例一:150 Kensington RoadBrooklyn,New York 12②,N.Y.③June 10 1985例二:Established 1900TELEpHONE:CHICAGO ENVELOpE COMpANY CABLE ADDRESS:CALUMET 4251 2901-2917 INDIANA AVENUE ENVELOpE CHICAGORef.No.CHICAGO,ILLINOIS CODES USED:March 16 1982 ALL CODESRENTLEY’S pREFERRED注:實例中央上面Established 1900是指該公司創(chuàng)立于1900年。因公司的歷史悠久,可證明公司的信用良好,所以常常被采用。中間大寫的是公司名稱“芝加哥信封公司”和公司所在地“伊利諾斯州,芝加哥市印地安街2901-2917號”。左邊的細小字(Telephone)是電話號碼,Ref.No(等于Correspondence Reference No.)是“信件編號”,其用途是便于索引,按此號碼可將信件歸案存檔,因而又可稱為“索引號碼”。右邊的細小字(Cable Address)電報掛號,用于發(fā)收電報。這個公司只有“ENVELOpE CHICAGO”二個字就夠了,其手續(xù)費和電報費均能節(jié)省。(Codes Used)即“使用電訊密碼簿”。(All Codes,Rentlev’s preferred)即“在所有密碼簿中,請選用(Rentley)密碼簿”。例三:17.philpot Lane,London,E.C.①3,25 April,1991寫信頭還需要注意的一點是,在寫日期時,要區(qū)分開英國習(xí)慣和美國習(xí)慣。如1995年5月2日,按英國習(xí)慣,應(yīng)寫為“2ndMay,1995”按美國習(xí)慣是“May 2,1995”。(3)收信人名址。與信封上的收信人地址相同,一般寫在信紙的左上部,即在寄信日期下隔二行起寫。如:Messrs.Allen & Son(1919)pty,Ltd.,155,F(xiàn)linders Lane,Melbourne,C.①1.AustraliaMarch 16,1991Messrs.Smith & James,Inc.500 Norton Bldg.Seattle 4,WashU.S.A寫收信人地址特別要注意的是,不僅要詳細,而且必須按照收信人自身所固定的寫法來寫,不能隨意改變,因為職業(yè)、職位不同,以及在不同的國家,其頭銜、區(qū)域的寫法是完全不一樣的。(4)稱呼。商貿(mào)英文書信稱呼的寫法與中文信件的寫法也是不一樣的。這里所指的稱呼,相當于中文書信“敬啟者”,例如:Dear Sir Dear sirs,Dear Madam,Dear Ladies,Gentlemen: Dear Mesdames,Dear Sir and Madam,Ladies and Gentlemen:在不同的信件中,稱呼是多種多樣的,但最常見的不外是Gentlemen(美國式)和Dear sirs(英國式)二種。可見,在商貿(mào)英文書信的稱呼中,由于在“稱呼”前已專門有收信人名址一欄,所以一般不再寫收信人的姓名,通常就寫Dear sirs或Gentlemen即可。只有在雙方關(guān)系較為密切時,才加上人名,如Dear Mr.Small。在這里,Dear Sirs就相當于中文信件的“敬啟者”之類的禮節(jié)性用語,是公文中常用的,不宜直譯為“親愛的先生”。另外,由于英、美習(xí)慣的不同,還要注意在“Dear Sirs”之后,通常用“,”號,而美國式“Gentlemen”之后,則應(yīng)用“:”號。(5)正文。這是一封信的核心部分。寫作要求是要做到五個“C”,即禮貌(Courtesy)、簡潔(Conciseness)、明了(Clarity)、正確(Correctness)和完整(Completeness),以準確表達自己的商貿(mào)意圖。正文應(yīng)從稱呼下一行開始寫,信紙在左右兩邊都要留約一寸寬的空白,以保持書信應(yīng)有的齊整格式。同時,一封信要按內(nèi)容分成幾段,不要把一封長信寫成單獨的一段。為了明確起見,商貿(mào)英文書信常將各段加上編號或以每段之間加空行來分隔。但要特別注意的是,商貿(mào)英文書信原則上應(yīng)符合“一事一信”的要求,即一封信原則上只談一件事或主要只談一件事,不要把幾件事放在一信內(nèi)敘述,以利于所談事情能及時得到處理。(6)結(jié)束語。是指在正文之后,簽名之前所使用的客套用語,一般在正文最后一行的下一行或空一行書寫。常用的客套語是:Yours truly(你的真誠的),Yours sincerely(你的忠誠的)Yours faithfully(你的忠實的),等等。在需要特別禮貌或帶有特殊的官方性質(zhì)的信件中,還可用Yours most Cordially(你的最真誠的)或Yours respectfully(你的恭順的)等。(7)簽名。是指寫信人在書信的末尾用鋼筆簽上個人名字或公司名稱,相當于我國的簽字蓋章。在商貿(mào)英文書信中,簽名通常要占三至四行,第一行常用作公司名稱,全部要用大寫;第二行用于個人簽字,通常是既有簽名,又有打印名,以便易于辨認簽名;第三行常用于簽名人的頭銜。例如:Yours truly,F(xiàn)IDELITY TRADING CO.ING.(簽 名)H.B.HaslehurstGeneral ManagerVery truly yours,I.T.INpORMATION(簽 名)Director hose M.NetVery truly yours,UNITED EXpORTERS COMpANY(簽 名)Max de HesVery truly yours,LEWERS & COOKE,LIMITED(簽 名)E.W.Twelmeyerpurchasing DepartmentVery truly yours,STERN,MCRGENTHAU& CO.,INC.(簽 名)Edward N.MegayMachinery Division在商貿(mào)英文書信中,即使是對認識的收信人,也要簽上全名,即使信是打印的,也要親自簽名。在簽名后打印上寫信人的職務(wù)是很重要的,這是告訴對方你有處理信中所談事務(wù)的權(quán)威。商貿(mào)英文書信除了信頭、收信人名址、稱呼、正文、結(jié)束語和簽名外,有的信還要注明收發(fā)信編號,載入特別注意事項,如注意事項或特別指定閱信人、書信主題、附言和附件等(當然這些都不是必需的,可視情況而定。),都有其固定的位置。如下圖:發(fā)文編號收文編號信頭日期收信人名址特別指定閱信人稱 呼書信主題正 文結(jié) 尾簽 名附 件
