【商務(wù)英語】怎么寫好英文電子郵件?
對于商務(wù)人士而言,需要寫各種各樣的英文郵件,如果寫的多了,就會感覺很詞窮匱乏,尤其是當需要經(jīng)常寫給同一個人的時候。樂小知在這給大家整理了郵件的開頭、結(jié)尾、一些客套英文用語,意思可能相近,但有很多種不同的表達方式。
郵件的開頭:
感謝讀者是郵件開場白的好辦法。特別是之后你有事相求的情況下會很有幫助。Thank you for contacting us.如果有人寫信來詢問公司的服務(wù),就可以使用這句句子開頭。向他們對公司的興趣表示感謝。Thank you for your prompt reply.當一個客戶或是同事很快就回復(fù)了你的郵件,一定記得要感謝他們。如果回復(fù)并不及時,只要將“prompt”除去即可,你還可以說,“Thank you for getting back to me.” Thank you for providing the requested information.如果你詢問某人一些信息,他們花了點時間才發(fā)送給你,那就用這句句子表示你仍然對他們的付出表示感激。Thank you for all your assistance.如果有人給了你特別的幫助,那一定要感謝他們!如果你想對他們表示特別的感
激,就用這個句子,“I truly appreciate … your help in resolving the problem.”Thank you raising your concerns.就算某個客戶或是經(jīng)理寫郵件給你對你的工作提出了一定的質(zhì)疑,你還是要感謝他們。這樣你能表現(xiàn)出你對他們的認真態(tài)度表示尊重及感激。同時,你也可以使用,“Thank you for your feedback.”
郵件的結(jié)尾:
在郵件開頭表示感謝一般是表示對對方過去付出的感謝,而在郵件結(jié)尾處表示感謝是對將來的幫助表示感謝。事先表示感謝,能讓對方在行動時更主動更樂意。
Thank you for your kind cooperation.如果你需要讀者幫助你做某事,那就先得表示感謝。
Thank you for your attention to this matter.與以上的類似,本句包含了你對對方將來可能的幫助表示感謝。
Thank you for your understanding.如果你寫到任何會對讀者產(chǎn)生負面影響的內(nèi)容那就使用這句句子吧。

第三篇:英文電子郵件格式及
英文電子郵件的基本要素是主題、稱謂、正文、結(jié)尾用語及署名。
電子郵件最重要的部分是主題,假設(shè)我們都是很忙的人,在打開郵箱閱讀郵件時,第一眼看到的就是郵件的主題。所以,主題應(yīng)當做到言簡意賅并突出郵件重要性。英文郵件的主題需要注意不超過35個字母,將位于句首的單詞和專有名詞首字母大寫。比如:Some questions about C++.在比較正式的格式中,需要把每個單詞的首字母大寫(介詞、冠詞除外)。
稱謂如果是第一次給對方寫信,那么稱謂最好用“Dear+全名”,這樣會讓人感覺比較正式。如果對方以非正式口吻來信,我們也可以類似非正式地回復(fù)。比如:“Hello/Hi Lillian”。在實際通信中可能遇到不知道對方姓名,可以用“Dear+對方頭銜”,如“Dear President”,或者“Dear+Sir/Madam”形式。英國人習(xí)慣在稱呼后加“,”,美國人習(xí)慣在稱謂后加“:”,有時也可以不加任何標點,是具體情況而定。
在書寫正文時,把最重要的事情寫在正文最前面或者郵件內(nèi)容較長時寫在第一段。為了讓收件人閱讀郵件比較舒服,我們需要注意郵件正文結(jié)構(gòu)的美感,郵件段落最好控制在兩三段之內(nèi)。如果一封電子郵件涉及多個信息點,我們可以采用分條目的方法,如符號、小標題、編號來使得郵件想要表達的內(nèi)容層次清晰。郵件內(nèi)容應(yīng)注意單詞的拼寫、大小寫、標點、語法等。所謂以小見大。
結(jié)尾語在正文之后添加。注意一般結(jié)尾語中只有第一個單詞首字母大寫而剩余單詞都小寫,此處與稱呼不同。一般電子郵件: Sincerely, Sincerely yours, 私人電子郵件: Regards, Best wishes, Best regards, With best wishes, Wish best regards, Yours, Cheers,As ever, With love, Affectionately,......在正文最后需要署名,可以寫全名,也可以只寫名字。需要辨明性別時可以在姓名后面注明(Mr./Ms.)。對于咱們中國人,為了區(qū)分姓和名,可以把我們的姓的字母全部大寫,例如XIONG Lillian.如果寫信人代表的是一個組織或部門,應(yīng)在名字下一行寫上自己的職位、所屬部門。
郵件中常用詞匯:

