單位證明函撰寫說明：
單位出具的《在職及收入證明函》可以說是簽證申請的核心材料之一。格式、內(nèi)容規(guī)范，措辭鄭重、得體的信函，可以從一個側(cè)面表現(xiàn)出申請者所在單位的良好形象，給簽證官留下較好的印象，起到為申請加分的作用。對單位函件的要求有以下幾個方面：
一、辦理簽證所要求的內(nèi)容要素必須完整
外國駐華使、領(lǐng)館一般要求單位證明函包含以下內(nèi)容：
1.單位確認申請者姓名、護照號、在本單位工作年限、現(xiàn)任職務(wù)、現(xiàn)工資水平等;
2.單位確認申請者此行是公費，還是自費;
3.單位確認是否擔(dān)保在申請者出國期間，為其保留職位和工資。
以上是單位證明函內(nèi)容的一般要求。而不同類型單位的證明函出具也有不同的講究。
二、國家機關(guān)出具證明函應(yīng)遵循外交外事規(guī)范
國家機關(guān)包括各級人民代表大會及其常務(wù)委員會(也就是我國的各級議會)、政府機關(guān)和司法機關(guān)。一般來說，國家機關(guān)的公務(wù)員工作和收入都相當穩(wěn)定，有利于簽證辦理。但是千萬不要被內(nèi)容不完整、形式草率的單位證明函給拉后腿。
國家機關(guān)出具證明函應(yīng)注意以下幾點：
1.中國是一個主權(quán)國家;漢語言文字是國家的官方語文。而依照外交規(guī)范和慣例，國家機關(guān)向外國政府及其派出的使節(jié)出具的公函，也屬于外交照會的范疇。因此，國家機關(guān)出具證明信，只出具中文版本，并加蓋公章，作為正式的語言版本;英文翻譯稿不蓋章，附在中文正本后面，作為非正式附件，以方便使館領(lǐng)事人員閱讀理解。
2.信函要打印在單位套頭印刷的專用信箋上。如果有外文版的外事專用信箋就更好。可蓋人事部門的部門章，也可蓋單位公章。
3.英文稿既然是非正式附件，就不用打印在單位套頭印刷的專用信箋上，可打印在空白的A4紙上，且不蓋章，也不簽名。但仍應(yīng)采用正式公文體的格式、字體和措辭(如“whereas鑒于”、“hereby茲/特此”、“hereinafter以下/下文”等公文用的文縐縐的“拽”詞可以適當運用)。
4.無論是中文稿，還是英文稿，我方、外方的國號、政府機構(gòu)名稱都必須規(guī)范。如英國的全稱是“大不列顛及北愛爾蘭聯(lián)合王國the United Kingdom of Great Britain and Northern Ireland”。
要弄清楚對方是駐華大使館(embassy)還是駐某個城市的領(lǐng)事館(consulate)，級別是不一樣的。
各國的規(guī)范英文全稱附在本文后面。
如果實在搞不準規(guī)范的國號全稱，可以用規(guī)范的簡稱，如：Embassy of the Commonwealth of Australia(澳大利亞聯(lián)邦駐華大使館)，可以簡稱為Australian Embassy in China;但英國大使館不可以簡稱為British Embassy，應(yīng)為Embassy of the United Kingdom;美國大使館不可以簡稱為American Embassy，而是Embassy of the United States，或U.S.Embassy。
各級國家機關(guān)、公務(wù)員職務(wù)的名稱，都有其對應(yīng)的規(guī)范的英文名稱。外交部曾經(jīng)發(fā)布過規(guī)范譯名。現(xiàn)附于本說明之后。
以上是國家機關(guān)出具外事證明函的一般外交規(guī)范。一般來說，地、市級以上國家機關(guān)都設(shè)有外事辦公室。具體的外事公文規(guī)范，以外事辦的解釋為準。
三、民間機構(gòu)出具證明函的要求
民間機構(gòu)出具的函件，規(guī)格不必像國家機關(guān)的那樣正式。但所要求的內(nèi)容要素一樣也不能少。
格式上，也顯得鄭重一些，采用一般商業(yè)公函的格式。措辭上可以免去政府公文的一些文縐縐的“拽”詞兒，顯得更加簡潔、更加straight一些。
對外國駐華使館的英文稱呼可以不用全稱，但一定要用規(guī)范的簡稱。如，英國駐華大使館，可以簡稱Embassy of the United Kingdom(英國正式的全稱是the United Kingdom of Great Britain and Northern Ireland)，或Embassy of the UK，不要用不規(guī)范的British Embassy;美國大使館，可以簡稱Embassy of the United States(美國全稱the United States of America)，或者U.S.Embassy，不要用American Embassy。
