商務(wù)英語書信(Business or Commercial English Correspondence)是指交易時(shí)所使用的通信。在美國,常用Business writing,它包括書信、電報(bào)、電話、電傳、報(bào)告書、明信片等。英語和美語在書信體例方面存在著一定的差異,比如信頭和稱呼、書信格式、遣詞、結(jié)尾客套語等均有所不同。
英國書信保守,美國書信有活力。
英國書信較為保守,許多英國人喜歡用老式書信體,用詞較為正式刻板,而美國書信語言非常生氣、有活力,格式也較為簡便。因此當(dāng)我們寫信的對象是英國或其舊殖民地國家時(shí),要使用標(biāo)準(zhǔn)式英語Queen's English;如果寫信的對象是美國或美國勢力范圍的地區(qū)時(shí),就要用美國英語。當(dāng)然,英國式的語言文化近年來也有變化,但總體來說,兩者間的差異是很明顯的。
英文書信的垂直式和齊頭式。
商業(yè)英文書信,一般都要求用打字機(jī)或電腦整齊地打印,左邊各行開頭垂直的,稱為垂直式或齊頭式(Block style),美國常用這種格式;每段的第一個(gè)詞縮進(jìn)去,稱為縮進(jìn)式或鋸齒式(indented style),英國常用此格式。垂直式的職務(wù)及簽名都在左邊的邊欄界線,這種格式,在極度尊重工作效率的美國公司,已普遍采用。正式的商業(yè)英語書信要在稱呼的上方寫上收信公司名稱和地址或收信人的名字全稱、職務(wù)及地址,稱為信內(nèi)地址(Inside address)。信內(nèi)地址的寫法也有垂直式和縮進(jìn)式之分,垂直式和稱美國式將各行并列,縮進(jìn)式或稱英國式將各行依次退縮。
普通書信的寫法。
近來英國商業(yè)書信信內(nèi)地址并未依次縮進(jìn),似乎與美國式相同。此外,在美國還流行一種普通收信人地址的寫法,就是在書信的Inside Address中,把門牌號和街名都省略掉。在英文書信中要使用敬語,最普遍的敬語是Mr, Mrs和Miss(用于未婚女性)。英國人常在男性的姓名之后用Esq.(Esquire的縮寫),不過在商業(yè)上也在慢慢地改用Mr.Mmes.(Madam的復(fù)數(shù)形式),用于二個(gè)女士以上。Messrs(Mr的復(fù)數(shù)形式)用于二個(gè)以上的男人,或用于二個(gè)以上的男人組成的公司或團(tuán)體。在英國式英文信里,Mr, Mrs, Messrs,均不加縮寫句點(diǎn),相反地趨向于進(jìn)步自由的美語反而加縮寫句點(diǎn)如Mr., Mrs., Messrs.。在稱呼方面,商業(yè)上最普遍的有Gentlemen(美國式)與Dear Sirs(英國式)二種,相當(dāng)于我國的“敬啟者”或“謹(jǐn)啟者”。
典型的美國式書寫法。
給公司單位寫信時(shí)美語用Gentlemen(復(fù)數(shù)形式),英語用Dear Sirs。如果對方公司只一人時(shí),必須使用Sir/Dear Sir。稱呼后一般要使用標(biāo)點(diǎn)符號,英國式采用逗號(comma),美國式用分號(colon)。書信結(jié)尾客套語(complimentary close)有多種,相當(dāng)于我國書信在結(jié)尾時(shí)使用的“敬禮”、“致敬”、“順安”等句。最為典型的美國式寫法是Sincerely和Best regards,典型的英國式表達(dá)有Yours sincerely(熟人或知道對方姓名),Best wishes, kind regards 和yours faithfully(不知姓名)。此外,英國式的客套語還有特別禮貌的格式,但除了特殊情況外,現(xiàn)在不再使用。
...................文書信通常由下列五個(gè)部分組成:
A 信頭(Heading)
信頭包括寫信人地址和寫信日期,通常寫在信箋的右上角。在比較熟識的朋友之間的通信,寫信人的地址常可略去。本課的信頭就只寫了寫信日期,而沒有寫信人的地址。日期通常有下列兩種定法:
(a)月、日、年:如August 15, 200__
(b)日、月、年:如15th august, 200__
地址的寫法通常是由小到大,如:門牌號、街道名、市(縣)名、省名、國名(郵政編碼通常寫在城市名之后)。這同中文書信的地址寫法完全相反。地址可以寫1~3行,日期寫在地址的下方(見信箋格式)。
B 稱呼(Salutation)
稱呼指寫信人對收信人的稱呼,如Dear Xiaojun,寫在信頭的下方和信箋的左邊。稱呼一般用Dear?或My dear?開頭,稱呼后一般用逗號。
C 正文(Body)
這是書信的主體部分,即寫信人要表達(dá)的內(nèi)容。正文要求文字通順,層次分明,表意清楚。可以手書,也可以打?qū)憽?/p>
D 結(jié)束語(Complimentary Close)
它是書信結(jié)尾的恭維話,相當(dāng)于文中書信最后的“祝好”、“致禮”之類的話語。本課書信中的“Best wishes”(致以最好的祝愿)就是結(jié)束語。
E 簽名(Signature)