工作求職類的郵件大體分為申請職位、介紹自己、期待回復(fù)、表達謝意幾個部分。i.e.Dear Sir/Madam, I am writing to apply for the position of...as posted in your website.Introduce yourself...Please find attached a copy of my resume for your review.我的簡歷請見附件,作為參考。
或者:Please refer to my attached resume for a summary of my skills and experience.I am looking forward to you.Thank you very much for your time and consideration.Yours sincerely, Lillian Xiong 表達謝意
日常生活中經(jīng)常會使用到表達謝意的郵件,在國外,參加完朋友邀請去的一次party,或者接受了別人饋贈的禮物等情況下都需要寫一封thanks letter。而此類郵件也非常好寫,只要能夠表達自己對收件人的真摯的感激之情即可。Dear Alice, Thanks so much for the lovely dinner last night.It was so thoughtful of you.I would like to invite both of you to my house when you are available.Best regards, Lilian 咨詢了解
咨詢了解類郵件的目的是想要得到關(guān)于某人、物的一些信息。郵件具體內(nèi)容大致包含如下:
1)告知對方你是如何得知其信息的,比如報紙、網(wǎng)站等。
2)說明自己想要了解的東西,當咨詢信息較多時,最好列舉出來,as 詳細、清晰 as possible.3)末尾用一句話結(jié)束總結(jié)這次咨詢。I am writing to request information about sth.I would like to request a copy of sth.最后表達希望時用語:I look forward to hearing form you soon.期待盡快收到您的回復(fù)。
英文電子郵件格式 Dear Mary, This is Tom.....Look forward to seeing you soon.Best regards, Tom Yu(以上每一行,或者每個段落,都是左對齊的)
一、主題

二、稱呼

三、拼寫
1、E-mail的非正式的文體特點并不意味它的撰寫可以馬虎行事,特別是給長輩或上級寫信,或者撰寫業(yè)務(wù)信函更是如此。寫完信后,一定要認真檢查有無拼寫、語法和標點符號的誤。當然Outlook Express等軟件的'拼寫檢查'功能可以助你一臂之力。
2、外國國名盡量用大寫.是為尊重,也方便郵差.3、標點要準確

非必要,不要整個字都是大寫,除非要罵人。

A、文法
1、切忌主客不分或模糊
例子:Deciding to rescind the earlier estimate, our report was updated to include $40,000 for new equipment.應(yīng)改為:Deciding to rescind our earlier estimate, we have updated our report to include $40,000 for new equipment.(We我們是主語, 不是report。)
2、句子不要凌碎
例子:He decided not to audit the last ten contracts.Because of our previous objections about compliance.應(yīng)該連在一起。
3、結(jié)構(gòu)對稱,令人容易理解。
例子: The owner questioned the occupant's lease intentions and the fact that the contract had been altered with ink markings.應(yīng)改為:The owner questioned the occupant's lease intentions and ink alterations of the contract.4、單復(fù)數(shù)不要搞亂,不然會好刺眼,看不舒服。
例如:An authorized person must show that they have security clearance.5、動詞主詞要呼應(yīng)。想想這兩個分別:
1)This is one of the public-relations functions that is under budgeted.2)This is one of the public-relations functions, which are under budgeted.6、時態(tài)和語氣不要轉(zhuǎn)變太多。看商務(wù)英語已經(jīng)是苦事,不要浪費人家的精力啊。
7、選詞正確
像affect和effect,operative和operational等等就要弄清楚才好用啦。
8、地址上的數(shù)字直接用阿拉伯數(shù)字吧,除了One,例子:
Ninth Avenue, North

B、文體
1、可讀性:對象是大學(xué)程度的話,用高中的英文就行,不要以為人人都是語言大師,多用短句(15-20字吧),技術(shù)性的字,就更加要簡單易明.2、注意段落的開頭.一般來說,重要或強調(diào)的事情都放在信件或段落的開頭,而句子就放在最尾.例如:(1).Because he was unable to attend the meeting personally, he forwarded his congratulations on cassette tape.(2).He forwarded his congratulations on cassette tape because he was unable to attend the meeting personally.兩者強調(diào)的事情就有分別了.3、輕重有分,同等重要的用and來連接,較輕放在次要的句子里.4、意思轉(zhuǎn)接詞要留神.例如: but(相反), therefore(結(jié)論), also(增添), for example(闡明).分不清furthermore和moreover就不要用啦.5、句子開頭不要含糊不清的主詞。

