論商務英語寫作原則與寫作技巧
隨著國際經濟貿易的往來,商務英語信函成為國際溝通的有效途徑之一,而有效地撰寫商務英語信函是國際商務人才必備的技能之一。作為商務英語專業的學生,撰寫商務英語信函也是我們必須掌握的一項重要的、實用的技能。本文從商務英語的寫作的7原則出發,探討如何通過掌握商務英語寫作的原則來撰寫成功的商務英語信函并總結商務英語的寫作技巧。
商務英語寫作原則寫作技巧自加入世界貿易組織之后,我國與世界各國的經濟交往日益頻繁,因此,培養一大批既熟練掌握外語,又通曉國際商務知識,并善于進行跨文化交際的國際商務人才已成當務之急。商務英語信函是進行書面信息溝通的重要手段。在國際商務人員必備的諸多技能中,商務英語寫作是其中一項重要的技能,也是商務活動得以順利開展的重要保證。商務英語寫作的技能既反映了商務人員的個人能力,也是提升企業形象、樹立良好企業形象的保證。
一、商務英語的寫作原則
撰寫商務英語信函需在一定的原則指導下才能達到預期效果。相反,如果違背了既定原則,可能會給外貿工作造成意想不到的麻煩。在大量的理論及實踐中,我們總結出了以下7C基本原則,即完整性原則(Completeness)、正確性原則(Correctness)、具體性原則(concreteness)、清楚性原則(Clarity)、簡潔性原則(Conciseness)、體諒性原則(consideration)、禮貌性原則(courtesy)。
1.完整性原則。一封完整的信函有助于表達寫作者的交流意圖;有助于建立和表達友善的關系;有助于防止出現信息遺漏而導致索賠、損失或訴訟。完整性原則包括信函格式的完整性,信函結構的完整性以及信函內容的完整性。標準的信函格式包括信頭,日期,信內地址,稱呼,正文,結尾敬語,簽名。格式的完整性能體現寫作者的專業性。信函結構的完整性體現在其結構的模式化。商務英語信函屬于實用性文體,程序化程度比較高,一般來說正式的信函由三大部分組成,即信函的開頭,正文以及結尾三個部分。信函內容的完整性即一封信函必須包括讀者想知道的所有信息,回答讀者的一切提問,解答讀者的所有疑問。在寫作中,我們建議用五個W來檢驗。
2.正確性原則。商務英語信函的一個重要功能就是信息功能,也就是傳遞信息。正確性原則不僅僅是指信函中語法的正確、標點符號和拼寫的正確,而且也包括標準的語言,合適的表述,準確的數字以及對于商業術語的正確理解。
3.具體性原則。商務英語信函都有明確的交際意圖和目的,信函的內容都是具體的。在內容表述上,應該確定、準確而又生動,特別是要求對方做出明確反應的信函,或者答復對方提出的要求或問題的信函,或是報盤、接受等。該具體的就要具體,避免模糊、籠統和抽象。如商品的某些質量和特征要用準確的數字;時間要具體,用年月日,避免使用模棱兩可、含混不清的表達法。
4.清楚性原則。所謂清楚,就是信函要寫得清楚明白,無晦澀難懂之處,不至于產生誤解。寫信人應該盡量將自己的意思表達清楚,有助于收信人正確地理解信函的內容,這樣才能達到寫信的效果。要做到這一點,應避免使用復雜、冷僻、含義模糊的詞句和冗長的句子結構;正確恰當地分段。
5.簡潔性原則。商務英語屬于實用性語言,在實際的商務活動中,信函的用語應盡量簡潔,也就是盡量使用簡潔的話語表達完整的、詳實的信息。簡潔常被認為是信函寫作的第一要義。在行文中,可以考慮使用縮略語。
6.體諒性原則。商務英語信函的寫作中需要作者時刻注意對方的反應,也就是多為對方著想。在寫作中,既要滿足對方的需要,在結構、態度、措辭等方面也要考慮對方的接受情況。在行文中我們可以多使用“you attitude”,將收信人放在首位。
7.禮貌性原則。一封彬彬有禮的信函能幫助寫作者樹立良好的職業道德形象,有助于促進業務,增進友誼,加強交流。禮貌意味著在信函中非常巧妙地表示出誠摯的友情、誠懇的感謝、真誠的禮貌、體貼的理解和由衷的尊重。如何能更好的做好這一點呢?我們需要掌握以下的幾個要點。
(1)在行文中多使用積極的詞匯,避免使用消極的、有歧視含義的詞匯。在平時的閱讀寫作中多搜集積極的詞匯。如please,pleasure,appreciate,obliged,grateful,helpful,positive,increase等。商務信件應尊重女性伙伴,盡量避免使用有性別歧視的詞語。
(2)將命令式用語改為請求式用語。在行文中使用命令式用語會使口氣顯得很強硬,儼似把自己的想法強加于人。而使用請求式用語,不僅表明了話語意義,還表示了對對方的尊重,語氣則顯得更加謙和。如我們在行文中建議多采用Please,Will you please,Could you please,It will be highly appreciated that,It is our pleasure to,Would you be interested in,We regretthat等句型。
(3)利用虛擬語氣表示客氣和委婉語氣。表示希望或意見時可用虛擬式,以示禮貌。如We wish you would let us have your reply soon.(4)在行文中恰當使用被動語態。在商務函電中,為了使文章更加禮貌得體,除了選用一些得體的語言外,還應多使用被動語態。因為被動語態能使你的請求顯得更加溫和,更顯客氣。而主動語態常有譴責、抱怨對方的語氣。
二、商務英語信函的寫作技巧
在撰寫商務英語信函時我們應當遵守以上的7個原則,那么,除了以上的寫作原則外,要想撰寫一篇高質量、高效率的文章,我們還應掌握以下的寫作技巧。
1.采用商務英語信函的四步式結構。商務英語信函不同于其他類型的文章,它的寫作有一定的框架規范可循。具體表現在內容結構與語言運用等方面要選用常用的四部式的正文結構。通常,常見的商務信函由四部分組成,即引言、詳情、應答回復和結束語。
引言部分應說明寫信的來由,出于禮貌,商務信函通常通過告知事由或提及彼此之前的聯系引出正文,而不是開門見山談具體事宜,以免唐突與失禮。引言中經常使用的句型有I am writing to you concerning;Thank you for your letter dated;Referring to our contract;We take pleasure in informing you that;We are in receipt with thanks of your等。
詳情部分即開始進入文章的中心部分。在這一部分應詳細說明具體信函事宜及具體要求。
第三部分是應答,也就是我們常說的回復部分。這部分可以涉及要求對方確認、答復或寄來價目表等。在寫這部分內容時要根據具體情況來回復,回復時注意禮貌,信息完整,無誤。
最后一部分是結束部分。結尾部分可根據信函內容表達感謝之意,提出要求或者提請對方注意。
2.平時注意積累商務信函的固定表達和句型。商務英語專業的學生應在平時的學習中根據不同的寫作內容積累并記憶商務信函的固定表達和句型。只有多記憶,才能在真實的撰寫中游刃有余。

商務英語信函屬于應用文的范疇,有著自己獨特的語言風格、寫作原則和寫作特點。在商務英語寫作過程中,必須突出商務寫作的特點,遵循通俗易懂、簡明完整、清楚正確、禮貌等寫作風格和原則,并靈活運用寫作技巧。由此可見,領會和掌握商務應用文的寫作原則不僅可以提高學生的語言基本功,而且有利于學生了解和學習語言應用的社會環境。而掌握商務英語寫作的技巧能全面提高實用英語的寫作能力。