簽名通常簽在結(jié)束語下方的中間偏右的位置,如本課信中的Charlie。簽名應(yīng)是親筆書寫,即使是打?qū)憴C(jī)打出的信件,最后仍需親筆簽名。在簽名的上方可根據(jù)寫信人和收信人的關(guān)系寫上Sincerely yours/Yours sincerely(用于長輩或朋友之間),或Respectfully yours/Yours respectfully(用于對長輩或上級)。

英語信件的種類比較多,有一般信件,邀請信,推薦信等。但幾乎所有信件的格式都大同小異。接下來,就有海銳教育集團(tuán)的許老師來給大家講解一下英語信件的格式吧。
英語書信結(jié)構(gòu)、書寫款式及要求:
書信結(jié)構(gòu)
英語書信結(jié)構(gòu)一般有以下幾個(gè)部分組成:
1)信封(envelope)。英語的信封和中文的一樣,有三部分組成,即發(fā)信人地址、收信人地址和郵票。只不過英語信封的格式除了郵票所貼的位置(信封的右上角)和中文的一樣外,英語信封上要寫的發(fā)信人和收信人的地址和中文的大不一樣。發(fā)信人的地址應(yīng)寫在信封的左上角,收信人的地址應(yīng)寫在信封偏中右偏下處,2)信頭(heading),即寫發(fā)信人的地址和日期(右上角)。
3)信內(nèi)姓名地址(inside address),即寫收信人的姓名和地址(左上角)。
4)稱呼(salutation),即寫對收信人的尊稱(一般用Dear Mr.? ,;Dear Madam Helen,;Dear Miss?,;Dear John,;Dear Professor Smith,等)。稱呼直接寫在收信人地址的正下方,中間空一至二行。稱呼后面的標(biāo)點(diǎn)一般只能用逗號。
5)正文(body),即信件內(nèi)的主要內(nèi)容。正文第一句句子一般和稱呼之間空一至二行。
6)信尾客套語(complimentary close),即寫信人在信的右(或左)下角,寫上表示自己對收
信人一種禮貌客氣的謙稱。一般有Sincerely,;Sincerely yours,;Yours sincerely,;Friendlyyours,;Truly yours,;Yours truly,;Cordially yours,;Yours cordially,等。
7)信尾簽名(signature),即親筆簽上寫信人自己的姓名。如果是用打字機(jī)或電腦寫的信,在寫信人簽名的上方,同樣應(yīng)該打上寫信人的姓名。
除以上七個(gè)部分外,有時(shí)一些英語書信還包括:(1)附件(Enclosure),以Enc.表示,如“附有。。。證明”應(yīng)寫為Enc?Certificate;(2)再啟(Postscript),以P.S.表示;(3)抄送件(Carbon Copy to?),以c.c.表示,說明一式多份抄送其他有關(guān)人員。這些都是次要的補(bǔ)充部分。P.S.主要在私人信件中使用,事務(wù)信件中應(yīng)避免使用,以免造成寫信人粗心大意的印象。Enc.和c.c.大都用在商貿(mào)信函中。
書寫款式
英語書信的款式一般有兩種:齊頭式(Block Style)和折衷式(Semi-Block Style)。齊頭式常常在商貿(mào)、官方以及一些正式的信件中使用,以顯示信件內(nèi)容的嚴(yán)肅性,真實(shí)性,可靠性。而折衷式則顯的比較隨便,主要用于家人、朋友、私人之間來往的信件。如果兩人之間不是第一次通信,相互比較了解,可以省略信內(nèi)的雙方地址。
信件書寫要求:
寫英語信件一般可以使用打字機(jī)、電腦,朋友之間比較隨便的信件也可以用鋼筆、圓珠筆甚至彩色筆,但不宜用鉛筆。不管你用什么形式書寫,一些重要的信件,簽名處必須用深藍(lán)色或黑色墨水筆簽名。

1.Introduction(概述)
申請信的類型:求職信(畢業(yè)求職,簡歷)、申請就業(yè)、申請調(diào)動(dòng)工作、辭職、報(bào)考國外大學(xué)等信函。其格式與普通書信格式一樣,需有事由標(biāo)題、信頭日期、信內(nèi)地址(封內(nèi)地址)、稱呼、正文、結(jié)尾客套語(敬語)、簽名等欄目。注意求職信中,寫信人必須將自己的詳細(xì)地址、電話號碼寫在日期之上方,以便對方與你聯(lián)系。稱呼要得當(dāng)。申請信要簡單明了,常分開場白(opener)、正文(body)和結(jié)尾(close)三個(gè)部分。開場白不用客套話,應(yīng)開門見山,說明你的寫信原因、興趣等。注意如系求職信,正文應(yīng)強(qiáng)調(diào)自己的學(xué)歷和工作經(jīng)歷。如系申請其他事項(xiàng),應(yīng)著重說明理由。如系求職信,結(jié)尾段應(yīng)表示希望參加面試;如系申請其他事項(xiàng),結(jié)尾應(yīng)提請關(guān)注和早日辦理。結(jié)尾敬語之前常加上“I would appreciate your early reply.”(如蒙早日賜復(fù),則不勝感激)之類的客套話。