1、式樣和句子長度不要太單調(diào).千篇一律的subject-verb-object會悶死人的.有時短句跟著長句可以化解一下.2、弱軟的詞(e.g.was, were, is, are...)可以加強一點.例如: Prunton products are highly effective in...改為: Prunton products excel in...就有力很多了.3、親切,口語化是比較受歡迎!用賓詞和主動的詞,讓人家受落.例如:(1).This information will be sincerely appreciated.”

私人信件通常由五部分組成:
1.信頭:指發(fā)信人的地址和日期。寫在信紙的右上角,可以從靠近信紙的中央寫起。信頭上面要留空白。先寫發(fā)信人地址。地址的寫法與漢語不同,要先寫小地方,后寫大地方。在地址的下面寫上日期。日期的順序是:月、日、年,或者:日、月、年。例如:May 17 2003。在年份之前有一個逗號。
2.稱呼:指對收信人的稱呼。寫在信頭之下,從信紙的左邊開始。寫信給熟悉的人,一般用Dear…或My dear…作稱呼。如:Dear Li Lei,Dear Miss Thomas或My dear Dad.
3.信的正文:指信的主體部分。從稱呼的下一行第一段頂邊寫。從第二段起每段第一個詞都縮進3或5個字母寫。
4.結(jié)束語:指正文下面的結(jié)尾客套話。一般從信紙的中央靠右寫起,第一個字母大寫,末尾用一逗號。在非正式的社交信中,常用Yours或Sincerely。假如對方是親密的朋友,可用Sincerely yoursYours等。
5.簽名:指發(fā)信人簽名。寫在結(jié)束語的下面,稍偏右。

英文書信的格式
1、信頭(Heading)
指發(fā)信人的姓名(單位名稱)、地址和日期,一般寫在信紙的右上角。一般公函或商業(yè)信函的信紙上都印有單位或公司的名稱、地址、電話號碼等,因此就只需在信頭下面的右邊寫上寫信日期就可以了。英文地址的寫法與中文完全不同,地址的名稱按從小到大的順
序:第一行寫門牌號碼和街名;第二行寫縣、市、省、州、郵編、國名;然后再寫日期。標點符號一般在每一行的末尾都不用,但在每一行的之間,該用的還要用,例如在寫日期的時候。
2、日期的寫法:
如:1997年7月30日,英文為:July 30,1997(最為普遍); July 30th,1997;30th July,1997等。1997不可寫成97。
3、信內(nèi)地址(Inside Address):
在一般的社交信中,信內(nèi)收信人的地址通常省略,但是在公務(wù)信函中不能。將收信人的姓名、地址等寫在信頭日期下方的左角上,要求與對信頭的要求一樣,不必再寫日期。
4、稱呼(Salutation):
是寫信人對收信人的稱呼用語。位置在信內(nèi)地址下方一、二行的地方,從該行的頂格寫起,在稱呼后面一般用逗號(英國式),也可以用冒號(美國式)。

(2)寫給公務(wù)上的信函用Dear Madam,Dear Sir或Gentleman(Gentlemen)。注意:Dear純屬公務(wù)上往來的客氣形式。Gentlemen總是以復(fù)數(shù)形式出現(xiàn),前不加Dear,是Dear Sir的復(fù)數(shù)形式。
(3)寫給收信人的信,也可用頭銜、職位、職稱、學(xué)位等再加姓氏或姓氏和名字。例如:Dear Prof.Tim Scales, Dear Dr.John Smith。
5、正文(Body of the Letter):
位置在下面稱呼語隔一行,是信的核心部分。因此要求正文層次分明、簡單易懂。和中文信不
同的是,正文中一般不用Hello!(你好!)正文有縮進式和齊頭式兩種。每段書信第一行的第一個字母稍微向右縮進些,通常以五個字母為宜,每段第二行從左面頂格寫起,這就是縮進式。但美國人寫信各段落往往不用縮進式,用齊頭式,即每一行都從左面頂格寫起。商務(wù)信件大都采用齊頭式的寫法。
