擅自更改。寫國際地址時,不要忘記在最后一行寫上國家名。航空投遞的信函,要在信內地址之上注明。以下為幾種信內地址的寫作實例:

Attention位于信內地址下空一行,加上底線;寫法分英式和美式兩種,例如:For the attention of Mr.David Schiller(英式),Attention: Mr.David Schiller(美式)。使用Attention時,因為信函實際上是寄給公司的,所以開頭的稱呼(Salutation)為Dear Sirs,(英式)和Gentlemen(美式)。
英文稱呼寫法 Salutation 如果信是寫給公司的,并沒有直接的聯系人,稱呼應為:“Dear Sirs,”(英式)或“Gentlemen:”(美式)。在不能確定收信人性別的情況下,還可以使用To Whom It May Concern或Dear Sir or Madam。在寫信給特定的組織時,更愿意使用Dear Member, Dear Customer, 和Dear Human Resources Manager這樣的稱呼。
如果知道收件人的姓名,就應該直接把姓名用入稱呼里。
商務信函一般用Dear Miss Brown,Dear Mr.Smith。Dear純屬公務上往來的客氣形式。寫給親人、親戚和關系密切的朋友時,用Dear或My dear再加上表示親屬關系的稱呼或直稱其名。例如:My dear father,Dear Tom等。
英文主題寫法 Subject 書寫Subject能便于收件人迅速了解信的主要內容。一般來說如果信內有Reference Number,就不一定再寫Subject。
Subject位于Salutation下空一行。一般有三種書寫形式:直接書寫、Subject:和Re:。為了突出還可以加底線、加粗、全大寫等,例如:
INVOICE 12345 Re: Invoice 12345 Subject: Invoice 12345
英文信正文寫法 Body 正文是信函的核心內容。一封內容得體的商務信函,不僅能夠達到把事情辦好的目的,而且還能促進雙方的友誼。在商業界人們通常用5個C來衡量一封信函的好壞:Conciseness(簡潔)、Clarity(明了)、Correctness(正確)、Completeness(完整)、Courtesy(禮貌)。
Dear Mr.Smith,As we mentioned in our previous quotation, the price is likely to rise.Since material price is a very crucial element for our cost accounting, we are compelled to shift this rise to our customers.The price for 33 Euro has increased to 33.5 Euro, packing charge and freight remaining unchanged.We thank you for your understanding and look forward to having a good cooperation with you.Yours sincerely,Ming Li
英文結尾敬辭寫法 Complimentary close 幾乎所有的商務信函都會用到結尾敬辭。它寫在正文下面,第一個字母要大寫,最后一個詞的后面有逗號。
至于要選用怎樣的字句,通常由作者自行決定,一般來說結尾敬辭和開頭的稱呼有較強的關聯關系,例如:
1.如果不知到收件人的姓名,開頭的稱呼是Dear Sirs,(英式)或Gentelmen:(美式),則結尾敬辭采用Yours faithfully,(英式)或Yours truly,(美式);
2.如果知到收件人的姓名,開頭的稱呼是Dear Mr.Brown,則結尾敬辭采用Yours sincerely,(英式)或Sincerely,(美式)。
3.如果是寫給朋友,家人或同事,開頭的稱呼是Dear David,則結尾敬辭采用 Best wishes 英文簽名、附件寫法 Signature/Enclosure 簽名代表了寫信人,所以其形體和寫法應保持固定。簽名最好用鋼筆。署名既要難以模仿又要清晰易解。為便于辨認,一般商務書信,還應在簽名下方將發信人的姓名用打字形式打出。
簽名格式和規則有以下一些約定:
1.簽名者代表公司、某單位名義時,應在結束詞下方打出全部大寫的單位名稱,然后再簽名。
2.女性簽名時,為便于回信人正確使用稱呼,應在打字的姓名前加注(Miss)或(Mrs.)。
3.當負責人不在而由經辦人員代簽名時,要加上by, for, perpro或P.P.字樣。
如果信函中有附件,在信紙的左下角,與簽名間隔1行或是2行的位置打上“Enclosure”或其縮寫Encl.或Enc.。
如果附件不止一項,應寫成Encls.或Encs.,并應注明有幾個附件,以便收信人查點,例如: Encl.One check

附言(Postscript,簡寫為P.S.)用來說明沒有包括在信中的想法和內容。有時一封信寫完了,突然又想起遺漏的事情,這時可用附言填補遺漏內容。在促銷和私人信件中,附言也可以用來強調寫信人請求收信人采取的行動和做出的考慮。附言應盡量做到簡明扼要。附言通常在簽名下方,從左側頂格書寫,例如:

英文書信格式及英美差異
英文書信通常由下列五個部分組成:
A 信頭(Heading)
信頭包括寫信人地址和寫信日期,通常寫在信箋的右上角。在比較熟識的朋友之間的通信,寫信人的地址常可略去。本課的信頭就只寫了寫信日期,而沒有寫信人的地址。日期通常有下列兩種定法:(a)月、日、年:如August 15, 200__
(b)日、月、年:如15th august, 200__
地址的寫法通常是由小到大,如:門牌號、街道名、市(縣)名、省名、國名(郵政編碼通
常寫在城市名之后)。這同中文書信的地址寫法完全相反。地址可以寫1~3行,日期寫在地址的下方(見信箋格式)。
B 稱呼(Salutation)
稱呼指寫信人對收信人的稱呼,如Dear Xiaojun,寫在信頭的下方和信箋的左邊。稱呼一般用Dear?或My dear?開頭,稱呼后一般用逗號。
C 正文(Body)
這是書信的主體部分,即寫信人要表達的內容。正文要求文字通順,層次分明,表意清楚。可以手書,也可以打寫。
D 結束語(Complimentary Close)
它是書信結尾的恭維話,相當于文中書信最后的“祝好”、“致禮”之類的話語。本課書信中的“Best wishes”(致以最好的祝愿)就是結束語。
E 簽名(Signature)
簽名通常簽在結束語下方的中間偏右的位置,如本課信中的Charlie.簽名應是親筆書寫,即使是打寫機打出的信件,最后仍需親筆簽名。在簽名的上方可 根據寫信人和收信人的關系寫上Sincerely yours/Yours sincerely(用于長輩或朋友之間),或Respectfully yours/Yours respectfully(用于對長輩或上級)。
英文書信格式稱謂差異
商務英語書信(Business or Commercial English Correspondence)是指交易時所使用的通信。在美國,常用Business writing,它包括書信、電報、電話、電傳、報告書、明信片等。英語和美語在書信體例方面存在著一定的差異,比如信頭和稱呼、書信格式、遣詞、結尾客 套語等均有所不同。
一般來說,英國書信較為保守,許多英國人喜歡用老式書 信體,用詞較為正式刻板,而美國書信語言非常生氣、有活力,格式也較為簡便。因此當我們寫信的對象是英國或其舊殖民地國家時,要使用標準式英語 Queen's English;如果寫信的對象是美國或美國勢力范圍的地區時,就要用美國英語。當然,英國式的語言文化近年來也有變化,但總體來說,兩者間的差異是很明 顯的。
商業英文書信,一般都要求用打字機或電腦整齊地打印,左邊各行開頭 垂直的,稱為垂直式或齊頭式(Block style),美國常用這種格式;每段的第一個詞縮進去,稱為縮進式或鋸齒式(indented style),英國常用此格式。垂直式的職務及簽名都在左邊的邊欄界線,這種格式,在極度尊重工作效率的美國公司,已普遍采用。正式的商業英語書信要在稱 呼的上方寫上收信公司名稱和地址或收信人的名字全稱、職務及地址,稱為信內地址(Inside address)。信內地址的寫法也有垂直式和縮進式之分,垂直式和稱美國式將各行并列,縮進式或稱英國式將各行依次退縮。
不過,近來英國商業書信信內地址并未依次縮進,似乎與美國式相同。此外,在美國還流行一種普通收信人地址的寫法,就是在書信的Inside Address中,把門牌號和街名都省略掉。在英文書信中要使用敬語,最普遍的敬語是Mr, Mrs和Miss(用于未婚女性)。英國人常在男性的姓名之后用Esq.(Esquire的縮寫),不過在商業上也在慢慢地改用Mr.Mmes.(Madam的復數形式),用于二個女士以上。Messrs(Mr的復數形式)用于二個以上的男人,或用于二個以上的男人組成的公司或團體。在英國式英文 信里,Mr, Mrs, Messrs,均不加縮寫句點,相反地趨向于進步自由的美語反而加縮寫句點如Mr., Mrs., Messrs??在稱呼方面,商業上最普遍的有Gentlemen(美國式)與Dear Sirs(英國式)二種,相當于我國的“敬啟者”或“謹啟者”.如果信是寫給某個公司單位的,不是寫給某個具體人的,美語用Gentlemen(復數形 式),英語用Dear Sirs.如果對方公司只一人時,必須使用Sir/Dear Sir.稱呼后一般要使用標點符號,英國式采用逗號(comma),美國式用分號(colon)。書信結尾客套語(complimentary close)有多種,相當于我國書信在結尾時使用的“敬禮”、“致敬”、“順安”等句。最為典型的美國式寫法是Sincerely和Best regards,典型的英國式表達有Yours sincerely和yours faithfully(不知姓名);Best wishes, kind regards(熟人或知道對方姓名)。此外,英國式的客套語還有特別禮貌的格式,但除了特殊情況外,現在不再使用。
